“ID Required” Printing on Poll Book • ID Required will print on the poll book only if the DL# or SSN does NOT validate. • When validating the DL#, DMV will return a information box containing the DL#, Name of the individual who has the DL#, Last 4 Digits of the SSN, and their address. • You MUST click the check box next to the DMV information box to mark the voter as validated. • If you don’t, the system will not show the DL# as validated.
Notification Card – Batch Process • Created for new registrations and changes to registrations. • Notification Cards are sent to the Batch queue. • Appears on Reminder Screen • Specific to a User
Notification Card Specifications • Size • Avery Postcards – 4.25 X 5.5 • USPS Specifications • Currently working with the USPS for the format.
Absentee Ballots Will be discussed during the Absentee Portion of the meeting.
Creating Absentee Precincts • Establish by County Commissioners • Boundary must be the same as those of legislative districts • Also must follow congressional district lines
Absentee Precincts • Additional District Type called Absentee Precinct. • Under Activities - Maintain County Data – Maintain Districts screen • Specific to an Election • Multiple County Precincts can be assigned to a single absentee precinct.
Assign Absentee Precincts • Select Specific Election • Select only ONE Absentee Precinct at a time • Pre-defined under Maintain Districts • Assign County Precincts to the Absentee Precinct • Repeat until all county precincts have been assigned to absentee precincts.
Consolidated Elections • Modifications: • Consolidation of more than 4 elections • Use of Ballot Codes • Define ballot combinations for voters • Adds: • Consolidated Voter Registration Summary Report
Modify Consolidated Elections • Even after an absentee ballot is defined for an election: • Allows the following modifications: • Addition and removal of elections • Changes in district assignments for elections • Allows deletion of a consolidated election. • Allows re-consolidation without creating a new consolidated election.
Ballot Code • Removes the four columns on the consolidated poll book which identified the elections the voter was eligible to vote in. • Allows identifying the ballots a voter is to receive by giving the ballot combination a ballot code.
Assigning Ballot Codes • Identify the ballot combinations • Example of consolidated election: • County Election • City Election • Fire District Election • Ballot combinations: • County • County, City • County, Fire • County, City, Fire
Define Ballot Code • Define Ballot Codes for each ballot combination. • Ballot Code is a 30 character text field. • Ballot Code must be unique within a consolidated election. • Cannot have multiple ballot codes for a single election (ballot) combination.
Consolidated Registration Summary • County precinct is first criteria. • Allows selecting either City Precincts or Taxing District for 2nd and 3rd criteria. • If the user does not select a city precinct or taxing district type, the report will display totals for all city precincts or districts selected.
Annexations and Creation of Districts • New process to create a temporary “district” to allow the printing of poll books and alpha voter lists for annexations and creations of new districts.

Create Annexation • Annexation Code • Allows for 20 character code • Activates drop-down list on: • Maintain Street District screen • Maintain Rural Street screen • Allows user to apply the annexation code to entire districts or precincts.
Printing Reports • Poll Book and Alpha Voter List • Additional Selection pushbutton under Taxing District. • Prints all voters assigned to the Annexation Code to be printed in Alphabetical Order.
Removing Annexation Code • Removing the Annexation Code will: • Remove the code from all street segments and districts. • The annexation code is deleted from the database. • If there are no annexation codes defined then the annexation column is hidden on the Maintain Street screens.
Additional Changes • There are additional changes scheduled as discussed during the regional training meetings. • We will keep you posted on release dates.
