Information Management? • Information management (IM) concerns a cycle of organizational activity: • the acquisition of information from multiple sources • the ownership and the distribution of that information to those who need it • and its ultimate disposition through archiving or records management.

  4. In Simple Terms: • INFORMATION MANAGEMENT is an umbrella term that encompasses all the systems and processes within an organization for the creation and effective use of company information.

What else is it? • The infrastructure used to collect, manage, preserve, store and deliver information • The guiding principles that allow information to be available to the right people at the right time or security • The view that all information, both digital and physical, is an asset that requires proper management • The organizational and social contexts in which information exists

  6. What is the Purpose of IM • Design, develop, manage, and use information with insight and innovation • Support decision making and create value for individuals, organizations, communities, and societies • Mitigate Risk

(2015 stats) • Document challenges account for 21.3 % productivity loss – searching • 92% of Knowledge Workers collaborate over documents using email • 83% of Knowledge Workers lose time to versioning issues, every day • Professionals spend 50% of their time searching for information and take an average of 18 minutes to locate each document

This refers to a multi-disciplinary approach to achieving organizational objectives by making the best use of knowledge • ECM - Electronic Content Management • Records Management • Document Controls

What else does Doc Controls do? • Ensure our Procedures (22+) are reviewed in a timely manner, every 3 years, posted and rolled out – we facilitate review process leading SME teams and reporting out • Provide training whenever needed • Manage mandatory trainings and testing and reporting out • Publish a monthly newsletter for our group • Facilitate Webinars as needed

Doc Controls - Newark • We have a Document Controls department in Newark who support the Engineering/Design department • They monitor our drawings largely for Inside Plant and transmit them to multiple A&E Vendors when needed • They also assemble drawing packages for review for all projects – these can include up to 1000 drawings + • So they’re managing information which is on the drawings, including sites, stations, circuits, etc.
