  1. Perkins/FFA Annual Report Tutorial • The template contains 6 different worksheets. As designated by the worksheet tabs at the bottom of the window. • The “Instructions” worksheet is a logical place to start. • (Note: If you do not see these tabs you will probably need to resize your window smaller so they are visible.)

  2. “Instructions” Worksheet • As expected this worksheet will give you a basic explanation of the process. • READ it. • Use these arrows to scroll the window left and right. • Use these arrows to move left and right through the worksheet tabs.

  3. Ag Ed/FFA- “Printable Student Worksheet” • Ag instructors only: • Print one copy of this page. • Make enough photocopies to provide one sheet per student. • Students can utilize this sheet to prepare much of the information they will need to enter on the template.

  4. “Enter Student Data Here” (worksheet) • ENTER ALL DATA ON THIS WORKSHEET! • Do NOT ENTER data on any other worksheets. (This one worksheet does it all.)

  5. Entering Data • The top (YELLOW) row of the worksheet gives an example of the type of information that must be entered in each column. (Some require numbers, other an “x”, others “Yes” or “No” etc.) • This must be followed EXACTLY. The equations will not find a “Yes” if it is looking for an “X”. • No extra characters are allowed. For Example: If “space m” is accidentally entered for the gender instead of “m” the equations will not work.

  6. Entering Data continued… • Student Demographic Information • Enter your specific course titles in the “green” cells.

  7. Ag Instructors NOTE • For the Annual FFA Report we need ALL students in ALL of your classes. • For the Perkins Report information they only want students in your sequential program. • How can you do both? • Simple, enter ALL students and ALL courses. Then SAVE this file. (Please, please, please SAVE this file. • Then reopen the file, change the file name, resave and delete the rows that contain students who where not in the sequential program.

  8. How do you DELETE ROWS? • Click on the NUMBER of the row. This will highlight the entire row. • Then…next slide…

  9. How do you DELETE ROWS? ...continued… • After clicking and highlighting the row to be deleted…click on the “Edit” menu and select “Delete” • The row will magically disappear.

  10. Non-Ag Ed Programs • Other career and technical program areas are welcome to use this template to simplify their Perkins reporting. • However, the following items are only needed for FFA Annual Report: Science % ITEDs, Where do you live?, or any columns to the right of “Where do you live?”

  12. Perkins Reporting Data • Upon entering all of the student information SAVE the document. • Saving will force Excel to automatically update the calculations. • The numbers for reporting should now be present on the CE-4 EC & CE-4 SAI worksheets.

Perkins Reporting Data…continued… • CE-4 EC • CE-4 SAI • Data from these two worksheets is used for reporting to the Department of Education. • Note: For 2002, the data will be submitted to the DE online @ www.edinfo.state.ia.us • School Superintendents have the passwords to access the online reporting forms.

  14. FFA Annual Report • Submit the file that has ALL students in ALL ag ed courses. • However, before emailing this Excel file DELETEthe students names. • To delete the names…highlight all of the student names…then… • (next slide)

  15. FFA Annual Report…continued… • From the “Edit” menu select “Clear” then “Contents” • This step is for confidentiality purposes. We want the student data to maintain its identify by row, but we do not want specific student names associated with the data.

  16. FFA Annual Report…continued… • The “FFA SAE Summary” may be printed and maintained in your records. • It provides a few simple statistics about your program.

  17. FFA Annual Report Summary • We understand that this process may seem like a tremendous burden, however it will provide student data that we have never collected before. • In reality, this process combines the Perkins and the FFA Annual Reports into one process. • We hope this data can ultimately be used to improve educational programs and student performance. • This report will also provide data for the Governor’s Council.
