PearsonAccess – Logging In • Enter your User ID (your BVSD email address) and Password • Then click ‘Sign In’ • If you have problems logging in, use the links below to Unlock User, Reset your password, if you need help signing in or if you have forgotten your User ID.   5. Viewing User Accounts • To view and access current user accounts • Log in to PearsonAccess • Go to Administrative Management at the top of the page • Go to View User Accounts

  6. View and verify user accounts • Export to user account file to Excel or view individual user accounts within PearsonAccess: • User ID • Name • E-mail Address • Roles • Organizations (schools) • Status • Deleted Verify User Accounts Google Doc: Viewing/Editing/Deleting User Accounts

  7. Creating New User Accounts • Create a New Individual User Account • Go to Administrative Management > View User Accounts. • Click New User to go to the New User Account screen. • What if user already exists?

  9. PearsonAccess Navigation

  10. PearsonAccess – Home • The Home tab in PearsonAccess displays links to the all the functions available to your user account. • Tabs and sub tabs allow you to navigate quickly to specific screens

  11. PearsonAccess-Navigation • To change the test administration from CMAS to CoAlt, click on the Changelink. The administration change will apply to all screens.

  12. PearsonAccess-Navigation Help Help offers context-specific support. Click to close the Help window.

  13. PearsonAccess-Navigation Search • To search a student, use the Searchfunction Under the Student Data tab>Student Data Information • Search by Name, SASID, School, DOB, or check the box marked show all students • Then click the Search button

What are Test Sessions? • A test session is a virtual grouping of students by grade level and content (Science or Social Studies) • All test sessions have 3 test sections (Section 1, 2, and 3) • A Test Session must be created before you place students into the session • All Test Sessions must be created by Oct 24th • If test sessions are created after 10/24 notify the Helpdesk to complete proctor caching • Students must be placed in a scheduled test session before they can log in to a test.

  16. Creating a New Test Session • Select Test Management tab > Manage Test Sessions • Click New Session to create a new test session

  17. Creating a New Test Session • Enter the session information displayed on the Session Details screen • Select “View By Groups” radio button to add students to the session, Click Save

  18. Test Session Details • The Test Session Details screen will now display your new session’s status, assigned test, start time and assigned students • Session start time is only a guide

Viewing Registered Students • You can view a list of all 12th graders registered to take the CMAS test • Go to Test Management>Register Students • Search for a student by name, SASID, Grade or show all students • To view CoAlt students who are registered, click on the change link in Register students and change the test to CMAS CoAlt Google Doc: Viewing Student Registration Lists

  21. Adding Students into Test Sessions • Go to Test Management>Manage Test Sessions>Session Details • To add students to a testing session, in the session you want to add a student to, click Add Students

  22. Adding Students into Test Sessions • Select to View By Groups or Students radio button to add students to the session • Place a check next to those students to add or move the student into the session and click Add to Session

  23. Remove Students from Test Session • Click the check box next to the student to be moved to a different session, or removed. • ClickRemove, Select Yesto confirm or Noto cancel the action

Assigning Students to Accommodated Test Forms • If you need an accommodated online form for a student that was not requested in your original order, you can select this accommodated form manually on a student-by-student basis • Go to Test Management > Register Students>Registered Students • Search for and find the student in question • Click on the name of the student • Click on assigned tests tab • Click on test name • Click Edit and make changes by selecting an accommodated test form. • Click Save

Selecting Special Forms in PearsonAccess Test Session • Before testing session has started • Go to Test Management>Manage Test Sessions>Session Details to find the session the student is in • To the right of the student’s name in the Form/Form Group Type column will be Override or Specify • Click on Override or Specify • Under Form Group Type select the appropriate accommodated form you wish the student to have • Under Form, select the form listed • Provide a brief reason for selecting this accommodation for the student • Select Save

  30. PearsonAccess Printing Student Authorization Tickets Printing Seal Codes

Student Authorization Tickets Student Authorization Tickets provide students with the information required to log into their test. • Are secure material- must follow the chain of custody process • Print only one student authorization ticket per student for the entire testing window • SACs print Student Authorization tickets and Seal Codes located in each PearsonAccess test session • On the day students take the online test, Test Administrator will distribute authorization tickets and write seal code for that test section on the board • Test Administrators collect Student Authorization Tickets after testing and return to SAC with any test materials

Student Authorization Tickets • In Manage Test Sessions>Session Details>Click on Authorizations > Student Authorizations to create a PDF document that has each student’s testing credentials • Multiple printing options for Student Authorization Tickets (Detail View, Grid View, List View- Detail View recommended)

Seal Codes When students are ready to begin a test section, the Test Administrator should write the Seal Code for that test section on the board • Only provide one test section Seal Code at a time • You will only use Seal Codes 1-3, cross out seal codes 4-9 • When all students have logged into the test section using the Seal Code, the Test Administrator should erase the seal code off the board • Each test session contains 3 sealed test sections. • Seal Codes must be used in the order they are printed. • Seal Codes become invalid as soon as the test session is stopped. (A new test session requires new Seal Codes.)

  36. Seal Codes To print Seal Codes go to Test Management>Manage Test Sessions>Session Details > Authorizations> Click on Seal Codes from the drop down menu

TestNav8 and PearsonAccess Links • Links will be posted to the BVSD homepage: • TestNav8 : students to login to test • PearsonAccess: Test Administrators to login during testing, start the test session, and monitor testing • These links will be located on the left hand side at the BVSD main website. Click on this LINK to go to the BVSD homepage.

  40. Starting a Test Session • To start a session go to Test Management>Manage Test Sessions>Session Details and select the session you would like to start • Click on the Start button • Test sessions status shows as either Started or Not Started

Monitoring Test Sessions • Test Administrator’s Role: Monitoring test sessions • Start the test session in PearsonAccess • Hand out student authorization tickets • Write the Seal Code for that section only on the board, erase after students have begun the test • Assist with student log-in • Actively proctor the test section without looking at test; monitor activity in PearsonAccess • At end of each section: • Have students exit the test to resume later • Before the next section/day of testing: • Resume Students before they login

  44. Logging Out of Test Section: Directions • For Sections 1 and 2 Students must navigate to the review screen in the toolbar • In the top-left hand corner of the screen, students will select the blue ‘Return to End Section’ button

Logging Out of TestNav: Directions • For sections 1 and 2: the seal code screen for the next section will load. • Once on this screen, students must complete steps to log out of TestNav. • Students will select the User icon in the top right portion of the screen and select “Logout of TestNav.” • Students will select the blue “Save and Return Later button.

Logging Out of TestNav: Section 3 • Students must navigate to the review screen using the Review button on the toolbar • In the top left corner of the screen, students will select the blue “Return to End Test” button • Students logging out of Section 3 will see the following screen • They will select the green “Submit Final Answers” button.

TestNav8 Early Warning System • Early Warning System (EWS) provides additional fail-safes in the event of unexpected network disruptions during online testing • This allows for minimal interruptions for students and safeguards against test data loss • Notification screens are designed for Test Administrators • Provides a list of common error codes with detailed instructions on how to navigate through the error- Error Code List

Student Response Files (SRFs) • A student response file or SRF is the encrypted test file for each student testing that is saved in a primary and secondary backup location • Primary backup location: computer’s desktop • Secondary backup location: students private folder in their H drive • If internet connection is available, then the SRF will upload to the PearsonAccess server every 3 test questions • When the SRF is uploaded to PearsonAccess, it will erase itself from the primary and secondary backup locations
