  11. Objective • The objective of any website is to serve as communication media and marketing tool between the organization and the intended audience. With this is mind, the objective of this website, is to: • Constantly publish any relevant information by working closely with University of Venda and it’s relevant departments

  13. Risks • In most instances, the availability of content can be regarded as the largest risk factor in any project of this nature. The lowering of this risk is essential to the success of any project and this can be achieved by following the strategy below. • Creation of a user group, were all the departments will have a representative that will collect all the relevant data that has to be on the website.

  15. Options • Maintain current HTML site as is OR • Re-create and combine the Polokwane International site with GAAL site to reflect an intelligent database structure to ensure proper functionality and statistics

Methodology • Workshop to understand the needs with all stakeholders • Create sample designs and present for signoff • Create a new database back-end and populate the database with all existing data as currently available. • The full extent of existing data is not currently known. With this in mind, we suggest that the initial content be captured with the assistance of ourselves. • When all or convincing data has been populated to the demo site, we will then review the whole site (with signoff from GAAL) and then publish the website as live.

Time frame – Web-site • The development of the back-end can start within 1 week of acceptance of this proposal. • Workshop to determine needs (1 day) • Development of new look and feel (1 week) • Presentation of new look and feel (1 day) • The publishing of existing data will vary in the time required depending on the amount of data that we are requested to assist in capturing. This will be determined during the workshop. (estimated 1 month) • The timely completion of the project will depend on the availability of information as requested from the client.

Project Management Cont. • iTMaster will appoint a Project Manager to manage all aspects of the implementation and supply weekly progress reports • A formal project charter has been developed in conjunction with a detailed project plan that will be used by both parties involved • The project plan will be made available online through the online project management portal • All stakeholders will have login details to access the project plan online through the portal • Weekly project progress meeting will be held • iTMaster will be happy to follow the any required project methodology not included in our methodology
