  1. Promoting Pilot Clubs Around Virginia VA District Mini-Grant Application

  2. Promoting Pilot Around VA Promoting Pilot Around VA is a mini-grant program to assist individual clubs and MAL in the VA District. A critical component of the success of the VA District is the ability to promote the mission of Pilot International. Funding would be available to assist with the promotion of Pilot activities.

  3. Eligibility & Other Requirements • VA Pilot Clubs & MAL (2 MAL must apply together) • Project funds are ONLY to be used to purchase materials to assist with projects • Applicants must provide documentation that the funds were used in support of a specific project • Applicants must submit a narrative progress report that includes, but not limited to • Highlights of the project • Other partnering agencies • Newspaper articles/other media publicizing the event Narrative must be submitted within 30 days after the project ends.

  4. History/Purpose • Many clubs and MAL could use assistance with the purchase of materials to assist with the promotion of the PI mission; ex. BrainMinders Program • Due to economic strain on clubs and MAL, there is an immediate need to assist clubs with the promotion • Individual clubs or MAL will be able to apply for a small amount to help ‘jump-start’ a particular aspect of a project or promotional event

Project Guidelines • All applications must be submitted by Dec. 15th of the current fiscal year (2009); Complete Program – up to 3 years • All events must be completed and reported on by June 15th of the current fiscal year (June 2010) • Every effort should be made to target a specific PI focused activity. This could include, but not limited to: • Purchase of BrainMinder Buddy materials • Purchase of a radio/newspaper ad to assist with the promotion of a PI focused club activity that the club or MAL is planning or already has planned • Purchase of PI materials and promotional materials • Ex. Banner, yard-signs to assist with promotion. NOTE – these would only be awarded once every three years as these are items that could be used over and over

  6. Mini-GrantApplication Process • Completed applications are due by the 15th of each month • Only accepted September – December of fiscal year (2009-10) • Award amount – Up to $300 • Incomplete applications will not be considered

  7. Contact Information • Club Name or MAL Names (a minimum of two MAL must apply for the grant) • Club or MAL mailing address • Specific Contact person – club president or MAL • Phone number • E-mail address if applicable

  8. Application Questions • Provide a detailed description of how the funds will be used to promote the mission of PI and the VA District • Provide a detailed description of the specific activities the funds will assist with and a timeline related to the activities • Provide a detailed budget, including the cost of materials to be purchased, and number to be purchased • If a VA District Club is applying, provide club’s current financial statement

  9. Application Due Dates and Submission Process • Due by the 15th of each month from September to December • Each application packet must be postmarked by or emailed by the 15th. • Late applications will not be considered • A total of FOUR applications must be submitted to the review committee – (2009-10 DAC) • If mailed, each member of the committee must receive a completed application • If emailed, each member must also receive a completed application
