  2. Community-Engaged Partnership Database: VCU’s Commitment to Community Engagement Community Engagement has been a key component of VCU’s strategic planning for years, codified in the 2011 Quest for Distinction and continuing with the recently unveiled Quest 2025: Together We Transform.

Community-Engaged Partnership Database: The Importance of Partnership The Division of Community Engagement is committed to developing and sustaining high-quality university-community partnerships as a key component of its sustained community engagement effort. Doing so requires knowing who our community partners are as well as the faculty & staff members who commit themselves to this work. The Partnership Database endeavors to be THE repository of this kind of information.

  4. Community-Engaged Partnership Database: Building a Network • The Partnership Database establishes a network of interconnected entities. Once a partnership record is created, an infinite number of partners or faculty can be associated with it. • BENEFITS • Use network to identify areas of shared interests. • Connect with and learn from others doing similar work. • Strengthen and support grant requests, annual reports, accreditations, and recognitions. • Leverage data to create an environment that supports student & faculty success.

  6. Community-Engaged Partnership Database: Partnership Details Click on a Submitter Name to see Partnership Details.

  7. Community-Engaged Partnership Database: Partnership Details, Overview Identifying information like Partnership Name and Partnership Description can be found on the “Overview” tab. Headings next to plus signs can be clickedto expand a section. If adding or editing a partnership, please select every option that is relevant in each of these sections.

  8. Community-Engaged Partnership Database: Begin / End Date If editing, please enter a Begin Date for when the partnership was initiated, even if approximate. If you add an End Date, a partnership will be placed in Inactive status. These are not shown by default in the main view but can be accessed by clicking the “Show Inactive Projects” check box.

  9. Community-Engaged Partnership Database: Partnership Details, Partners Information on the Partners involved in a Partnership can be found on the “Partners” tab. You can associate an additional Partner with the Partnership by clicking the “Add a Partner” button. By default, only a partner’s Name will be displayed. For more info, click on the “Details” button. A partner can be removed from a partnership using the “Remove” button. This will NOT delete the partner from the database.

  10. Community-Engaged Partnership Database: Add a Partner When on the “Add a Partner” screen, clicking on a check box, will select the Partner to be added. Then click the “Accept Selection” button to add the partner to the partnership. Click on the “Return to Partnership” button to return to the Partnership Details screen. You can use the “Search” function to search by Partner Name.

Community-Engaged Partnership Database: Add a New Partner If you don’t find the Partner listed on the “Add a Partner” screen, clicking on the “Add New Partner” section will reveal the fields to allow you to enter a new Partner. When complete, click on the “Add New Partner” button then “Return to Partnership” to return to the Partnership Details screen.

  12. Community-Engaged Partnership Database: Partnership Details, Faculty The “Faculty” tab should show all relevant faculty and staff associated with a Partnership. The “Add Faculty” process works much the same as the “Add a Partner” process. Please review previous slides for details. Both Partner and Faculty/Staff listings have an “Edit” button. Click this button if changes need to be made to listed information.

  13. Community-Engaged Partnership Database: Edit Faculty or Partner Information on Faculty/Staff can be edited on this screen. The “Edit Partner” screen is similar. After edits are complete, click “Save” then “Return to Partnership.” When editing faculty/staff or partner information, be aware that the changes you make will be reflected in all Associated Partnerships. For both Partners and Faculty/Staff, Associated Partnerships are listed. You can click on a Partnership Name to go directly to that Partnership’s detail information.

  14. Community-Engaged Partnership Database: Partnership Details, Affiliations Currently on the “Affiliations” tab, as many as three VCU departments can be associated with a Partnership. This capability will be expanded in the near future so that an unlimited number can be associated.

Community-Engaged Partnership Database: Partnership Details, Clearances On the “Clearances” tab, it is VERY IMPORTANT that you indicate that you have reviewed the information related to Release of Information and VCU Policies. If a clearance check box is not checked, the text will appear RED. These clearances must be secured before we can make this system available to the public as planned.

  16. Community-Engaged Partnership Database: Save Partnership At any point, you can click on the “Save Partnership” button to save any changes you make. You should see a “Changes to…” message displayed or, if some information is incomplete, a message describing what information is missing.

  17. Community-Engaged Partnership Database: Browse by Partner or Faculty/Staff By default, Partnerships are listed. But you can also Browse the database by Partner or Faculty / Staff. At both the Partners and Faculty/Staff Listings pages, you can Search, click on a name to get more details, or…. …click on the “Add” button to add a new Partner or Faculty/Staff member.

  18. Community-Engaged Partnership Database: Partner or Faculty/Staff Info Clicking on a Partner or Faculty/Staff name from the listing will bring you to a detail screen with more information, including Associated Partnerships. Clicking on an “Add” button for Partner or Faculty/Staff will bring you to the same detail screen only it will be blank and ready for you to fill in. You can do so and click “Save.”

  19. Community-Engaged Partnership Database: Add a Partnership To add a new partnership, click on the “Add Partnership” button on the main page. The Partnership ID field will say “(new partnership). Almost all fields will be blank. No Partners will be listed and will need to be added.

  20. Community-Engaged Partnership Database: Add a Partnership When adding a new partnership, on the “Faculty” tab, the system will try to autofill Submitter information based on your eID. If this data is incomplete, please enter missing information. Please complete all required information, particularly checking the boxes on the “Clearances” tab. When you click “Save Partnership,” your partnership will be assigned an ID and a message will appear at the top of the screen.

  21. Community-Engaged Partnership Database: “Show My Partnerships” Clicking on the “Show My Partnerships” radio button will limit the list to partnerships where you are associated as a Submitter or Faculty/Staff. The “Partnerships Listed” counter should change to reflect the difference. Listed as Faculty/Staff. Listed as a Submitter.

  22. Community-Engaged Partnership Database: Filtering the List Five different drop-down lists allow you to narrow down the listing of partnerships. If you select “Health System,” the Unit will default to “Clinical.” You can continue choosing options with the other filters to narrow down the list. The “Partnerships Listed” counter will reflect the change. If you select “VCU” as the affiliation, numerous departments, colleges and schools will be shown in the “Affiliation Unit” drop-down.

  23. Community-Engaged Partnership Database: Search Search terms can be entered into the Search box on the main page. Enter text and click “Find.” Click “Next” to go on to the next result. Your search term(s) will be highlighted. They may be found in any field in the main listing.

  24. Community-Engaged Partnership Database: Export Once you have the list displayed that you are interested in, you can export that list in either Excel or Word format. Click on the Export icon and choose the option you want. A file will immediately start exporting once you choose your option. You will find the file in your “Downloads” folder.

  25. Community-Engaged Partnership Database: Miscellaneous The system has more capabilities than described in this presentation. Below are a few additional features. Feel free to explore! Click on the feedback link to submit comments directly into the database. Click on the Home icon at any time to return to the main listing page. Partner and Faculty/Staff links in the main listing are active and will take you to the appropriate detail screen when clicked.
