Today we will cover: • Information about Email attachments • Limitations • Largest Attachment size per email not greater than 25 mb per email • No programs or software type (executable/Application) • no .exe • no .com • no .bat • no .pif • How to determine File size and type • Before inserting an attachment, Right-click on a file, select Properties • What do if you have large files • FTP best practices • Examples of too large files to upload/download • Any file over 3 GB in size, examples • DVD size full movies • Outlook archive files • Entire J drive, G drive, portions of the G or J drive

LATCB FTP Site • FTP=File Transfer Protocol • Has been around for over 20 years • Used to transfer large file(s) and directories • You have access through the O: drive when logged into our network system • Each division has their own area • A single area for vendors to upload • FTP vs hightail.com(yousendit.com) • Licensing prohibits sharing with vendors • Some parts of the world do not allow the use of yousendit.com • Largest transferrable size for yousendit.com is 2 GB, we allow up to 3 GB on FTP site.

FTP Best Practices • If need to create a folder, stick to a shortened name, with no spaces, ie: • O:\Marketing\augustpromo2013 • Same for filenames, change to shortened with no spaces: • O:\Marketing\augustpromo2013\LATCBAugPromo.pptx • This is what it looks like as a link to vendors: • ftp://ftp.lainc.us/Marketing/augustpromo2013/LATCBAugPromo.pptx • Suggest to vendors they download(save) first to their desktop, and then open after fully downloading • To have vendors send us large file(s): • ftp://ftp.lainc.us/Uploads • Staff retrieves from: • O:\uploads\and whatever file(s) are sent to us • (Start, Computer, O:\drive\Uploads folder)

FTP Best Practices • For vendors or anyone outside of our network: • Start, Computer, Network • Type or copy the ftp link sent at the address bar, i.e.:ftp://ftp.lainc.us/Marketing/augustpromo2013/LATCBAugPromo.pptx • If prompted to Open or Save, select Save first to a location you can easily find like the desktop • Or – • ftp://ftp.lainc.us/Uploads • When uploading, leave uploads window open and then copy and paste a file into this window
