  2. YSU Mission on Advising Academic advising at YSU is an integrated teaching and learning process built upon an ongoing interactive partnership between students and their advisors. Academic advising supports students in developing a balanced scholastic plan that will provide them with a solid foundation for academic success and empower them to take responsibility for achieving their life-long educational and career goals. (Adopted February 2010) Youngstown State University

Major Responsibilities ofFaculty Advisors • Be knowledgeable about program(s) in which he/she advises • Be able to explain the GER model to students and know what does and does not count toward degree requirements • Be familiar with published academic rules and regulations of the University and maintain an up-to-date academic advising reference file • Assist advisee in planning a suitable schedule of classes, at least one semester in advance • Be aware of limited offerings of your department and alert student • Discuss student’s academic performance and its implications Youngstown State University

Advising Requirement The following students are required to be advised and • must have courses entered on the Banner advisement screen • must be “released” before they can register: • Freshmen(students with less than 30 hours of credit) • Students on academic warning and probation • First semester transfer students (regardless of total hrs) • Former YSU students returning • Athletes(also must see athletic advisor) • Required to be advised every semester during eligibility Youngstown State University

Advisement on Banner Screen • This is an “add-on” to Banner, for YSU purposes only • A permanent record for reference after the advisement discussion • Courses listed do NOT lock student into taking them • Students requiring advisement must be “released” by the advisor • Be sure to know who has “override” authority in your department • All faculty who advise need to have Banner training Youngstown State University

Advisement on Banner Screen • Under Faculty and Advisors you can: • Look up classes • Access rosters • Access placement test scores • Access student information • Access student registration activities • Access student transcript • Look up any student registration holds • Release advisement holds • Record notes for permanent reference • Very important for keeping a record of what was said Youngstown State University

Placement Testing • All students who do not have previous credit for Math or Writing must sit for placement testing, unless placed from ACT/SAT scores • Computer-generated for Math and Reading • Paper and pencil for Composition • Results are found at link labeled TEST RESULTSon bottom of Banner advisement screen • Actual course name and number is listed Youngstown State University

Placement Testing • COMPOSITION REQUIREMENT • All students are required to complete two writing courses: ENGL 1550 and 1551(unless a student has placed out of Engl 1550 via ACT 28>) • ACT or SAT scores or YSU placement test may place students into an additional writing course: ENGL 1539 OR ENGL 1540 • These courses DO NOT count toward college credits • After completion of 1539, student moves to 1550 Youngstown State University

AdvisingThe NEW Student NEW = Any student who has no post-secondary credits from an accredited institution • Can have credits if CCP (College Credit Plus) student or similar situation from other state, but still considered new • Advised during EARLY and SOAR (Orientation) • Be sure that all credentials are in student file • Give student curriculum sheet for the major • Check “test scores” link for reading, writing and math placement scores • Discuss career options within the chosen major and have the student begin to explore these options • Enter suggested courses on Banner Advisement Screen Youngstown State University

AdvisingThe FORMER Student FORMER=Any student who has interrupted his/her YSU studies for three or more consecutive semesters • Students on Good Standing, Warning, or Probation can be re-activated by completing an on-line form or going to the Records office in Jones Hall • Students who were suspended from YSU must be reinstated to the college they wish to enter • Be sure to know who does reinstatements in your college Youngstown State University

AdvisingThe FORMER Student • Review the transcript and note any courses in which a grade of D or F was earned and repeated • If appropriate, have student complete a Repetition form • Students must be enrolled (not just registered) before the grade can be recalculated • Be sure that the student has completed any developmental courses based on previous placement scores • Follow other steps for advising the NEW student Youngstown State University

AdvisingThe TRANSFER Student TRANSFER = Any student who has sat in a class even for one day at another institution and can produce a transcript showing grades or Ws • All credentials must come through the YSU Office of Admissions where a transfer evaluation is completed and is available on the transcript screen • Most transfer students are processed within 24 hours of the receipt of their credentials • Students who have a Bachelor’s degree are not required to submit high school transcripts • All Bachelor’s coursework is evaluated course-by-course. Ds and Fs are included, but not Ws • Transfer students are able to be admitted with unofficial documentation Youngstown State University

AdvisingThe TRANSFER Student • Apply all transfer courses to the student’s curriculum sheet (signify with “K”) • If no Math or English courses were transferred, student must sit for Math and Composition Placement tests • Follow other steps for advising the NEW student • Residency for Degree: • The last 20 hrs. for Assoc Degree and the last 30 hrs. for Bach Degree must be completed at YSU Youngstown State University

