  2. Step 1: Preparing for the New School Year in Spring

  3. What can be done in Spring? • High School/Middle School • Move incoming students to the next database for scheduling • Elementary • Enroll incoming students • Create placements • Assign next year teachers

  4. Other Important Information… • The actual rollover process needs to wait until after the school year has ended • Gather information, such as possible retentions, homerooms, and lockers • Be sure not to enter this data until the rollover • Elementary can enter Next Year teachers • This can be on final report cards

  8. The Rollover Process *Only one person needs to complete this per building *This should be done in the SUMMER *There is no rush to do this process

  9. Promoting and Retaining Students

  10. To Promote and Retain Students… • Select the grade level to promote • Begin with your highest grade level

  11. To Promote and Retain Students… • Select which students will be retained

  12. To Promote and Retain Students… • Enter a graduation date, if necessary

  13. To Promote and Retain Students… • Do this for EACH grade level • Make sure to work from the highest to the lowest • This step doesn’t change their grade level • It simply marks them as Promoted or Retained

  14. Advancing Grade Levels

  15. To Advance Grade Levels… • Make sure you have completed all the necessary items • If not, stop the process and finish those items

  16. To Advance Grade Levels… • Select if you wish to clear any data • When in doubt, do NOT clear • This can always be cleared after rollover

  17. To Advance Grade Levels… • Select the grade level to advance • Begin with your HIGHEST grade level and work down

  20. Adding a New School Year

  21. To Add the New School Year… • Select what school year you wish to add • This will add the school year to each student

  22. Assigning Lockers (MS/HS Only)

  23. To Assign Lockers… • Click the “Clear Assigned Lockers” button • You select whether to clear some or all

  24. To Assign Lockers… • Decide how you wish to assign lockers • The method you select determines what your locker “Section” needs to be

  25. Assigning Homerooms (MS/HS Only)

  26. To Automatically Assign Homerooms… • Select the available homeroom teachers for each grade level • Homerooms will be automatically assigned

  27. To Manually Assign Homerooms… Homerooms can be assigned in Harmony 3 in Students by Homeroom. In Harmony 2, they are assigned in Guidance…Classes by Homeroom.

  28. Assigning Teachers (Elementary)

  29. To Assign Teachers in Elementary… • Checkmark the students for a homeroom and use the “Assign Teacher” button to pick a particular homeroom teacher

  30. Placement (Elementary)

  31. To Use Placements in Elementary… • Placements are entered by either the office or teachers in Classroom…Student Skills by choosing Add…Student Placement

  32. To Use Placements in Elementary… • Placements are then viewed in the Ready for Next Year navigator • They are used to determine next year classes • Teachers can be assigned from this view

  33. Step 4: Setting up the New School Year

  34. After the rollover steps are completed… • System Profile changes • Change the school year • Enter the new grading period dates • Update the current term/current grading period

  35. IF YOU ARE SCHEDULING… • Continue to work in the Show Next Year navigator as normal • We will change current year views to match Show Next Year during the summer

  37. COMING SOON IN HARMONY 3… • Consolidating the promote retain process • You will be able to see who is marked as promoted/retained • Advance grades all at one time • More field choices to clear

  39. Can I do the rollover steps out of order? • The first steps of Promote/Retain, Advance Grade Level, and Add School Year must be done in order • Homerooms, Lockers, and Placements can be done at any time during the process

  40. What happens if a student is a “No Show” in the fall? • Put the withdrawal date as the first day of school • We do not recommend withdrawal dates outside the school year dates

  41. What happens if a student enrolls in the summer? • An enrollment date is not necessary for the first day of school • If you wish to record a date, use the first date of attendance (first day of school)

  42. What happens if I forget to clear information at the time of rollover? • Data can be cleared after rollover in Office Use…More Student Views…Rollover Fields
