  3. Getting to know you! • Find two people you do not know • WOW! • Discuss what worked well last year at your school in EDAP. • Wonder • Discuss a situation that needed to be changed and solutions.

EDAP Overview • EDAP Overview • Federally funded through NCLB, Title I • EDAP goal is to support academic achievement in the areas of reading, math or science • EDAP takes place outside of school duty day • EDAP is supported by instructional, licensed staff • 58 APS sites are funded by Title I, 134 clubs are supported

Coordinator Job Description • Timely submission of one set of time sheets and Student Attendance Sheet in alphabetical order by teacher last name • Accurate monitoring of program spending (Budget Breakdownand GL Report) • Coordination of monitoring visits by Title I Resource Teacher, when necessary. Most visits will be unannounced • Notify Roxann of program changes such as times, places, budgets, and teachers by email and proposal changes via a proposal change form (Roxann or web) • Two documented observation per semester per club (emergency contact forms in site, attendance accurate, proposal and implementation alignment) using the Monitoring Rubric • Fall and spring accountability reports • Please remember there is no payment for writing proposals for funding or prep • Payment is $198.00 per your approved budget. Coordinators are paid $18.00 per hour. 15 minutes per month is allowed for timesheet processing • Coordination of buses, if EDAP proposal approved transportation

Administrator Role • Ensure all activities follow the approved proposal and support academic achievement in the areas of reading, math or science before or after regular school hours. • Monitor EDAP budget and spending guidelines. • School administrators do not sign EDAP timesheets. • All students have access to EDAP. All parents are given opportunity to enroll. • At-risk students should be given priority consideration for participation in activities. Make sure that when the program advertises sessions and fills classes that it is clear how students will be selected for the program and if there are any limits or restrictions. Documentation regarding criteria for selection needs to be available upon request by Title I, parents or other inquiring individuals.

Program Staff Job Description • Plan and implement activities that support academic achievement in the areas of reading, math or science before or after regular school hours per the proposal. • Make sure each student signs in to class each time on the required Student Attendance Sheet. • Keep students safe by having a copy of EDAP Student Registration Form at all times which includes emergency contact information, medical information and pertinent accommodation information as it may pertain to student success or safety in the after school program. EMSI forms may be used. • Stay and make sure each student is picked up by an authorized family member when each session ends. Follow school procedures when student is not picked up in a timely manner. Never leave a child unattended. • Begin and end instruction on time per the proposal. No preparation time will be paid. • Accurately complete timesheets by the due dates. Attach via paperclip Student Attendance Sheet that correlates with the timesheet. • Turn in timesheet and Student Attendance Sheet to Coordinator per his/her deadlines. • EDAP instructional time must take place before or after the duty day. • No student tutors are allowable. • Incentives, awards or parties for students or staff are not allowable. • Extended Day Academic Programs do not support a homework club, but academic tutoring is allowed.

  8. Volunteers and Snack EDAP Volunteers • While encouraging parent and community participation, we must also consider the safety of every child in the district by requiring a background check from volunteers prior to any volunteer activity at any APS school. Follow APS requirements for volunteer services. After School Snack Program • If you provide after school snack APS Food and Nutrition Services has a required process for snack distribution.   9. Budget • Funds may only be used for Extended Day Academic Programs and only for items in the approved RFP on file at Title I. • Do not wait and submit request for payments all at once or past the deadlines. This is a labor law violation. • Funds need to be spent down by the end of the program. Please do not leave any money on the table. Transfers will be made only if over $100. • Certified teachers will receive stipends of $20 per hour while working with students. • Certified, licensed, and APS contracted staff only may work in EDAP. • Educational Assistants will receive their hourly rate. They may not provide direct instruction unless certified staff members provide line of sight supervision. • Program changes such as club name change, deleting a club, adding a club etc. that do not involve any budget changes or transfers may be completed simply by completing the Request for Proposal Revisions form and emailing Roxann Morris the completed document. Roxann will review changes and has the authority of final acceptance. • No duplication of pay for services should be billed APS. If you are working for EMSI and EDAP, for example, do not bill for the same hours on the same day. APS Grant Management reviews each of these programs by your name. • No overtime will be paid. Educational Assistants may not work more than 7.5 hours per week.

  10. Timesheet Process • Student Attendance Sheets signed by students and completed by teacher • Every timesheet completed by individual staff member providing the service • Both turned in by SC deadline to SC • Both turned in by TI deadline to TI • Submitted by TI to Grant Management