  15. Subsequent Advisement Sessions • Items to assess: • If required, has the student taken placement tests? • Does the student have any incomplete grades (I) that need to be completed? If so, be sure to have him/her follow up. • Does the student have particular needs that necessitate referral to one of the support service areas? Youngstown State University

Subsequent Advisement Sessions • Items to assess : (con’t) • Review transcript for course repetitions and, if necessary, have student complete a recalculation form • If student is within one year of graduation, they must complete a Request for Graduation Evaluation (formerly Intent to Graduate) online • If student is in last semester, they must submit a Graduation Application online the first week of that semester • Check with your advising office for specifics of graduation processing!! Distinct Student Populations • THE STUDENT ATHLETE • Must be advised each term until eligibility is over • Always refer eligibility questions to athletic advisor • Must also see athletic advisor before completing registration • Must earn a specific percentage of degree hours at specified points in their academic program • Monitored by the university’s NCAA committee • An up-to-date curriculum sheet should be kept in the student’s file Youngstown State University

Distinct Student Populations • VETERANS • Dedicated to providing service to current and prospective military veterans • Upon proof of military service and registration with OVA, veterans’ get benefits such as: • Permission for early registration • Certain GER courses that are reserved for them • Granting of military credit hours, which varies depending on service activities • Those credits are evaluated by Kim Verdone Youngstown State University

Important Items To Be Able To Discuss With A Student • Know important dates for each semester • i.e. last day to add a class or drop a class with a “W” • Know prerequisites to courses before advising students into them • Including those “suggested” prerequisites • Understand academic standing (Good Standing, Warning, Probation) and how it is determined • Be able to explain how GPA is calculated • GPA Hours vs. Earned Hours and Quality Points • Understand importance or impact of repeated courses and/or recalculations that need to be completed • Have Repetition Forms available in departmental office Youngstown State University

Important Items To Be Able To Discuss With A Student • CR/NC grades for courses: Know when they can be taken and how they are used • Cannot be used for major or minor courses • Grade must be “C” or better to receive credit • Incomplete grade (I): know when to assign it and how to change it when completed • New deadline dates are in effect • Do NOT have the student register for the course again When completed, a Change of Grade Form must be completed • Be able to answer questions about changing a major • Review and be familiar with policies and procedures in YSU catalog Youngstown State University

Know your curricular requirements.. • Total semester hours required for your degree • Not all courses count towards graduation hours • Number of upper division hours required • Program Requirements: major, support courses, etc. (Grades of “C” or better) • Is a minor required? Most Common Errors Made By Academic Advisors • Student is assigned a course without the prerequisite or out of sequence • Should not happen unless incorrect override was recorded • Override authority is limited • Recalculations have not been completed • No notes recorded as to important items discussed • Substitution/waiver forms have not been completed and placed into file • General University Requirements (GERs) are in error • Transfer credits have not been considered or applied correctly Youngstown State University

Most Common Errors Made By Academic Advisors • Upper division hours are not monitored • Hours not counting toward degree are not monitored (i.e. Math 1500, ENGL 1540) • Student has been advised into a course he/she has already completed and no notes are indicated as to why • Student is advised to register for a course in which he/she has a grade of “I” • A course has been waived or substituted and no note is in the file • Have Prerequisite Waiver and Curriculum Substitution Form available in departmental office Youngstown State University

General Education Requirements • GER model information is available on the Web • Only courses listed on each domain list are acceptable in fulfilling requirements • Most majors have some GERs built in to the curriculum • Former students who began at YSU before Fall 2000 are permitted to follow quarter requirements if significant number of old GERs had been completed • Consult with an advisor in Dean’s office if unsure Youngstown State University

  31. This is not an official transcript. Courses which are in progress may also be included on this transcript. General education (GE) credit for a transfer course is identified by a letter, as indicated below, following the 'XX' designation. • A=Artistic & Literary Perspectives, B =Natural Science Lab, C=Communication Studies, I=Societies and Institutions, M=Math, N=Not eligible for GE credit, P=Personal and Social Responsibility, S=Natural Science, T=Selected Topics. (A course with no designation after the 'XX' is subject to further review. A course with a 'Z' after the 'XX' indicates a need for the course syllabus.) • **when you see the ELCT 15XAH—the “AH” at the end stands for Arts & Humanities.  Therefore, that CAN be counted as an AH course.  Same goes for if you see a class that is ASTR/BIOL/CHEM/GEOG/GEOL/PHYS 15XNS would count as a Natural Science.  If you see “NB” instead of “NS” that means the class counts as a Natural Science with LAB.  Any course that ends with “DD” “ES” “IP” or “WB” are all Social and Personal Awareness (SPA) classes—those two letter combos are the subcategories.  Same goes for anything with “SS” for Social Science. • TAG (Transfer Assurance Guide) courses are transfer equates established by the Ohio Board of Regents. TAG courses can be identified by the word TAG in the course title. • NOTE TO ACADEMIC ADVISORS: • Students with a Program of Load-AX may not have all coursework listed in SCT Banner. These records contain data that is prior to 1984. First, check to see if the AX hold has been removed. If the hold no longer exists, the record is correct as viewed. If the AX hold still exists, contact the Records Department, ext. 3182, to have the record reviewed. Youngstown State University

