  7. Enrollment • Students may continue to be enrolled before the second class meets with instructor and department approval (Form 125-070) • But only if they attended the first class! • Students usually have until 5pm the following business day to pay

  8. Form 125-070 • Used to enroll or re-enroll students into a class • Requires instructor signature to verify two things: • Instructor’s permission • Student’s attendance • Please print your name legibly • *TIP* - have some copies of this form with you on the first and second day of classes

  9. Scenario 1 - First Class Meeting • Student on Roster • Good to go! • Student Not on Roster • Allow to sit in on the first class • Have student complete Form 125-070 • Sign Form 125-070 • Have student bring Form 125-070 to department office before the next class meeting

Scenario 2 – Second Class Meeting • Student on Roster • Good to go! • Student Not on Roster • Not allowed to sit in on class • If student was on the roster on the first day of class: • Complete and sign Form 125-070 • Send student to department office • If student was not on the roster on the first day of class: • Refer student to 14W / 12W / 8W2 classes • Do NOT send to the department office

Scenario 3 - After the Second Class Has Met • Student was on the Roster on First or Second Day of Class • Not allowed to sit in class • Complete and sign Form 125-070 • Send student to department office • Do not promise student that s/he will be re-enrolled • Student Not on Roster on First or Second Day of Class • Not allowed to sit in on class • Student cannot be enrolled into the class • Refer student to 14W / 12W / 8W2 classes • Do NOT send to department office

  12. Check your class rosters! • Every class for the first 3-4 weeks • Spot check after that (this is important!) • Don’t rely on students to tell you, or even know, if they’ve been dropped from the class

Attendance • Required to take attendance for every class • Yes… even if attendance is not part of your grading plan • Financial Aid • Veterans Affairs • Grievances • Per Faculty Handbook (3.1315) • Adjunct Faculty – Must submit class attendance records to department office once final grades are submitted

  14. Instructor Absence • Notify your Associate Dean and the department office as soon as possible • Email both the Associate Dean and the administrative assistant(s) • Must assign students relevant coursework that will satisfy contact hours • “[A]n amount of work… that is equivalent… and that reasonably approximates [the work that would have been covered in class]” • Find a substitute instructor (must be a current NOVA instructor in same discipline) or have an assignment on CANVAS that approximates time and content

  15. Guest Speakers (not affiliated with the college) • Per Faculty Handbook (3.1400) • No Cost • Must obtain approval from the academic dean • Send an email to dean/associate dean with relevant information • Cost • Must obtain approval from the provost

Syllabi • Reference Faculty Handbook (3.3400) • A syllabus is your contract with the students • Binding on both students and instructor • First thing looked at when a student files a grievance • Paragraph B - Required Elements • Must be posted on CANVAS • Clear and concise; minimize ambiguity and subjectivity • 1st Week - Provide electronic copies to department office

  17. Faculty Teaching Loads • Adjunct Faculty • 12 Credits per Semester (includes all courses taught for VCCS) • 8 Credits - Summer

  18. Office Hours • Check with your Associate Dean • At a minimum, by appointment • Annotated in syllabus

Census Dates/NVRK • Census Date • Date students can withdraw from a class and get their money back • Avoid giving date in your syllabi – refer to academic calendar • Never Attended Withdrawal Form (NVRK) • Form 125-034E • Must be completed within the first week after the census date • In-Class - Use if student has never attended a class • Hybrid/ELI – Use if student never attended a class in person or completed an assignment

  20. Grade Submission • Must input grades by the deadline • No grade = “F” • Potential registration, Visa, and financial aid ramifications if grades are late

Starting Late/Ending Early • NOVA is an accredited college • Southern Association of Colleges and Schools (SACS) • To maintain accreditation, we must teach the required contact hours • “What if I covered all of the material before the end of class?” • Time management issue • Students talk - when the administration hears, it must investigate

Waiving Pre-Requisites • NOVA Policy # 204 • Students may not enroll in a course for which they do not meet the prerequisites by the time the course begins • Students may be administratively dropped from any course for which they have not met the prerequisite • Deans/Associate Deans will not disregard the decisions of the curriculum committees

Waiving Pre-Requisites • Exceptions - Demonstrated knowledge and ability • Student has passed an equivalent pre-requisite course at another college • Student has passed a higher-level course than the course being requested at NOVA or another college • Student is currently in the field and has relevant work experience • Only Deans/Associate Deans may waive pre-requisites

  25. Sharing Student Information • Virginia State Law - July 1, 2018 • All student email/address/phone data should be considered non-directory information (i.e. private) • Treat like any other Personally Identifiable Information (PII)

  26. Incompletes • Used only for verifiable, unavoidable reasons • Student must have satisfactorily completed 60 percent of the course requirements and attendance

Service Animals • Americans with Disabilities Act • “Any dog [or miniature horse] that is individually trained to do work or perform tasks for the benefit of an individual with a disability” • Different than emotion support/comfort animal • May ask student only two questions: • Is the dog a service animal required because of your disability or a service animal in training? • What job or task has the dog either been trained or is being trained to do • Cannot consider allergies or fear as an excuse to deny access

  28. Campus and Workplace Violence Prevention • Prohibited • Physically injuring another person • Engaging in behavior that would/does subject a reasonable person to extreme emotional distress • Damaging property • Retaliation

  29. Speech and Expression • College property is primarily dedicated to academic, student life and administrative functions. But it also represents the “marketplace of ideas,” and especially for students, many areas of campus represent a public forum for speech and other expressive activities. NOVA may place restrictions on expressive activities occurring indoors, but especially for students and student organizations, the outdoor areas of campus remain venues for free expression, including speeches, demonstrations, and the distribution of literature. • Indoors or outdoors, NOVA will not interfere with the rights of individuals and groups to the free expression of their views or impermissibly regulate their speech based on content or viewpoint. NOVA may establish reasonable time manner and place restrictions on expressive activity which are narrowly tailored to serve a significant governmental interest, and allow ample alternative channels for communication of the information. • No event or expressive activity shall be permitted to violate or hinder the rights of others within the campus community or substantially disrupt normal College operations.

  30. Email • Use only your NOVA email with students • Insist that students use their NOVA email to communicate with you

  31. Fire Drills/Evacuation • Faculty are responsible for evacuating students to designated rally areas • Do not allow students to loiter outside of buildings • Take a head count – report any students who are not accounted for

  32. Miscellaneous • Bulking printing, use printer in adjunct office (CT 232) • Check contact info in SIS • Fill out emergency contact sheet • Check your mailboxes and NOVA email • *TIP* - Incentivize IOTA evaluations • Classroom tech issues – call HelpDesk (2-4141) • Textbooks
