  4. Topic of the month – HIPAA ReviewDevices and E-mail • Your tablets and all other devices that contain PHI, including cell phones if you check email on them, MUST be password protected. • You must notify us IMMEDIATELY if any PHI containing device is lost or stolen. • Only use HHH email accounts to send or reply to emails containing PHI. • Please ensure all patient information remains protected.

  5. Topic of the month – HIPAA ReviewPrivacy Policy • Our privacy policy will be emailed to you this afternoon, as a reminder of the details of the policy, by Kristen. • If you have any questions, please don’t hesitate to ask.

  6. iPads and Patient Devices • CAUTION FOR IPAD USERS!!! • Magnets in iPads may be harmful to a few groups we may serve: • Patients with shunts • Patients with Vagus Nerve Stimulators (VNS)

  7. ST Diagnosis Codes • In reviewing the common ST diagnosis codes that we use, here’s what we found: • 315.31 – Expressive Language • 315.32 – Expressive & Receptive Language (Mixed) • 315.39 – Articulation • NOTE: There isn’t a diagnosis code that is for Receptive Language only so, if that’s the diagnosis you’re looking for, you’ll have to use 315.32 for mixed language.

  8. ST Diagnosis Codes Continued • Effective immediately, ST referrals that are received, without knowing a specific diagnosis, will be marked as 315.32 - Expressive & Receptive Language (Mixed) and 315.39 - Articulation. • It will be up to you, at the time of the eval, to determine which code(s) is most appropriate and list it as such on your evaluation. • Please ensure that your goals appropriately address the diagnosis code you choose.

  9. Legal Requests • Anything that may be asked of you by a patient family that has to do with any type of legal matter, must discussed with Heather and cleared by her first. • Examples: A request to write a letter about observations in the house or providing therapist documentation for court/custody purposes, etc.

  10. New Auth Letters • As of this week, Stacey left HHH to move to Alaska! BRRRRRR!!!!! With that, auth letters had to be rearranged as follows: • Rose: A-GA • Cynthia: GB-O • Sonia: P-Z • Carlos: Auth Supervisor/Discharges

  11. IE/RE Timeframes • We are seeing challenges with meeting submission timeframes for IE’s and RE’s. • Please remember the submission timeframes: • IE’s – 24 hours after DOS • RE’s – 48 hours after DOS • Timely submission of evals is vital to the processing steps that occur in the office and allows us to review them for compliance with standards, obtain corrections and obtain MD signatures. • If you are having a hard time meeting these timeframes, please discuss it with your Director so they can assist in troubleshooting.

  12. Superior Update • Here’s an update on how Superior auths are looking: • Number of auths received since 9/18: 30 • Number of denials received since 9/18: 4 • Number of partial approval/denials since 9/18: 2 • This does not include any auths that have been submitted but are still under review by Superior. • We’re not sure what type of indicator this is to our success, but Heather feels we are doing well.

  13. Superior Update Continued • As we’ve worked together on evals, through the QA process, goals are looking great! • All of the things we’ve implemented for eval writing apply to all evals, regardless of what type of insurance the patient has. We’re seeing more and more requests for additional information and even denials come in from various other Medicaid plans. • Remember, you MUST discuss progress in your narrative! • Heather says a great big THANK YOU for being so receptive when working on evals with her. YOU ROCK!

  14. Holiday Points • For the two therapist holidays, Thanksgiving and Christmas, you will be given 5 points for the day. • If you have any specific questions about this, please direct them to Kristen Hoech.

HHH HH Wurstfest HHH HH is almost upon us!  Come and get your polka on! • When: Thursday, November 7, 2013- gates open at 5:00 • Where: Wurstfest grounds, New Braunfels, TX, in Landa Park.  We will be in Das Grosse Zelt (the big tent)! • Who: Everyone!!!!!!! • If you RSVP’d, please be sure to pick up your tickets today!

  16. Angel Tree Shopping!!! • Angel Tree Shopping is scheduled for Friday, November 15!!! WOO HOO!!! • The shopping location will be at Target in the Forum. • We ask that everyone meet at Target at 9am. • Wear your Himmel shirts! • LET’S SHOP!!!
