  1. Faculty Effort Calculation Tool Presented by: Sheryl Vick, Administrator, Microbiology Carson Simões, School of Medicine

  2. Campus support for faculty effort management The Management Accounting & Analysis site provides resources that support the calculation of: • ADS/ENS and Clinical components • Committed cost-share • Salary Caps • http://f2.washington.edu/fm/maa/fec/fectools

  3. MAA Calculator Website

  4. …. at the department level Beyond certifying faculty effort, departments are responsible for managing multiple factors related to effort compliance: • Effort committed to the sponsor on awards • Sponsored research effort, clinical effort, teaching effort, etc. • The combination of components contributing to paid salary distribution

  5. Creation of a tool… Our department developed a tool that helps us manage: • Salary caps • Sponsor compliance • Components of the IBS that need to be converted for OPUS • Incorporates the flexibility of expanded authority when necessary and appropriate • Assists in projecting, tracking and reconciling FEC reports

  6. Further complexities… • Budgets may start or end within the certification cycle • Compensation components and amounts may change with the certification cycle • Exercising expanded authority • More recently two salary caps • Committed effort changes within a certification cycle • OSETs

  7. Compensation Information FEC period Faculty Identifiers Non-sponsored Budgets Sponsored Budgets

  8. The Monthly Detail View… Values here will be from set-up, but can be edited for a month Data can be entered for planning purposes

  9. The Monthly Detail View…

  10. Compliance Summary… The Compliance Summary will allow the user to monitor effort projections and actuals, even if there is only one month of actual OPUS/OSETs data. Shows how many months of actual distributions are in the summary The summary will warn the user when % of Committed Effort is over 100% or under 76%

  11. Some details to note… • This tool is optimized to work with FEC cycles for faculty on twelve-month appointments • While this tool is designed to address most standard effort situations, there are some situations that are not automated in the tool: • Budget start dates other than the first of the month • Committed cost share • This tool is designed to assist departments/units with effort management; the department/unit remains ultimately responsible for effort reconciliation and reporting decisions

  12. Acknowledgements and Tool Access • This tool is based on original work by the Department of Microbiology and has been adapted in partnership with the SOM’s Office of Research and Graduate Education (RGE). • We are seeking input from campus units about the extent to which there may be interest in sharing the tool. • Your feedback will help us establish next steps for sharing& training. • The tool is available at: https://catalyst.uw.edu/workspace/csimoes/31609/
