  1.   2. Navigating to Nolij Web • Nolij is now available online and can be accessed from any computer with the internet. • Mozilla and Safari are the preferred platforms for using Nolij. • You can access Nolij right from the ITS website at www.albany.edu/its

  3. Logging in • Your username and password to log into Nolij are the same as MyUAlbany.

  4. There are 4 windows that will have information available for reviewing applications. List of applications List of documents Documents for viewing Basic information to aid in review.

  5. When you first login, you will see your application “mailboxes”. These consist of pending and complete boxes for each program area/level. • The number after certain mailboxes indicates how many applications are in that box. This indicates 3 applications in the Forensic Biology pending folder.

  6. By clicking on the folder, a new text box will open with a list of the applications in that folder. You can now see the Albany ID of the applicant as well as their name and date that they were moved into that folder. By clicking on the folder header, you can rearrange the list by number or by date put into the folder. This may help in reviewing only new applications.

  7. You can select one application or multiple applications to open at once. If you select one folder, then only one will populate in the query results area, and the documents in that folder will immediately be present. If you select multiple, you will have all available in the query results, but will have to click on a specific one to get the documents to populate in the folder objects.

  8. In order to view one of the documents in the list, you just single click on it and it will populate in the right top window. • There are 2 ways to make this document easier to read. • You can double click on the document name in the folder object list which will open the document in a separate window. • You can move the form data out of the way to reveal more of the document.

  9. This will allow you more room to scroll through the document. In this view you may also use the tools provided (highlight, sticky note, etc.)

  10. In the header bar of the document viewer, you will see a button for annotation tools. These will allow you to comment on documents and save it so that other members of the review committee can see what you are pointing out.

  11. The form in the bottom right window supplies information in support of the graduate application. You will find email address, program information, test scores, as well as transcript information. Test scores: You are able to scroll through these to see all of the scores available for this student. Test scores on this page are considered official. They are not entered into the system unless they have been received from ETS/GMAC. There is now a calculated highest GRE score for the verbal and quantitative scores. For more information on this please see the document specifically for this.

  12. Transcript information is entered as it is received from the student. If it is entered in the transcript area, we have confirmed the information based on an official transcript. The schools listed in the Degree area are those which the student has earned a degree from. The schools listed in the Institutions No Degree Awarded section are schools which the student attended but has not yet/will not receive a degree.

  13. Turn It In for Admissions Scores There is now a score populating in this TIIA Score box. It is a number from 0-100, which indicates level of originality in the statement of goals uploaded with the application. If the score is 15 or greater, then a report will be available for review to see what matched. For more information on the TIIA service, please contact Grad Admissions.

  14. After looking at the documents in the folder, you are able to make comments for other committee members to see. Simply type comments in the input comments area and hit enter. It will tag the comment with your user id and date stamp it. You can sort the comments by committee member or by date by clicking on the desired header in the review committee comments area.

  15. If you are making a decision on the folder, you may enter the decision by using the dropdown in Dept Decision area of the form. Admit – Degree: a simple admit Admit - No Funding: a student who you are admitting and not offering funding to Admit - Non Degree: a simple ND admit Defer: if you want the student to be considered for another term Deny: Not admit Reconsider : not something that you will use. Waitlist : You can use this to waitlist students who you are not sure about whether you have room for them Withdrawn : a student who has indicated to you that they are not attending. To return the decision to Admissions, you will then need to select Submit Decision YES and then save.

  16. If the applicant is being admitted with conditions this will be noted in the Notes/Conditions of Admission section below. These conditions are noted in the applicants admission letter. In the Advisor Name and contact information area, please indicate who will be the advisor for the student and the preferred email or phone for that person. This information is also available for the student in the admission letter.

  17. Once you have completed the work and input the decision, you can use two methods of routing the application back to admissions. If you hit save after inputting the information, then the application will be available for admissions to process the decision the next morning. If it is an application in one of your complete folders, you can route it to admissions immediately by hitting the work complete button at the top of the screen. This will send it back to admissions directly and will make it disappear from your mailbox. If you press this button to submit an application that was in a pending folder, you will get an error message. You can hit ok, and the folder will be routed back to admissions overnight.

  18. You can view a folder any time before or after you make a decision, even if it is not in one of your mailboxes. If you type the Albany ID in the box at the top of the panel and hit enter, it will return a list of all the applications for that student. You can then click on the application in the Query results box to reveal the documents. You will be able to continue to view these at any time in the process or in future terms. You can continue to make comments as well (if necessary).
