  5. Submitting a Grant Application 1. Deadlines • The internal deadline for submission of a grant application to the Research Facilitator/Office of Research is2 weeksprior to the agency deadline. • Even though all efforts will be made by the OOR, we will not be able to guarantee shipment of any application submitted less than2 days prior to agency deadlineas other factors may create obstacles (agency deadline requirements, RTS Requests, University commitment, etc.).

Forms/Documents • All grant application(s) must be accompanied by theGrant Submission Formor theInter-institutional Submission Form. • Grant application(s) are composed of the application form, the proposal (description of project), CV(s), CV attachment (contributions to research) and any supporting documents required by the funding agency.

  7. Submitting a Grant Application 3.Signatures • The Grant Submission Form and Inter-institutional Form must have all signatures present when submitted to the Office of Research. For all research related agreements, the signature of the University signifies the willingness of the University to: • Accept and administer the funds in accordance with the regulations of the respective organizations:

  8. Submitting a Grant Application 3. Signatures (cont’d) • Ensure adherence to the appropriate ethical review (human, animal, biological, hazardous, etc.) • Ensure that the Principal Investigator has access to and use of the necessary University facilities and services.

  9. Submitting a Grant Application 4. Institutional Commitment • Grant applications may include institutional commitment towards the request for funds. In all cases the institutional commitments must be authorized by the respective Department, Faculty or University representative.

Indirect Costs • Indirect costs refer to the central administrative costs that institutions incur to support research, that can not be attributed to specific research projects. • In Quebec, university research benefits from two indirect cost recovery systems for grants that are accredited, SIRU (Quebec) and the Indirect Costs Program (Federal). • All grant applications that are not accredited are subject to a 15% indirect cost which must be included in the budget. Some conditions may apply, please contact the OOR when preparing the budget to ensure it meets the agency guidelines and the university’s.

Translation Services • The Provincial funding agencies require that the title of the grant application and the 1 page summary of the research project be written in French. • Translation Services at Concordia can help find a translator in your specific field. You must however, give them sufficient time to do the translation, at least 4 weeks prior to the agency deadline. • When supplying the summary to Translation Services make sure to indicate that the translation is for a grant application and the agency to which you are submitting.

  13. Submitting a Grant Application Two methods available: 1. Paper Submission: • A copy of the grant application and the Grant Submission Form are given to the OOR reception or Research Facilitator. Reception will go over the internal form and ensure it has been completed. The researcher will receive a receipt slip for their submission. 2. Electronic Submission: • Researchers can submit their applications to Research Facilitator directly or to oor@concordia.ca electronically as attachments as either word documents or PDFs. The grant application must be accompanied by a signed scanned Grant Submission Form. The submission will be verified to make sure it is complete for review.

Electronic Submission (cont’d): • Researchers will receive confirmation that their application has been submitted for review to the OOR. • Applications missing documents will be returned to the researchers before they can be reviewed. • If the granting agencies requires a set number of copies, the researcher will be required to provide the copies to the OOR with the final version of the grant.

Main Funding Agencies Provincial Agencies Specific Additional Requirement: • The Provincial agencies require applicants to submit a certified copy of their diplomas (or confirmation of degree) when applying to the Nouveaux Chercheurs grant program. • To obtain certification, the original and 2 copies need to be submitted to the OOR. The Director will sign and certify the copy for the agency, and the copy will be submitted with the application.

  19. Preparing a Grant Application Tips & Advice • Start Early • Consult Sample Applications at the OOR • Read & Follow Agency Guidelines • Write your Proposal for an Informed or Educated Lay-person Audience • Have a Colleague Read the Proposal • Respect Deadlines

  20. Results Entered into the OOR database. Disseminate results to Senior Administration, Faculty Deans & Associate Deans, (Research). Notification of award are issued to Principal Investigators and Restricted Funds (in Financial Services). Applications that are not funded are sent to archives. Post Application

Post Application Research Accounts • ANotification of Awardis produced for successful grants when they have met all conditions. • Restricted Fundscreates the research account and advises researchers of the account number.
