Update on Staff Certification Pilot • Pilot Began on July 1, 2011 • Since we share the Hiring Proposal between Employment Areas - everyone sees the Staff Certification Tab • Only those HPs identified as part of the pilot will be processed as certified hires • Certification Page could be used as checklist for non-pilot departments

Transition from Position Control toPosition Management • Institutional decision to stop “position control” • Effective July 1, 2011 – HR took over the IB/PC Queue in UNMJobs (soon to be renamed Position Management) • Banner HR/Payroll and UNMJobs require the Position concept-must continue to manage position data • Will continue to use Salary Planner- a “position budgeting” tool

Transition from Position Control toPosition Management • Position Management will focus on accurate tracking and reporting of the HR related data of positions • Position Class Codes - Salary Range - EClass • Minimum Requirements - Grade - Titles • Once Position Budgets are set up – Departments will update yearly during the Salary Planner process • Departments will have opportunity to clean up positions prior to the yearly load to salary planner

Transition from Position Control toPosition Management Current State for Position Management • Protocol for submitting hiring proposals to IB/PC has changed only slightly • Student Position Management – Student Employment will be responsible for working with Position Management • Due to the tie to funding source for student hires- positions cannot be selected until the student to be hired has been selected

Transition from Position Control toPosition Management Current State for Position Management • Staff Position Management – Hiring Proposals only need to be routed through IB/PC if • The position has been reclassed in UNMJobs • The action was to “create a new position” • Faculty Position Management – Hiring Proposals only need to be routed through IB/PC if • The position has been reclassed in UNMJobs • The action was to “create a new position”

Contacting Position Management • If you need to create or modify a position outside of UNMJobs – please contact your employment area, such as a Project Asst through OGS, UNMTemps, Faculty Contracts Offices • Please use UNMJobs@unm.edu to contact Position Management Team (Posncntrl@unm.edu) will no longer be active after 8/1/11 • Please do not contact the Position Management team directly-we have a process and are working to meet a 24 hour turn around on all requests.

Transition from Position Control toPosition Management • HR will be providing job aids that assist departments with deciding when to create new or modify existing positions • Some approaches to Position Management will make position budgeting in Salary Planner easier – but it is up to the departments to determine their approach for budgeting purposes

Transition from Position Control toPosition Management • If positions in UNMJobs do not appear to be accurate-departments should use PZRVACR and PZROEMA • PZRVACR lists: • last encumbent, if any • Date previous job ended • Current status- Frozen, Canceled, Active • Includes Pooled positions • Departments must be aware of the status of their positions- If canceled or closed Hiring Proposal must route through IB/PC with comments.

Transition from Position Control toPosition Management • If you cannot find a positions in UNMJobs use PZRVACR and PZROEMA- for listing of position data in Banner • PZRVACR lists: • last encumbent, if any • Date previous job ended • Current status- Frozen, Canceled, Active • Includes Pooled positions

Transition from Position Control toPosition Management Position Management Scenarios • If you have an employee in a current position and that employee has submitted resignation or retirement paperwork, can you post that position and have an overlap of two people in the position with the same P-Class?

  14. Transition from Position Control toPosition Management Position Management Scenarios • If you have a current employee in a job that you plan to reclass to a different P-Class and post when they leave, can you reclass and post that position a couple of months before they leave?

  15. Transition from Position Control toPosition Management Position Management Scenarios • If a department is developing a new program, should they post positions in a different org, then move the positions to the new org after they get the ORG and Indexes for the new program?
