  1. Tutorial for PI’s CleanRoom Equipment Security System

  2. Contents • What is CRESS and what does it do • Explanation of Users and Projects • How to look at your accounts • How Monthly billing works

  3. What Is CRESS? • CRESS is a computer system that controls access to the cleanroom and all the fabrication systems. • CRESS communicates what fabrication systems are functional, down for repair, and in use. • CRESS performs automated recharge billing at the end of the month.

  4. What does CRESS do? • Access to cleanroom and fabrication systems are locked/unlocked via the CRESS computer • Only authorized/trained users can check out tools • It logs each user’s time in cleanroom • It logs each user’s time on each tool • Users and PI’s can check status of equipment • A system is either: Ready, In Use, Maintenance, or Down • Users and PI’s can check status of their account • Users and PI’s can see who is in the cleanroom

  5. Projects and Accounts

  6. Explanation of Users and Projects (Accounts) • A researcher (user) has one or more project names (accounts), this allows one to work on multiple grants and charge each accordingly. • Each project name has an associated fund number • The recharge cap of the access time is applied to a project • A project name is unique to {a user and a PI and a fund number} • The same user may work for multiple PIs but must have unique projects names for each PI. • The project name is supplied by the user to WCAM staff along with the fund number. • A user chooses what project (account) to access the cleanroom and operate the machines. • A user can operate machine#1 with project “A” and machine #2 with project “B” simultaneously • A user can access the cleanroom under project “A” and use a machine under project “B” simultaneously.

  7. Explanation of Users and Projects (Accounts) Example Cap of hours Applies to a project • PI A • Student #1 • Project name = Mems4me • Funding for this project is 144 AB12 A 19 3577 • Project name = ICsRfun • Funding for this project is 144 CD34 A 19 3577 • Student #2 • Project name = IRsmart • Funding for this project is 144 AB12 A 19 3577 • PI B • Student #1 • Project name = MemsStuff • Funding for this project is 144 FG78 A 19 3577 • Student #3 • Project name = 35semis • Funding for this project is 144 DE56 A 19 3577 Same person

  8. Starting a New User • Link to getting started instructions: http://wcam.engr.wisc.edu/gettingstarted.html • Path for the new user to get started • Have a plan for their initial fabrication work • Take the WCAM safety and orientation course • Submit a User Information Form with funding • Schedule on-site orientation and training

  9. Ending a User • A person closes their account in WCAM by checking out with the staff. They must: • Cleanout their drybox and return the key (if appropriate) • Clean out their “white storage tub” and return it (if appropriate) • Remove any personal chemicals they have in the cleanroom • Send us an email stating the above tasks are complete and that they want their access to be deleted • Once the above tasks are completed, the person and their WCAM projects can be deleted.

  10. How a PI or Usercan look at their accounts

  11. Looking at CRESS from outside the cleanroom We have developed the option for you to access CRESS from outside the cleanroom. After logging in as a PI, you are able to: • Check the accounts of your users • View the statistics for equipment use • View the status of equipment • See who is in the clean room

  12. Open your web browser • CRESS works best using Internet Explorer (verified on Firefox as well). • You must use a UW IP address due to security measures. • Use this web link: • https://cress-external.engr.wisc.edu/showLogin

  13. 1st Time OnlyLogin & Change Password • Type in yourProject Name given via email • Initial password is changeme • Click “Log In”

  14. 1st Time OnlyChanging Password • Type in old password changeme • Type in your new password – at least 2 characters • Retype new password

  15. Login Again with Project Nameand new Password

  16. Main Menu Choices • Click on “See my account”

  17. See My Account • From the pull-down you can select a month billing summary

  18. See My Account • From the monthly summary you can select a specific account to view the detailed charges

  19. See My Account • You can view the account details and at the bottom of the page either select a new month or select new account or return to index.

  20. Main Menu Choices • Click to view users currently in the clean room.

  21. Persons in Clean Room This page displays who is presently in the cleanroom and status of equipment throughout the cleanroom. A link to this page is also available on the WCAM website: www.wcam.engr.wisc.edu

  22. Main Menu Choices • Click to change the password to your log in. • Clickto send an email addressed to all WCAM staff (useful for reporting problems with tools in the lab). The Main Menu also offers these options

  23. How Monthly Billingis Accomplished

  24. Monthly Billing • Monthly billing is done in a three step process (details on next slides) • 1) A test billing • 2) A wait period for funding changes • 3) The final billing

  25. Test Billing • CRESS sends out a Test Billing email notice for that month’s bill. • PI’s and financial assistants will get the email notice • The notice contains the user names, user projects, fund numbers and charges for that month

  26. Wait Period • We wait at least one week for funding changes. This is an opportunity for PI’s to change funding for a project. • Changes can be emailed to the address that the test billing was sent from • Funding can be changed only for whole projects for whole months. • You cannot say “for project Mems4me charge $200 to fund A and the rest to fund B”. The entire project for the entire month must be charged to one fund number.

  27. Final Billing • After the wait period, we close the month with a final billing • CRESS sends out a second Final Billing email to PI’s stating the funding transfer that has occurred • WCAM can no longer make changes to funding.

  28. Thank you!
