  2. Employment Types • Unclassified Staff • Faculty • Academic Staff • Ad Hoc Academic Staff • Classified Staff • Limited Term Employees (LTE) • Classified Permanent/Project • Graduate Students (TA, PA, RA) • Student Employees

  3. Determining Employment Type • Submit this information to the BATO representative who will work with you to determine employment type: • Hours or percent appointment desired • Position duties (may require more extensive position description once employment type is determined or to better help determine certain employment types) • Is employee a student, if so what type of student? • Length of time employee’s services are needed • Approximate pay per hour/salary position *NOTE: If a position can be classified, it MUST be classified per statute.

Unclassified Staff • If over 49% and over six month appointment, open recruitment must be completed. • All unclassified fixed term and probationary, faculty and limited appointee positions must use the AIMS system which replaced the old Form A (request to recruit) and Form B (request to interview) processes. • Academic staff professional titles are unique to the UW System. • Academic staff can be hired on short-term, small appointment basis similar to LTE in classified positions. • If under 49% and/or under six month appointment, ad hoc payment form can be used once a title is determined. • Unclassified staff MUST have a bachelor’s degree

Ad Hoc Payment Form • This form is used for ad hoc appointments, faculty and academic staff summer appointments, and overload appointments. • Use for both percentage and lump sum appointments. • Lump Sum payments should not be greater than 20% of full-time rate for title. • Instructors for UWM credit courses and student teacher supervisors are given the title of Lecturer (assoc., no prefix, senior) and a percentage appointment. • Instructors of UWM non-credit courses are given the title of Lecturer (assoc., no prefix, senior) and a lump sum appointment.

Ad Hoc Payment Form cont’d • Practitioners in the field teaching-organizing-planning-facilitating-developing classes/workshops and mentoring UWM students except for practitioners with limited work hours (not > 16 hours/fiscal year) are given the title of Instructional Specialist and a lump sum appointment. • Practitioners with limited work hours (<16 hours/fiscal year who are in the field teaching-organizing-planning-facilitating-developing classes/workshops and mentoring UWM students are given the title of Ad Hoc Program Specialist and a lump sum appointment. • HR needs to approve the use of the title. • For questions on appropriate titles, please contact Tanya Depp, tldepp@uwm.edu (SOE), or Chris Cigale, ccigale@uwm.edu (HBSSW).

  7. Classified Staff • Classified Permanent and Project appointments still use Form A process for approval to recruit • Project Definition: positions created to function on specific projects that must be planned undertakings of a non-permanent nature which are different from the regular workload of the unit • Must meet the seven project guidelines (see resources) • Recruitment process for both is similar and goes through wisc.jobs • Many professional titles are classified (i.e. doctors, attorney’s, managers); not just administrative jobs. • Classified recruitments can not REQUIRE a degree.

  8. Limited Term Employees (LTE) • Max hours per year are 1044 (1012 with furlough). • Can not be hired over minimum salary, can be hired under minimum. • Difficult to gain health benefits. • Employee can be selected without open recruitment. • No external recruitment system (i.e. wisc.job/AIMS) so typically the hiring supervisor would have a candidate in mind.

Graduate Assistants • Teaching Assistants (TA) – teaching and other instructional responsibilities • Project Assistants (PA) – conducts research, training, administrative responsibilities or other academic or support projects or programs, except regular preparation of instructional materials for courses, manual or clerical assignments • Research Assistants (RA) – participates in research in fulfillment of the graduate degree requirements and the activities are of significant benefit to his/her own course of study and research

Graduate Student Eligibility & Credit Load Requirements • Person registered for graduate study in any UW System institution for the current academic year. • Credit Load Requirements: • 33% appt.: Minimum 6 credits/sem for TA & PA; 8 credits/sem for RA • < 33% appt.: Minimum 8 credits/sem • Summer: If enrolled previous sem, no minimum. If new for summer, 2 credits

  12. Graduate Student Forms • Use the Project/Teaching/Research Assistant appointment form.   13. Student Employee Eligibility • The individual must be enrolled for academic credit at an educational institution • The individual must be at least 16 years of age • The individual must be part-time and/or temporary when classes are in session • Summer eligibility - Any student who has been accepted for fall enrollment, or is continuing in the fall semester after completion of the spring semester, or is enrolled during the summer is eligible for summer student employment.

  14. Student Employment forms • Student New Hire Packets located in BATO • Forms required to hire: • Student payroll request form • W4 • Direct deposit • Student enrollment verification/FICA exemption form • I9 • Selective Service
