  1. Requesting Appointments for Marketplace (Buyers) Quality Appointments to Expand Your Tour Business

Requesting Appointments for Marketplace • The appointments are the core of Marketplace; which allow Buyers and Sellers to meet face-to-face in prescheduled seven-minute appointments. • Appointment Requests begin Sept. 16th. • Now that you’ve researched and have a good target list of companies you want to meet with, select them for your appointment requests. • You can prioritize your appointment requests- be sure to put the companies you most want to meet with at the top of your request list.

  3. Appointment Matching • Both Buyers and Sellers make appointment requests and all requests are due at the same time- November 23, 2010. • The computer matches up the requests to produce your schedule. • If a Buyer and Seller choose each other, that is a mutual appointment and have a 99% chance to be scheduled together to meet. • The next priority goes to Buyer requests. • The next priority goes to Seller requests.

  4. Log In • Log in to request appointments through your Marketplace Passport. Use your individual delegate ID number and your individual password. • Choose REQUEST APPT from the column on the left side of the screen. • See an example of the screen on the next slide:

Making Your Requests • When you log in to make your requests, you will first see the MAKE NEW REQUESTS screen and will see the list of available Sellers to meet with. • You can look at Seller profiles from this screen. By clicking a company name, the name will highlight and you can click VIEW PROFILE at the bottom of the screen to see that company’s profile. • Or you can click VIEW ALL PROFILES to see all the company profiles at one time. • Click SEARCH to bring up a search screen for you to search for specific targets based on various criteria, such as names, locations, as well as matching marketing profiles.

  7. Requesting Appointments with Different Company Types • Appointment-taking Buyer Delegates are allowed to make: • 75 Requests for DMO and Receptive Operators/Tour Planners registered for the DMO session. • 75 Requests for Hoteliers. • 75 Requests for Attractions, Receptive Operator/Tour Planner and Associates registered for the Lodging/Attraction sessions. • On the right-hand side of the screen where it says Schedule Type - use this drop-down list to focus on the scheduling session you want to work on (DMO, Attractions, Lodging). See this drop-down list in the next slide:

  9. Selecting Requests • To select a company for a request, click the blue ADD REQUEST button on the right-hand side of the company name to choose that company for an appointment request. This action is processed immediately and does not require further action on your part for this change to be effective in the system. • Once you click ADD REQUEST and request a company, that button then turns red and says REMOVE REQUEST. This is because once a company has already been requested, the only action you can take is to remove your request. • See the example on the next slide:

Example • As you can see from the previous slide, I have requested an appointment with America’s Best Value Pinecrest Inn because the only action I can take with the company is to remove my request. • I still have the option to Add Request for America’s Best Value Branson Inn, B &H Photo-Video-Pro Audio, and The Queensbury Hotel since I have not requested those companies yet. • Here you can also see which companies have requested appointments with your company by clicking the WHO REQUESTED ME button. If you request a company that has requested you, that will be a mutual appointment and it will get scheduled.

  12. Prioritize Your Requests • At the top of the screen, select the second tab titled VIEW/PRIORITIZE MY REQUESTS. On this screen you may change the priority of your requests, remove selected requests, or view the profile of the company you have requested to meet with. Any changes you make on this view will not be in effect until you submit the changes to the system. • Prioritize your requests by clicking and dragging your requests to the order you want them or write in the number of priority you want in the boxes to the left of the company names. • See an example of the VIEW/PRIORITZE MY REQUESTS screen on the next slide:

Reviewing Your Requests • On this page you can review company profiles as well. • You can also remove any appointment requests by clicking the box to the right of the company name under the Remove heading, then hit SUBMIT CHANGES at the bottom right of the page. • Or remove all requests by clicking REMOVE ALL. • You have the opportunity to request 75 appointments. ABA HIGHLY SUGGESTS you request all 75 appointments to ensure the more scheduled appointments. • In the bottom left of the screen you can keep track of the total requests you have made.

  15. Reviewing Your Requests • On this page you also have the option to e-mail your requests. Just click the EMAIL button in the top right-hand corner of the screen and enter the desired address. • You can access the Appointment Request area of your Marketplace Passport as many times as you would like before the request due date of Nov. 23rd. Just click SAVE & EXIT in the top right-hand corner and your requests will be just as you left them the next time you log in. • Remember to check the Add/Cancel list in the Marketplace Passport to update your requests with new Sellers or to replace any cancelled Seller requests.

  16. Schedule Breaks • Use the SCHEDULE BREAK tab to schedule breaks throughout the appointment session(s). Check the box next to the time when you do not want an appointment scheduled. You are limited to a maximum number of three time slots you can select per session here. • SUBMIT CHANGES - Use this button to submit the information you have entered to the system. • See an example on the next slide:

Tips on Requesting Appointments • Multiple appointment-taking delegates from the same company should not duplicate requests. • Appointments are not scheduled based on the order the appointment requests are received. They are scheduled based on the date your Marketplace registration was sent to ABA. • You may only request a company for an appointment if the company has a registered appointment-taking delegate. Other companies may display in the Research Database who do not have an appointment-taking delegate and therefore, cannot be requested. • You can edit your requests as many times as you wish prior to the Appointment Request Deadline of November 23, 2010.

  19. First Time Delegate? • You can change your delegate status to the first-time delegate option on the Delegate Information tab.
