  9. Chartering Process Charter Renewal Deadline is May 1steach year. Renewal is an electronic process through OrgSync. Name change requests during the year must submit form online Update OrgSync with any advisor or officer changes

Active vs. Inactive INACTIVE ORGANIZATIONS Ways to be deemed inactive: Failure to renew by May 1st Failure to attend an Orientation session Failure to comply with OrgSync requirements Delinquent financial status to the institution Violation of Student Code of Conduct Failure to comply with the rules outlined by Student Activities ACTIVE ORGANIZATIONS Chartered groups may: Be listed on the OrgSync website Reserve meeting rooms and event space Petition for Student Activity fee funding Request ownership of a web account and a link to the Georgia State University homepage Reserve vehicles through Student Activities for officially recognized travel sponsored by a chartered student organization Promote or advertise the organization on campus

  14. Special Event-Late Night Policy Special Event/Late Night Policy More than 300 people After 11pm Guest Policy, 2 guest per GSU student Must have University Police present. Expense is paid by the organization. NEW: $35 per officer/per hour Faculty/Staff Advisor must be present throughout entire event Security Meeting must occur and all paperwork must be complete 10 business days prior to event No promotion of event until approved Event will be canceled if policy is not followed Examples of SELN events include but are not limited to, Parties, Fashion Shows, Banquets, Balls, Panther Prowls, Carnivals, Gospel Explosion, Key Note Speakers, etc.
  15. Campus Posting Policy Posters, flyers or notices may NOT be attached to doors, walls, windows, trees, car windshields, elevators, trash cans, light poles or exterior surfaces of buildings. Grip strips are located throughout the University Center, academic buildings and student lounges for the posting of official University activity announcements by chartered organizations. Only ONE posting is permitted per grip strip location. ALL printed materials should clearly identify the organization. Notices may not be posted over previously posted items. Organization is responsible for removing dated materials.

Use of University Name No student organization may use the University’s name in such a way that states or reasonably implies that the activities of the organization are official University actions or are endorsed by the University. Student organizations are not authorized to use Georgia State University official logo’s without expressed written consent from University Relations. Approval must be on file in Student Activities. No student organization may use “Georgia State University” as a prefix to their names. The only allowed identification is: the “ABC Club at Georgia State University”

  21. Student Activity Fee MoneyShantavia Reid, sreid@gsu.edu Who is eligible? All chartered student organizations are able to apply for Student Activity Fee money. Organizations whose purpose is not served through another fee. Who do we request money from? The Fee Council Chair associated with your organization. When is the deadline? Each Fee Council has different deadlines. Contact the Fee Council Chair for your deadlines and process.

Vehicle UsageEnterprise Rent-A-Car Organizations allowed a maximum of $750 in rental fees per fiscal beginning July 1 and ending June 30 of the following year Requests must be received at least five (5) days in advance Trips must exceed 30 mile radius outside the University Must submit proof of travel or documentation for trip (ex. receipt from conference registration, e-mail from staff/faculty advisor approving travel, letter of volunteer service) Fuel expenses, toll charges, late fees, citations are the responsibility of the organization Vehicle Request Form available online at gsu.orgsync.com or contact Audree Irons in Student Activities: airons@gsu.edu or 404-413-1580
