ER Audience Event Recap IT Camp–Waltham Systems Mgmt 10/28/2011 Systems Management & Cloud Event - Three Tracks Systems Management Virtualization Hands On 18 Community Volunteers Many helped with the event (registration, making coffee, buying donuts, room setup, speaking, recording and lots more!) 175 people registered 158 in attendance Highest Praise was for Hands on Lab! IT Camp–Waltham Systems Mgmt ER Audience Lessons Learned / Best Practices Pre-Event During Event Coffee and donuts for breakfast Plenty of food, beverages and snacks Need at least two EXPERIENCED people to work the lab (three is better) SWAG for “Helpers” (eg. USB drive for all speakers, coordinators and assistants) Have designated “Event Coordinator” for the event (UG Leader) If multi-track; have designated track leader for all tracks Record Sessions if possible (more volunteers needed) All publicized speakers MUST attend to avoid dissatisfaction Promote Community Events and “giving back” to the community Make Go Do’s simple and pronounced • Order pizza/food at least 24 hours in advance and confirm the morning of the event. (Dominos 1 pizza per 3 people) • Engage community early and often for support during event and driving awareness • Get your UG leaders or other potential speakers and helpers to the event • Have plenty of giveaways for the end of the day (partners can help with this) • Guest Internet Access (if possible) • LAB (if hands-on) • Help, extension cords and strips needed to setup and WIRE the lab • Lab assistants need to go through the lab BEFORE the event to have experience • DVD’s of bits (just in case) • USB DVD Drive (just in case) IT camp
