AAC Update • Mechanism for importing pricing data from McKesson into RPMS • Only updates Acquisition price • Updates price in Drug File and in another file in RPMS that makes the price available when updating drugs • Must have access to the report on McKesson account • Originally was called Amerisource Acquisition Cost (AAC) because that was the prime vendor at the time

AAC procedure • Generate report from McKesson and save it • If no access to the report, contact McKesson representative or call SMO Help Desk • Get file into the hands of site manager • Email • Save in shared folder • Site Manager will put file in “Pub” folder • Find out RPMS path to “Pub” folder

  4. AAC procedure (cont) • Run the routine in RPMS to import prices • IHS Specific Pharmacy Options • Import Entries from AAC File • Need to enter path to Pub folder • Look at the error report • Fix Non-AWP errors • Consider running AWP Manual Update

  5. McKesson Report • On the “Catalog” screen, “REPORTS” tab • Be sure to select correct account • First time, select “Retrieve Full Load” • Don’t include previous price • Don’t select any filters • Choose “RPMS Extract” • Sort doesn’t matter

The File • The file name should be smoextr******.csv (where ****** = date the file is generated). • If saving the file from the McKesson screen doesn’t seem to work, choose open then save the file with the recommended file name. • Get this file to the Site Manager for placement into the “Pub” folder. • Be sure to write down the “Path” to the “Pub” folder.

  8. The file is in the Pub folder. Now what? • IHS Specific Pharmacy Parameters > Import Entries from AAC File • Make sure Path to Pub Folder is correct • File name is case sensitive • Don’t forget the .csv on the end AAC IMPORT ENTRIES FROM AAC FILE THIS OPTION WILL IMPORT ACTUAL ACQUISTION COST INTO THE AWP MED TRANSACTION FILE DO YOU WISH TO CONTINUE? YES// ENTER THE PATH TO THE ACTUAL ACQUISTION FILE: C:\inetpub\ftproot\pub Replace ENTER THE NAME OF THE ACTUAL ACQUISTION FILE: // smoextr050310.csv • GOT THE FILE smoextr050310.csv.......................................................... COUNT OF UPDATES IS 14294

The Error file • Will notify if drugs have invalid NDC codes or if there were no AWP prices on any products from the file • Should fix problems with the NDC codes • Try running the AWP Manual Update option to update AWP prices ENTER THE DEVICE TO PRINT THE ERROR LIST DEVICE: HOME// Virtual Right Margin: 80// IHS HOSP PAGE: 1 NDC# AAC# ERR 3975984 NDC NOT 11 DIGITS 0 3975984 NO NDC NUMBER 00000000240 1241074 NO ENTRY IN AWP MED TRANSACTION FILE FOR NDC
