  1. CHAPTER TWELVE – TIME MANAGEMENT

  2. INTRODUCTION • Involved in conference manager’s day to day activities • Quick prioritization • Pre-conference preparations • During conference • Post-conference closeout • Pinpointed as a personal improvement opportunity

  3. SUMMARY • How to Develop Priorities - Covey • Multi-tasking – effective or not?

  4. Covey’s Four Quadrants

  5. Multi-Tasking: Effective Work Technique? • Leads to 40% drop in productivity • Increased stress • Missed details, opportunities

  6. How to Combat Multi-Tasking • If on the phone, only talk or listen • In a meeting, do nothing but focus on the meeting • Any interruptions should be held off until you are finished with project • Single-task to meet tight deadlines

  7. EXERCISE ONE – Covey’s 4 Quadrants • Draw a diagram with four boxes and label it Quadrant I, II, III and IV. • For Quadrant I, brainstorm activities that are both Urgent and Important • For Quadrant II, brainstorm and write activities that are Not Urgent and Important • In Quadrant III, brainstorm and write activities that are Urgent and Not Important • In Quadrant IV, brainstorm and write activities that are Not Urgent and Not Important • Which Quadrant takes up the most of your time? Where should most of your time be spent? • Choose two activities to spend more time on in your diagram, and two to start paying less attention to.

  8. EXERCISE TWO – Multitasking Demonstration • Take a blank piece of paper and draw 3 columns – you will execute 3 projects, first using multitasking, then not. • The three 3 projects  are (1) write the letters A-J in the first column (2) write the numbers 1-10 in the next column (3) write the Roman Numerals I-X in the third column. • The end result is three columns filled like this: A  |  1   |  i B  |  2   | ii • Start with the multitasking scenario - write in three columns,  working row-by-row, across the page, starting with A then 1 then I, i the the first row, working down the page until all three projects are complete. • Now start the non-Multitasking scenario - write down the page A-J in the first column,  then 1 - 10 in the next, and finally, I - X in the third column.
