  3. Meeting Management and the Second Vice District Governor • Preside over meetings in the absence of the district governor and first vice district governor • Support and advise clubs that need to improve meeting facilitation

  4. Session Objectives • Recognize the importance of effective meetings • Identify the components of an effective meeting • Utilize resources/techniques to ensure effective meetings at the district and club levels

  6. Tasks of a Facilitator • INFORM: providing information to attendees • DISCUSS/DECIDE: engaging attendees in discussion and decision-making processes • RECOGNIZE: acknowledging the achievements of others

  7. Skills to Help FacilitatorsINFORM • Organize thoughts/notes in advance • Be brief – avoid unnecessary information • Encourage questions/observations; save lengthy discussions for a later time • Employ good presentation skills

  8. Skills to Help FacilitatorsDISCUSS/DECIDE • Set and enforce discussion rules • Be clear about ‘what’ the group will discuss/decide • Encourage all points of view, but stay focused • Use standard meeting procedures
