  1. Planning Your Contests Area Governor Training June 22, 2013

  2. Area Contest 101 • Two contests per year • Fall – Humorous Speech and Table Topics • Usually held late September or early October • Spring – Evaluation and International Speech • Usually held in March • Utilize the District 36 website • Contest forms • Budget forms • Lots of good information

  3. Get Started! • Pick your date • Weeknight • Saturday morning • Sunday afternoon • Thursday evening worked for me! • Send your date to the District to include on the calendar • Find Your Venue • Which of your clubs could host it?

  4. Details, Details • Assign jobs to your team • Registration • Signs • Food • Set-up/Clean-up • Don’t forget the timing equipment! • Get Your Flyer Out • Send to all your clubs, other Area Governors • Send to the District • Send it out again • Check in with clubs about their own contests and encourage them to send a contestant • With you club visits, you may end up being there while they are doing their contest.

Important People • Find your Contest Master & Chief Judge • Shouldn’t be within your area • Utilize the other Area Governors—work together • “Contest Master Tips” • “How to Be a Contest Chief Judge” • Search for Judges • Need one judge from each club • Use Division Governor and other Area Governors • Keep it balanced so that one contestant is not favored

Plan Your Budget • Plan your Budget • Estimate 30 people will attend • Charge $5 ($150 total to work with) • EVERYBODY PAYS! • Food (Subway, pizza, salad or fruit, cookies) • Drinks (2 liter bottles and cups) • Don’t forget the ice! • Paper Products (plates, cups, napkins, forks..) • Gifts for Contest Master and Chief Judge (candle, lotion, gift card, flowers)

  7. Week of the Contest • Program • Finalize the details with your team • What is each person responsible for • What time is everyone expected to arrive • Check in with the Contest Master and Chief Judge • Copies of judging forms and Certificates • Raffle Tickets • Division D had tickets • Use for 50/50 and Door Prizes • Remind each club that they need to bring a door prize • $10 dollar limit

  8. Contest Time! • Run a tight ship • Contest will probably run about 2 hours • Money • Plan enough time for set-up • Recognize your Dignitaries • Have a great time!

  9. After the Contest • Submit your contest winners to the Division Governor • Submit your contest winners to the District • Submit your budget to the District Treasurer • Make sure you save money to pay your contestants’ entry fees to the Division contest • Do a quick lessons-learned to make sure you are aware of what may need to be fixed for your next contest
