Action Menu: Review Individual Activities http://usl.ebiz.uapps.net/personifyebusiness/CertificationAdministration/CertificationBoard.aspx When you login to Certification Administration, you default to the Review Individual Activities Action/Screen. For best results, please use Internet Explorer to access your portal. Other browsers, such as Chrome and Firefox , are supported. This portal is NOT designed to work optimally with tablets or smartphones and we strongly discourage you from using such devices when working in this system.

Review Individual Activities • Use this area to: • View your board members • View their individual training and certification history • Download a roster of your board members with their full contact information and membership expiration dates • See members’ background screening status through NCSI. • This area will show current US Lacrosse members who have been assigned to your board AND expired members up to two years back.

Review Individual Activities Finding an Individual Member To look up an individual, you must enter data in at least one of the three fields, however you may use as many of the fields as you wish: A. First name—You will get results of all people on your board with that first name if this is the only field you enter (beware of nicknames!) B. Last Name—You may type the beginning letters or the full last name. C. Member ID#--This does not need to include leading zeros, but it needs to be exact. The more exact your search criteria the more likely you are to find the individual you are looking for. Member ID# is completely unique. Click SEARCH C A B

Review Individual Activities Finding an Individual Member • On this screen you will see basic member information including • ID# • Member Expiration • Name • Member Type (Adult, High School or Youth) • Member Category (Player, Coach, Official or combination) • Date of Birth • Board • For additional information such as background screening data or contact information (address, e-mail, phone, click Export • OR • Click the name of the individual to go to their individual activity detail screen (next)

  7. Review Individual Activities Interpreting the Individual Activities Screen • Individual Information • Based on the contact information the individual has supplied USL. They may edit this independently by logging into their own USL membership account • Membership Information • Type=Adult, High School, or Youth member • Category=How you participate in the game: Player, Coach, Official or combination thereof. • Affiliation=Local Board on record with USL • LOA=Not applicable for women’s game officials • Certification Pending • Lists the open certification programs of an individual where not all requirements have been completed • Shows all of the requirements for certification and the status of the person’s completion of these requirements • Completion dates may or may not match up with Certification History and Classroom/Transcript History listed below (particularly for ratings). • Don’t get hung up on the • completion date. *some information hidden for privacy—your view will contain all data

  8. Review Individual Activities Interpreting the Individual Activities Screen (cont.) • Certification History • Lists all completed certifications and re-certifications for the individual. (See certification handout as reference) • This section will also show all current and past RATING history • Classroom/Transcript History • This will list all of the training activity of the individual—this includes: • Classroom hours you have reported to USL • Online courses • Online tests, other training history kept by US Lacrosse • See training on Training Activities Action menu for more transcript details. • Refer to your Interpreting Individual Activities Screen Handout as a guide to this screen. • When you are done on this screen click • “Back” to search again *some information hidden for privacy—your view will contain all data

  9. Review Individual Activities Viewing ALL members To look up an entire roster, do not enter data in the search fields. Just click SEARCH The list will show the names of all members of your board up to two years ago. Clicking on a name will take you to the members Individual Activity screen (see prior slides). Sort by any column by clicking on the column heading Change the number of records showing by adjusting Page Size NOTE: This view contains limited information “at a glance”—use the Export feature for more information (next slide) IMPORTANT: Membership status updates nightly. Do not expect to see someone who renewed to show an updated member status until the next day.

Review Individual Activities Viewing ALL members –Excel Export To download your entire roster and also see more information than presented on this screen including contact information and background screening status: 1. First click search to bring up the list on the screen 2. THEN Click Export NOTE: If you do not pull records up via the search button first, your export will yield no results. The export will provide ALL your members, not just those on the current screen. The system will then prompt you to open the file or save it to your computer. This is your preference. 1 2

  11. Review Individual Activities Viewing ALL members –Excel Export Open the excel spreadsheet. You have the flexibility to sort or filter by any column based on the data you need to view. Click the top left corner of the sheet to select the data you wish to sort, then click sort. *names hidden for privacy—your view will contain first and last name

Review Individual Activities Viewing ALL members –Excel Export—Background Check Status *names hidden for privacy—your view will contain first and last name Blank in the current status column indicates individual has not participated in a screening. • Current Status column will show if a member’s NCSI screening status (this is the only place you will find this data in the Certification Administration Portal and will only show screenings done via the US Lacrosse website) • GREEN-will have a Current Status Expiration and is a cleared screening through that date. After that date the individual must have the check re-run. • PENDING-Individual has initiated a check but the result has not yet returned.

Review Individual Activities • Summary • Use this action to see current members of your board and those up to two years in the past • Use the export function to get contact information and to view background screening status (if needed) • This is the only place where background screening status is reported in the portal • Click on an individual name to pull up a “360 degree” summary of their member information and training history

US Lacrosse Women’s Game Officials Training and Certification Administration About Women’s Game Certification • Requirements for initial Women’s Game Officials Certification (all officials in 2013) • **This is an annual requirement. Officials who do not finish his/her certification in the year he/she completed this requirement will have to have it re-completed in the current year.

US Lacrosse Women’s Game Officials Training and Certification Administration About Women’s Game Certification • Re-Certification • Once officials achieve certification, they need to maintain this certification annually. This is known as re-certification. • Officials have from January 1 through April 30 to complete their annual recertification requirements. If recertification requirements are not completed by this date, their certification is officially expired. • **These certification requirements cannot be entered until January 1 of each year.
