Manager Leave Approvals Overview Presents the two options that managers have to approve/deny pending leave requests Supports managers in their day-to-day personnel leave management responsibilities Accessible via MyMadison and Manager Self-Service for all JMU managers Allows managers to act on pending leave requests from inside the JMU network via Manager Self-Service and outside the JMU network via MyMadison Manager Leave Approvals

  3. Approving Leave in MyMadison

  4. MyMadison – Navigate to login page • Open an internet browser such as Internet Explorer or Firefox • On the JMU home page, click the Other Sites drop down arrow and select Faculty/Staff • 3. Under the Login heading, click MyMadison Manager Leave Approvals

  5. MyMadison – Navigate to login page • You will land on the MyMadison Login Page • Enter your JMU e-ID and follow the instructions to log into your account Manager Leave Approvals

  6. MyMadison – Home Once logged in, you will be directed to the MyMadison home page. One of your options on the top tab ribbon should be My Approvals. Click on My Approvals to be directed to the approvals menu. Manager Leave Approvals

Manager Approvals – My Approvals The My Approvals tab will show all pending approvals that you may have for the Student Administration (SA) system as well as all pending approvals for the Human Resources (HCM) system. In this tutorial, we will be focusing on pending leave requests. Click on Approve/Deny Leave Requests to view all pending leave requests needing action. Manager Leave Approvals

  8. Manager Approvals – Approve/Deny Leave Requests This page is where you will view all pending leave requests in the system for your direct reports. Full-time employees Manager Leave Approvals

  9. Manager Approvals – Approve/Deny Leave Requests Click the drop down arrow to act on each individual leave request and either Approve or Deny. To approve all pending transactions at one time, click the Approve All button and Save. Manager Leave Approvals

  10. Manager Approvals – Approve/Deny Leave Requests The View Employee Leave Balances link will show a list of all direct reports and their leave balances. This link is only accessible when there are pending leave requests. Manager Leave Approvals

  11. Manager Approvals – View Employee Leave Balances This page is only accessible when you have pending requests. You must log into Manager Self-Service to view leave balances at other times. Manager Leave Approvals

  12. Manager Approvals – Approve/Deny Leave Requests Once you have acted on all pending leave requests, the Approve/Deny Leave Requests screen will note that you do not have any transactions awaiting approval at this time. Manager Leave Approvals

  13. Manager Approvals – My Approvals Once you have acted on all pending leave requests, the My Approvals screen will note that you do not have any pending leave requests at this time. You may now log out of MyMadison. Manager Leave Approvals

  14. Approving Leave in Manager Self-Service

  15. Manager Self-Service – HRMS Menu After logging in, you will see the Menu. One of your options on the menu should be Manager Self-Service. This option can only be used while on the JMU network. Click on Manager Self-Service Manager Leave Approvals

Manager Self-Service – HRMS Menu A new window opens to show “Job and Personal Information.” A second menu opens displaying three links: View Employee Personal Info (to view individual employee’s data), Employee Data Summary (to view summary data of all employees), and Approve/Deny Leave Requests (to act on employee leave requests).   17. Manager Self-Service – Approve/Deny Leave Requests Back to the Main Menu, Approve/Deny Leave Requests allows you to act upon leave requests submitted by your reports. A supervisor may either access pending leave requests through HRMS or by clicking on the link in the notification email that is received on the date the employee takes the leave. Manager Self-Service – Approve/Deny Leave Requests This page is the starting point for accessing pending leave requests for direct reports.For this example, the employee is George Washington and has submitted a leave request for 16.00 hours of Family/Personal leave. Click the drop down arrow to act on the leave request and either Approve or Deny. To approve all pending transactions, click the Approve All button and Save. Click the View Employee Leave Balances hyperlink to review how much leave your employee has available to take. HRMS will allow an employee to key a leave request even if the employee does not have appropriate leave to cover the time off. Manager Leave Approvals

  19. Manager Self-Service – Approve/Deny Leave Requests If a leave request is approved, the employee will see the leave transaction on the transaction screen in MyMadison. If a leave request is denied, the employee will receive the below email: Manager Leave Approvals

  20. Viewing Employee Leave in Manager Self-Service

  21. Manager Self-Service – View Employee Leave Balances You can view an employee’s leave balances at any time while on the JMU network through Manager Self-Service. This is a good way to assist your employees with managing their leave, including compensatory and overtime leave, if they are non-exempt and are eligible to accrue these leave types. Click View Employee Personal Info Manager Leave Approvals

  22. Manager Self-Service – View Employee Personal Information The View Employee Personal Information page is the starting point for accessing individual employee’s personal information, including leave balances. Choose an employee by clicking one of the SELECT buttons. Manager Leave Approvals

  23. Manager Self-Service – View Employee Personal Information After selecting an employee, the Employee Information page displays several informational links. The “Leave” link appears only for full-time Classified employees, A&P Faculty members, and those instructional faculty who have elected the Virginia Sickness and Disability Program (VSDP). Therefore, you may or may not see the “Leave” link on this page. Manager Leave Approvals

  24. Manager Self-Service – Leave for Classified The leave for a Classified employee shows details of each leave transaction. Manager Self-Service is a good way to help your employees manage their leave, including compensatory and overtime leave, if they are non-exempt and are eligible to accrue these leave types. The grid with the red arrow icon tells you that you can export the data on this table. Click on the icon and you will be prompted to Open, Save or Cancel. If the page won’t open, try holding down the “Ctrl” key while clicking on the icon. The first 15 of all transactions are displayed. Click View All to display all transactions at the same time. Or use the arrow buttons to navigate between transaction pages. Manager Leave Approvals

  25. Manager Self-Service – Leave for A&P Faculty After selecting Leave from the Employee Information page, the leave balances page displays. This page may look different depending on the employee class. The example below is for an A&P faculty member who has elected VSDP. The grid with the red arrow icon tells you that you can export the data on this table. Click on the icon and you will be prompted to Open, Save or Cancel. If the page won’t open, try holding down the “Ctrl” key while clicking on the icon. The first 15 of all transactions are displayed. Click View All to display all transactions at the same time. Or use the arrow buttons to navigate between transaction pages. Manager Leave Approvals

  26. Manager Self-Service – Sign Out of HRMS To exit the system, click Sign out in the upper right corner. Manager Leave Approvals
