  1. Organizing a cultural event Davide Castiglione PhD Student, English Studies

  2. The context: the “leggevamo quattro libri al bar” (“Reading Four Books at the Cafe”) project • What it is: a project run by the association “L’arte del vivere con lentezza” (“The Art of Slow Living”), now at its 5° edition • Basic idea: converting public places in cultural places (i.e. sharing, reading books) • Best described as a social and cultural week filled with little events in various Italian cities and abroad For further information: http://www.goslowbehappy.com/about_us Referee: Muna Guarino (munetta@gmail.com)

  3. project management : my involvement • Contacting the presenters and the bars’ owners to check their availability for the dates proposed. • Supporting the staff in setting up a provisional calendar (a huge format poster + reminders) • Participating in the planning of the required budget for the events

  4. Project management: other issues • Fundraising. 1. the individuation of potential sponsors / funding bodies with interests and aims akin to ours; 2. the prospect for the sponsors / funding bodies of a concrete benefit • Human resources. 1. understanding and promoting the key competencies of each member, assigning the right task to the right person; 2. creation of a collaborative and serene atmosphere

  5. Risk management Potential risks for this kind of project: • external collaborators changing their availability or even declining it • bad weather conditions for open-air events • local institutions not being collaborative Way of minimizing the above risks: • preliminary information about collaborators’ reliability should be gathered • an alternative enclosed place should be available • a relationship with administrative staff should be built up well in advance

  6. Marketing: my experience • Tailoring events for a target public: promoting a social and cultural lifestyle during the “Reading Four Books at the Cafe” • Finding successful names: “Leggevamoquattrolibri al bar” and “Poesie al tavolino”. Creativity, relevance and ease of memorization • Promotion: websites, social networks, local newspaper, emails, personal invitations, press releases, leaflets • The association’s logo: an interesting example Before After

  7. Evaluation Criteria for the evaluation of the entire project: • Results corresponding to or exceeding the initial aims • Number of cities and places involved and comparison with previous editions • Ability to enhance imitation elsewhere • Media resonance Criteria for the evaluation of single events: • Number of participants • Feedback: email responses, designed questionnaires, feedback in the spoken form Reasons for evaluation: • To verify the effectiveness of the organizational machine • To individuate critical points to work on in order to foster the quality of next projects
