Participating Addendum Commitments • You are not committed to the SSMS for life of contract • You are not committed to a vendor for life of contract • Change vendors – new PA required • Change from local/vendor hosted to DOE hosted – PA required • Document vendor selection process • Maintain documentation on file locally • Include rationale for selection (Ex: memo explaining rationale, minutes from Board meeting, etc.) • Required for audit purposes

  4. SSMS General • Extracts generated routinely by vendor • SIS application releases, updates, patches, etc. - applied by vendor for all districts at same time • Routine maintenance downtime windows as needed • Wednesday evenings • Saturdays (all day) • Application releases/updates, etc. applied during these times • Any other downtimes – will be notified

  5. SSMS General • New SSMS Listservs for general communications • Per vendor and combined • Provide primary and secondary contacts for Listserv (district, vendor name, contact name, email, & phone no.) • Send contact information to: ssms.info@tn.gov

SSMS General: Annual Cost Billing Process 2014-15 • Annual cost based on funded ADM counts (K-12 only) • July - DOE will provide official ADM counts to districts and vendors • On/after August 1 – vendor will invoice district for district share of annual cost • Vendor will send TDOE copy of district invoices • On/after September 1 - vendor will invoice TDOE for state share of annual cost ($2.55/ADM) for respective districts

  7. IMPORTANT DATES: Star_Student • June 30, 2014 - TDOE contract with Pearson (Star_Student) ends • August 1, 2014 - Support for Star_Student ends • November 1, 2014 - All historical data must be pulled for data conversion • Mid – Late November 2014 – cut-off for “live” access to Star to complete state Report Card reporting process • November 30, 2014 – all district user access to Star_Student will be terminated

SIS Vendor Choice Almost… At start of 2013-14 SY: • 85 districts + 4 State Special Schools on SSMS • 2 districts – Star local hosted • 91 districts had to choose a new SIS for 2014-15 SY • Knox Co. – Follett local hosted • 89 Star districts - Participating Addendum • 1 Star district pending Board approval • 8 additional districts joined SSMS (DCS) • 97 districts committed to SSMS for 2014-15

  14. SSMS Implementation Status • Initial data conversion – testing/mapping your data to their SIS application • Internal testing/mapping of EIS extracts • All five vendors required to test/validate generation of EIS extracts • Internal development/testing of state reports

SSMS Implementation Status • Azure production environments in place for all five vendors • Adjustments and tuning on-going • District URLs created for all districts • Connections to EIS, EasyIEP, etc.., not yet established • Some vendors have subset of districts already testing/training/working in Azure environment • Some vendors have subset of districts testing/training/working in vendor application environment

  16. SSMS Implementation Status • TDOE platform team beginning EIS test validation platform build • All five vendors working on the overall TDOE Ed-Fi platform • Eventually, most if not all TDOE applications, data warehouse, dashboards, etc., will flow through the Ed-Fi Operational Data Store (ODS) SINGLE SOURCE OF TRUTH
