  1. TDWG 2008 Information and Housekeeping Access to the Internet Maritime Museum: Wireless access in the Theatre and Function Centre (poster and demonstration area). The network key is: TIDWIGC0nf Bandwidth is limited – please do not leave Skype, AOL, Outlook Web Access or anything else that continuously polls the network running – PLEASE! Notre Dame buildings: Internet access is available only on the computer workstations. There is no wireless network and the wired connections can not be used with personal laptops.   3. TDWG 2008 Information and Housekeeping Videocasting • This year we are experimenting with videocasting the entire conference. As many presentations as possible will be digitally recorded, together with post-presentation Q&A. Please note that only PowerPoint presentations can be recorded (other formats, including PDF, can be presented but will not form part of the video archive). • In order to achieve this minor miracle there are two important constraints: • There must be about 60 seconds gap between each recording (being the total of presentation and Q&A) to allow for the saving of the data • Presenters genuinely needing to use their personal notebooks MUST see the AV technician at least 24 hrs in advance for installation of capture software Adrian Rissone, TDWG Secretary - secretary@tdwg.org

  4. TDWG 2008 Information and Housekeeping Computer Demonstrations Please note that Computer Demonstrations will start at the Monday morning coffee break (10:15 – 10:45) in the Function Centre. Demonstrations will take place at every morning and afternoon coffee break throughout Monday, Tuesday and Wednesday. Adrian Rissone, TDWG Secretary - secretary@tdwg.org

  6. TDWG 2008 Information and Housekeeping Election of the Executive The Officers (Chair, Treasurer, Secretary) and Regional Secretaries are elected each year. The Editor and two co-opted members of the Executive are appointed by the elected members. TDWG members in good standing may submit nominations for the elected posts and, in the event of a contest for any post, are eligible to vote. Individual members have one vote. Institutional members are entitled to one vote only, regardless of how many delegates are present. It’s not too late to become a TDWG member and submit a nomination or vote! TDWG 2008 Information and Housekeeping Election of the Executive • Regional Secretaries are important! • They have the responsibility to represent the interests of TDWG members on the Executive Committee; and to represent TDWG in appropriate meetings and other activities. • Members are encouraged to look at the roles and responsibilities of Regional reps, to think about who they want to represent them on the Executive committee and nominate appropriately. • www.tdwg.org/fileadmin/executive/TDWG_Executive_Committee_RolesAndResponsibilities.pdf Adrian Rissone, TDWG Secretary - secretary@tdwg.org

TDWG 2008 Information and Housekeeping Election of the Executive • Regional Secretaries: • Are responsible for promoting TDWG in their region and for representing regional interests within TDWG • Act as the regional point of contact for TDWG • Provide a regional status report to the Secretary mid-year and to the Executive Committee at the annual conference. • Post regional news items to the web site and inform regional members of issues of interest • Represent regional interests in the running of the annual conference • Actively promote TDWG membership within the region (with assistance from the Outreach volunteers of the Secretariat) • Provide editorial assistance to TDWG publications as required Adrian Rissone, TDWG Secretary - secretary@tdwg.org

  9. TDWG 2008 Information and Housekeeping Election of the Executive Nominations for all elected posts must be given to the Secretary before the close of business on Tuesday 21 October. Please ensure that nominees are prepared to accept the post if elected. In the event of a contest for any post a paper ballot will take place and the result announced during the Business Meeting (lunchtime, Friday 24th) Adrian Rissone, TDWG Secretary - secretary@tdwg.org

TDWG 2008 Information and Housekeeping Updating TDWG databases There are three TDWG databases on the web site designed to inform the TDWG and wider communities of what is going on in Biodiversity Informatics: Biodiversity Information Projects of the World Biodiversity Information Networks of the World Biodiversity Informatics Events Database Please help the whole community to be aware of what is going on in the world by recording details of projects, networks and forthcoming events in these databases. TDWG 2008 Information and Housekeeping TDWG 2009 – Call for Sessions Everyone should have received a slip of paper in their Registration Bag outlining a call for proposed sessions for TDWG 2009 (which will probably be in Europe). If you did not receive that paper please contact Lee Belbin. It is our aim to construct a first draft of the programme for TDWG 2009 before the end of this meeting.
