CWDS Training Update • Completed two weeks of instructor-led training • Week 1 (9/10 – 9/14): 13 classes • Week 2 (9/17 – 9/21): 14 classes • Three weeks of training remain • Week 3 (9/24 – 9/28): 14 classes • Week 4 (10/1 – 10/5): 15 classes • Week 5 (10/8 – 10/12): 4 classes • Important reminders for staff • All staff should be prepared to provide their driver's license ID or another official form of photo ID on day 1 at the training facilities • All staff should bring their E-LMS username and password with them to class • All staff should bring basic office supplies (notebook, pen) to class

CWDS Training Update • Electronic versions of training materials will be distributed on CD to each office • Each office will be provided with materials for every course including the simulations, electronic copies of the training binder, and other supplemental materials • CDs will be mailed the week of 10/1 • Documented questions/answers from the daily 2:30pm conference call are posted to the CWDS Project website • www.paworkforce.state.pa.us/cwds • “Questions from Training” • Questions/answers from weeks 1 and 2 have been posted • Weeks 3, 4, and 5 will be posted by Wednesday of the following week

CWDS Implementation Readiness • Local Office Technical Requirements for CWDS • Internet Explorer version 6.0 (with service pack 1) or Firefox version 1.5, 2.0 • Pop-ups must be enabled • Java script must be enabled • Ability to accept cookies • Additional recommendations for CWDS system requirements • Do not use (or turn off) Google toolbar, Yahoo toolbar • Use of Windows Vista is not suggested • The technical settings document, which offer step-by-step guidelines to modify computer settings, will be distributed after today’s webinar

CWDS Implementation Readiness • Implementation Support Resources • “Mini Manual” is being created by BETP • Section 1: Terminology crosswalk • Section 2: Desk guide for data entry • Section 3: Comparison of AIMS screens to CWDS screens • Log In Job Aid • Step-by-step instructions on how to access and log in to CWDS for staff and self-service users • Training Addendum • Highlights the differences between the CWDS training database and the production database • Includes a list of functionality changes and documented enhancements/modifications that have been requested

CWDS Implementation Readiness • Complete September data entry in AIMS • This should be done through September or in early October (no later than Thursday 10/11) • Collect information on participants’ service providers • This information will need to be added to CWDS after go-live on 10/15 • Organize a list of cases assigned to case managers • This information will need to be added to CWDS after go-live on 10/15

CWDS Implementation Readiness • Use of “DPW Provider” in CWDS Training and Production databases • The DPW Provider is a “dummy provider” that is set up in the training database, and will be available in CWDS production at go-live to be able to convert all the existing services (activities) from AIMS to CWDS • All services must be attached to a provider in CWDS; since we do not have this information in AIMS, we need the “dummy provider” to facilitate data conversion • All services attached to this “dummy provider” can have hours added and can be terminated under this provider • Any NEW activities added for participants need to have an actual provider entered in CWDS and attached accordingly

CWDS Implementation Readiness • CWDS Communication Process for Go-Live • Important updates regarding the CWDS production database will be sent via email from the resource account (ra-cwds-elms@state.pa.us) • Important announcements will be posted on the CWDS homepages • System problems will be documented and prioritized for resolution • High priority “showstopper” fixes and data fixes will be moved into the production database as quickly as possible • Medium and low priority system fixes will be moved into the production database during one schedule update prior to the OVR go-live on Monday 11/19 • Requests for enhancements or modifications to CWDS should be channeled through your CWDS coordinator or program coordinator

CWDS Implementation Readiness • Implementation Field Support • After go-live, BETP Program Advisors and CWDS instructors will be visiting various field offices to provide on-site implementation support • 10/15 – 10/26: 23 Program Advisors • 10/15 – 10/19: 5 instructors • 10/22 – 10/26: 3 instructors • 10/29 – 11/2: 3 instructors • 11/5 – 11/9: to be determined • Instructors will be available to: • Answer system functionality questions from staff • Provide a two-way communication channel between field offices and the CWDS project team in Camp Hill • Office managers/directors and CWDS coordinators will be notified in advance if an instructor is scheduled to visit their office

  13. CWDS Implementation Readiness • DPW Help Desk • The commonwealth is currently working to finalize the help desk process • As soon as the process and contact information are available, we will share that with coordinators and staff

Next Steps • Share this information with your staff! • Complete September data entry in AIMS by Thursday 10/11 • Collect information on participants’ service providers • Organize a list of cases assigned to case managers • Contact the resource account ra-cwds-elms@state.pa.us with any questions related to CWDS training registration or E-LMS • Participate in the upcoming CWDS implementation readiness webinars • Thursdays 10/4 and 10/11 (10:30-11:30am) • If you are not able to attend, please identify a representative to attend on your behalf
