  4. Common Budget Questions • What is a FOAPAL? • How much do we have left in our _____________ budget? (salary, wage, current expense, travel etc) • How much do we have in our fund balance? • What do I need to do to move money from A to B? • What do I need to do to adjust our budget? • How do I setup a budget? • I am trying to setup a PO and it says there is insufficient budget, how do I fix that?

What is a FOAPal FUND - 6 Digit code that indicates WHERE the transaction comes from ORGANIZATION - 5 digit code that indicates WHO is responsible for the transaction ACCOUNT - 4 digit code that indicates WHAT the transaction was for PROGRAM - 2 digit code that indicates HOW we compare to other institutions ACTIVITY - Up to 6 characters (alphanumeric) that tracks specific activities LOCATION - N/A for department use, only used by Finance More information

  7. How much do we have in our fund balance? Banner: FGITBSR Enter Fiscal Year and Fund click GO (or alt+page down)

  8. What do I need to do to move money from A to B? First question: When you say money do you mean cash (fund balance), budget, or actual expenses/revenues? Cash Transfer (Transfer of Funds) email form to ctrladmin@suu.edu Budget Transfer email form to budgetoffice@suu.edu Expense/Revenue Transfer email form to ctrladmin@suu.edu or use google sheet

  9. What do I need to do to adjust our budget? Budget Transfer Request (E&G to E&G) moves budget from one budget line to another budget line or to another ORG Non-E&G Budget Revision is used to revise a non-E&G budget that has already been setup for the fiscal year Budget Forms

  10. How do I setup a non-E&G budget? Non-E&G Budget Request is used to set up a non-E&G budget for the fiscal year. Once the budget has been set up, changes to the budget are made using the non-E&G budget revision form. Information required to fill out form: • Fund balance • FOAPal information • Account amounts (based on estimates for the fiscal year) Budget Forms

  11. Trying to setup a PO it says insufficient budget, now what? First check FGIBAVL Enter Index or FOAPal Account should be 7000 Click GO (alt+page down)

  12. Trying to setup a PO it says insufficient budget, now what? Second, determine whether expenses need to be moved, budget needs to be revised (non- E&G), budget transfer needs to happen (E&G) or if encumbrances need to be liquidated. Third, submit appropriate paperwork based on what needs to happen. Once the paperwork has been processed the PO should go through