Common Student ServicesReferrals • COUNSELING SERVICES • Psychological assessment, consultation and referral services provided for such issues as depression, anxiety, eating disorders, loss and grief • For students and staff • DISABILITY SERVICES • Provides students and faculty with assistance and information in meeting requirements of ADA • Do not ask a student if he/she is registered with them, but you can suggest it if the student inquires about it • Services provided include early registration, testing accommodations, adaptive equipment, information, referral and awareness Youngstown State University

Common Student ServicesReferrals • CAREER & ACADEMIC ADVISING NEW • The Career Services office has been restructured to integrate academic with career advising for undecided and conditional admit students (in process beginning either spring or fall 2017). • Career & Academic Advisors help students • To explore career possibilities based upon self- and career awareness through personality and interests assessments and career research. They then create an academic plan that allows students to explore courses while keeping them on track to graduation without losing courses or time. • Career Management Coordinators help students • To prepare for employment by advising students on professional resume and interview skills, job search skills, and provide opportunities for networking with employers. • The office also produces the Fall and Spring YSU Career Fairs where students connect with 90 – 100 employers for launching their careers. Common Student ServicesReferrals • STUDENT HEALTH CLINIC • Staffed by licensed physicians and registered nurses • Provides health care for illness, injury, and routine health maintenance • Free to all current students with valid YSU ID • ANDREWS STUDENT RECREATION AND HEALTH CENTER • Free to current YSU students and available for a fee to all faculty and staff (including part-time) • READING AND STUDY SKILLS CENTER • Free individualized tutoring in a variety of strategies for improving reading and studying • Services for reading, test-taking, organizational and study skills Youngstown State University

Common Student ServicesReferrals • OFFICE OF THE REGISTRAR AND RECORDS • All services relating to registration and official student records • Produces schedules of classes • Responsible for many graduation activities • Processes former student applications for readmission • Provides certification letters regarding dates of prior attendance and graduation • Provides verification of good student insurance eligibility • Issues official transcripts • Complies with all guidelines set forth by FERPA Youngstown State University

Common Student ServicesReferrals • CENTER FOR STUDENT PROGRESS • First year student services • Student Tutorial Services • Multicultural Student Services • Adult Learner Services • Supplemental Instruction Services • Conditional Admission monitoring • COMPREHENSIVE TESTING CENTER • Administers all Reading, Writing and Math placement testing • All students must take placement tests unless they have been placed based on ACT/SAT scores or those courses have transferred to YSU • Students who have taken the COMPASS Reading or Math test at another institution can have the score sent to the Testing Office • Also administers: CLEP, ACT, LSAT, PRAXIS, OAE, DSST, GRE subject, Distance Learning proctoring, and exams for professional companies such as Pearson, Castle, etc. Youngstown State University

Suspended Students • REINSTATEMENTS • Students can only be reinstated by a Dean or a Dean’s designee • Students are reinstated in to the college they wish to enter, not the college from which they were suspended • Restrictions should be placed on students who are reinstated • Limit hours • Limit to certain courses • Mandate Center for Student Progress, tutoring, other Youngstown State University

Dean Level Decisions: Late Withdrawals • LATE WITHDRAWALS “W” • Must be approved by Dean or designee • No guarantee that it will be granted • When is it appropriate? • When is it NOT appropriate? • Verifiable documentation • Should be filed during the current term • Must not have completed final exam or coursework • Should be withdrawing from ALL courses Youngstown State University

Dean Level Decisions: Statute of Limitations • Removes all hours and credits from one term (chosen by the student) back to beginning • Can be used after five years • Option for students (currently enrolled) who have many hours of failed courses and don’t need those particular courses for new major • Must be approved by Dean, usually after one semester • If requirements are fulfilled, those courses do not need to be repeated • Only those hours will need to be completed • Student can never graduate with Honors if Statute is used • Everything still remains on permanent record Youngstown State University
