Report on Accommodation Facilities meetings • Sigurd Lettow , Catherine Van der Velde, Michael Hauschild, Isabelle Mardirossian, Doris Chromek-Burckhart, Alexandre Rozanov, Thierry Lagrange, Jose Salizio Diez, Lluis Verge • FAC scope • Users Office • Transport, Food , Service Portal • Medical insurance • Hostel matters Outlook A.Rozanov CERN ACCU 04.12.2013

  2. Reminder of FAC mandate • FAC replaced former Hostel Fund committee, so Hostel policies are are frequently reported and reviewed • FAC discuss all accommodation facilities important for CERN users and prepare relevant recommendations • ACCU representatives in the FAC assure that the views of the CERN Users are well considered • The scope of FAC was enlarged transport, health, food, library, registration, access, User Office, and other facilities • Usual meetings are one week before ACCU meeting to check that all points to be discussed on ACCU are well prepared • Review of action list A.Rozanov CERN ACCU 04.12.2013

  3. Users Office • Longer term user contracts and cards of up to 5 years (both Switzerland and France) was a very big progress: facility for users and reduction of the work load on User Office • Pre-registration and prolongation WWW forms brings real economy of users time and money: less iterations before the registration is finished. • We reached 12200 Users (2012) !!!! Factor two from 1999 … A.Rozanov CERN ACCU 04.12.2013

  4. Traransport, food • Shuttles to Airport big success accordingUsers feedback. • Car sharing with WWW booking – excellent solution • 620 bikes for CERN Users mainly free. Only during summer 1chf/day: improve usage. • Food and commodity machines installed near resto-1 • Low price food in the restaurants 1-2 is not easy as we need to keep high quality. But there is restaurant-3 with lower prices and free shuttles, micro ways in resto-1, non-expensive vegetables/salads/soups in resto-1 • Payment in restaurants with CERN RF ID card with preloaded money is still a pending issue : potentially faster queues, improved hygiene A.Rozanov CERN ACCU 04.12.2013

  5. Medical Insurance for Users • Several iterations discussed in FAC • Low cost solution ~ 1.9 euros/day • Most difficult question was: definition of Urgency. Close to resolve, but still some issues • See latest situation in the talk of Doris Chromek-Burckhart A.Rozanov CERN ACCU 04.12.2013

  6. Hostel maters • WEB booking: extensively used, reduce time, but also prevents conflicts • Short term electronic Waiting list (at 20:00 each evening by E-mail) is working • Long term Waiting list is working, software not very flexible, but improvements will come with time • Few reading/smoking rooms and offices already transformed into bedrooms, more in work • Stop airport shuttle near Hostel reception (building 39) done • See latest situation in the talk of PavelMakhov and GS report of Reinoud Martens A.Rozanov CERN ACCU 04.12.2013

  7. Hostel maters • Saint-Genis CERN hostels was increased by 70 rooms in 2012. But users like more beds in CERN main hostel on Meyrin site. • In 2012 record occupancy of Hostel 80.4 % Taking out weekends and vacations it means practically 100% occupancy. • For such a high occupancy: excellent service. Many thanks to CERN and Hostel personnel. But some refusals, so discussions on the increase of number of beds and new hostel • After April 2013 significant drop in hostel occupancy to 67% due to LS1. Increase at the end of 2013. • What will happens during LHC restart in begin 2015 ? A.Rozanov CERN ACCU 04.12.2013
