Forum Meetings Member Updates • 3-5 minute business and personal update since last meeting. • Should not be interrupted. • If there is an important issue put it in the “Parking Lot.” • Should be “Timed.” Purpose • Gets each member talking. • Makes us more aware of each other. Forum Meetings Member Spiritual Reflection • “Moment closest to Christ.” • Special encounter with God. • Interesting homily or religious talk heard. • Recent spiritual reading. • Member’s participation in other religious groups. • Member’s act of charity. Forum Meetings Discussion Topics • Can be pre-planned from previous meeting. • Can be developed from “Parking Lot issues.” • Best for the “Presenter” to circulate materials to other members in advance, if appropriate. • Outside speaker/expert can be invited for Discussion Topic then excused. Using the “Parking Lot” • List each important item from member’s update. • Categorize them as to general or individual topics. • Prioritize topics via voting process, to determine which will be discussed, which will be held over.   14. Norms and Bylaws For a Forum to be successful it’s key that essentially unanimous agreement be reached amongst the members to these topics. Each of these topics should be discussed in sufficient detail so that each member can fully agree to and commit to the topic. • Member Commitment • Confidentiality • Meeting Logistics – Frequency, Duration, Location, Time of Day • Leadership – Facilitator should change annually • Mandatory Annual Retreat This topic is key to commitment. What works best for EVERYBODY? Start off with an agreement on these topics. Very likely there will be adjustments made by consent of the Forum, over time. Member Commitment Attendance • 100% attendance is expected • Decide on max number of allowed absences • Call-in conference phone numbers for travelers Late arrival/ early departure • $20 “late fee” ??? Meetings start/end on time • Everybody needs to depend on the schedule No cell phones/ calls/ emailing/ texting • Check cell phones at the door. If this Forum meeting isn’t the very best use of two hours of your time, each month, what changes do we need to make it so?   16. Annual Retreat The sooner you plan for and have a retreat with your Forum, the faster your Forum will really form. Probably best to start earnestly planning by your second or third Forum meeting. The Retreat can be a mixture of Social, Spiritual, and Forum business . It can be a time to review norms and bylaws, assess what is really “working” and what may need adjustment in your Forum. “If this isn’t the best use of two hours in your month…”, decide on next years Forum “Focus”, a topic picked by Forum members that is a general theme for our upcoming meetings. Retreats are best if they are overnight someplace and can last 24 hours to a couple of days depending on the desires of the Forum. Forum Roles and Responsibilities Facilitator as moderator • To create and maintain a safe environment. • To manage the process. • To keep the presenter and members focused. • To act as role model for members. Facilitator as administrator • Publishes meeting schedule. • Sees to it meeting notices are sent. • Prepares agenda. • Keeps track of attendance. • Assigns prayer leader, scribe and timekeeper. Forum Roles and Responsibilities Presenter • To be aware of objectives and expectations • To be open and honest • To be vulnerable and take risks • To be willing to ask for support and to be supported. • State what the Presenter wants from the other Forum members… just listen, offer comments and advice, prayers? Forum Roles and Responsibilities Member • To be available and supportive. • To focus on both the person and the problem. • Don’t interrupt the Presenter • To listen with the heart, as well as with the head. • To avoid being judgmental. • To avoid trying to fix, cure, heal, convert, or control presenter. • To avoid trying to tell presenter the solution to the problem. • To ask thought provoking questions to help presenter find his or her own answers. • To share personal examples that will provide possible insights and alternatives, and will let presenter know that others have had similar experiences and survived.   22. Forum Keys to Success Confidentiality • The members must be confident that any information shared in the forum will be held in complete confidentiality. Commitment • The members must be present, on time and available. Membership • The forum must be free of conflicts of interest, (i.e. business, family, and integrity issues) Leadership • The facilitator must create a safe environment, facilitate the process and model the way. Forum Keys to Success ParticipationMembers must demonstrate the four stages of being • State of Acceptance: Free of judgment, evaluation, analysis and criticism. • State of Self-Disclosure: Open, honest and vulnerable. • State of Service: Other-focused vs. self-centered, asking “How can I contribute?” vs. “What’s in it for me?” • State of Responsibility: Accountability for one’s own thoughts and feelings as well as what is going on with the group. What are your best ideas? • Survey Highlights • Anonymous survey to openly discuss satisfaction levels and confront/solve nagging issues. • Annual deep dive—how are we doing? what can we do better? • Address problems as they arise—no sweeping under the rug. • Open, honest dialogue and listening and action to resolve versus losing a disgruntled member. • Don't be isolated; learn from other forums.
