The Workplan Template • The workplan is a detailed list of every activity necessary for an approved project to be completed • Activities listed in the workplan should relate to the BUDGET and the M&E REPORT • Workplan activities should include all the smaller activities needed to achieve a larger activity. • EXAMPLE: If there are trainings in your project, the workplan can include activities like (1) curriculum development (2) pre and post-test development (3) hiring trainers (4) recruiting participants, etc.

  5. STEP 1: Read instructions for the specific project workplan that you are applying for. STEP 2: Fill out the proposed “Grant Start Date” and “Grant End Date”. STEP 3: List all activities that you plan to do, for each objective or outcome. Activities must relate to the grant program area listed (e.g. prevention, improved nutrition, case management…) STEP 4: For each activity, list the staff person who will be responsible for managing the activity. STEP 5: Note an “X” and make the cell RED for the month(s) when the activity will be implemented. Workplan Template Sections

M&E Report template • Includes a list of project level indicators that the grantee must report on per timeline requirements (2x or 4x per year) • Requires project targets to be set for each indicator your specific project is contributing to. The project targets (highlighted yellow column) must be filled out with the grant application. • This is an important tool to compare planned results to actual results.

  8. M&E Report Template Sections • STEP 1: Note the project area (objectives), which relates to your activities in the work plan. • STEP 2: Note the list of indicators for each objective. These are the indicators that must be reported on regularly. Your activities should contribute to these indicators. • STEP 3: Note the REQUIRED DISAGGREGATION for each indicator. Any data reported on must be separated by these categories. • STEP 4: For each indicator, write down the ANNUAL TARGET in the yellow column. This yellow column must be filled out for a successful grant application submission. • STEP 5: For any project indicators that are not listed, but that are important to show project success, go to the bottom of the sheet and add lines as needed.

  9. Linking Project Goals, Budget, Workplan and M&E • PROJECT GOALS: These are the LARGE, major disaster relief issues your project is contributing to. Project goals are often defined by UMCOR goals, noted in the RFP. • EXAMPLE: Reducing risk of disaster, Building shelters, etc… Can be found in RFP. • WORKPLAN: The workplan is a project management tool that communicates all of the steps required to addressing the GOAL. The workplan is directly related to M&E and the BUDGET. • MONITORING & EVALUATION: A way to clearly understand how progress is measured. Indicators are descriptors of the GOAL, and activity results are captured in M&E data reporting. • BUDGET: All activities and supplies necessary for the project must be captured and accounted for in the budget.
