  3. Reviewer, Approver, TET and TEA Instructions The Employee Instructions are the foundation for success in I-Time and include: Logging On Navigation Terminology & Time Entry Information

  4. Reviewer, Approver, TET and TEA Instructions Each of these roles will get this screen. They will however have different functions….

  5. Reviewer, Approver, TET and TEA Instructions Reviewer - Can review time sheets, but have no edit capabilities. They can disapprove time sheets for corrections but can not approve time sheets.

  6. Reviewer, Approver, TET and TEA Instructions Approver - Can approve time sheets for designated Time Entry Locations (TEL's). If more than one approver is set up for a certain Time Entry Location (TEL), all approvers would have the same rights and would function as each others backup.

  7. Reviewer, Approver, TET and TEA Instructions TEA - Time Entry Assistant - Can create time sheets on behalf of other employees in designated Time Entry Locations (TEL's).

  8. Reviewer, Approver, TET and TEA Instructions TET – Time Entry Technician - Can create and approve time sheets on behalf of other employees in designated Time Entry Locations (TEL's). When a Time Entry Location (TEL) is set up to have a Time Entry Technician (TET) no one else will have edit access to these time sheets except another Time Entry Technician (TET) designated for that Time Entry Location (TEL) and the Central Payroll Office (CPO). Employees can not be in the same Time Entry Location (TEL) where they are the designated Time Entry Technician (TET). No other roles can be selected for this Time Entry Location (TEL).

Reviewer, Approver, TET and TEA Instructions Time Entry Entering your own time When you open I-Time, your timesheet will load and be displayed on the right side of the sheet and is ready for time entry. You will enter your own time the same way as any other employee. See Employee Time Entry Instructions

Reviewer, Approver, TET and TEA Instructions View/Print Reports: There are several reporting options: The next three slides will give a brief example of what information is contained in the reports. * Once a report is generated it can be copied into other applications and manipulated for your specific needs.

  12. Reviewer, Approver, TET and TEA Instructions Employee Reporting When the employee reporting option is selected a screen will open that displays the report type and any options. Users can select a report type, sorting option and a specific TEL. Report Type - Select from the following options Employee Listing New Employees TEL Listing Sorting Options - Select from the following options By Employee Name By Employee Type (CPO, SUP, TET only) By FLSA BY Pay Location By TEL Name Time Entry Location - Select from the following options All Choose individual TEL’s – more than one TEL can be selected by holding down the ctrl key and clicking on the TEL name.

  13. Reviewer, Approver, TET and TEA Instructions Time Reporting When the time reporting option is selected a screen will open that displays the report type and any options. Users can select a report type, sorting option and a pay period. Report Type - Select from the following options Employees with shift, overtime or EAL Selective Time Codes Time Sheet Signature Total Time Sorting Options By Employee Name By TEL Name Pay Period Scroll through and select the pay period you want the report for.

  14. Reviewer, Approver, TET and TEA Instructions View Print Individual Time Sheet Report Type - Select from the following options Blank Timesheet Submitted Timesheet Pay Period Scroll through and select the pay period you want a time sheet for.

  15. Reviewer, Approver, TET and TEA Instructions Review Time Sheets Your level within the agency will determine the employees that you are allowed to view, review, create, approve or disapprove timesheets for.

  16. Reviewer, Approver, TET and TEA Instructions Click Review Time Sheets You will need to select a TEL and click find. The time sheets for those employees will be displayed.

Reviewer, Approver, TET and TEA Instructions Approval Process While reviewing time sheets, you can For each of your employees that have submitted time there will be an option to approve or disapprove above their name and a summary will be displayed to the right. To approve or disapprove a time sheet click the thumbs up (approve) or thumbs down (disapprove) above the employees name.

  20. Reviewer, Approver, TET and TEA Instructions & For each employee you will also have the option to add comments, create time sheets or view time sheets. & You will have the same options on the inside of the time sheet, but can also override the Overtime, EAL and shift indicators

Reviewer, Approver, TET and TEA Instructions & Override EAL, OVT and the shift indicator For each field you want to override you will need to select 0, 1, 2, 3 OVERRIDES ARE BY WEEK 0 = DO NOT OVERIRIDE FOR EITHER WEEK 1 = YES FOR WEEK 1 ONLY 2 = YES FOR WEEK 2 ONLY 3 = YES FOR BOTH WEEKS BLANK = DEFAULT TO EMPLOYEE'S RECORD When overriding Shift - Yes means that they are eligible for shift.

  22. Reviewer, Approver, TET and TEA Instructions & Comments – If you click on the Add Comments link at the top of an employees name, a text box will appear which will allow you to add comments. The number of characters is unlimited. Once this box is closed it is impossible to delete the comments that have been added.

  23. Reviewer, Approver, TET and TEA Instructions Viewing an employee’s Time Sheet When you select View Time: The employees time sheet will open so that it can be viewed in detail. You will also have edit capabilities inside the time sheet and can add comments, do overrides and complete the approval process.

  24. Reviewer, Approver, TET and TEA Instructions Creating an employee’s Time Sheet This will open a blank time sheet so that time can be entered for the employee. Enter each employee’s time using the same procedures you use to enter your own time.
