Feedback from review meeting and 2 year project approval • 7 & 8 April Review meeting • Some remarks/clarifications requested by reviewers to the Consortium • Starting from now, any relevant deviation of activities as planned into DoW must be immediately communicated to the Project Coordinator then he will forward the information to PO and reviewers  SP leaders • Amendment 3 official approved • official text of Amendment 3 now on the website (folder Docs/Contract Documents) • Request of project extension submitted  Amendment 4 • New GANTT available • Feedback from reviewers and PO within June 2011

  7. Project extension – reporting dates • Due to the 6 months project extension • the Final Periodic Report and the Financial Report will have to be prepared at the end of the project, March 2012 • will cover the period from October the 1st 2010 to March the 31st 2012 (18 months).

  8. Final reporting • In addition to the Periodic Report for the last period of the project, a Final Report has to be submitted within 60 days after the end of the project • This final report shall comprise: • A final publishable summary report (part 1) • A plan for the use and dissemination of foreground, to spread awareness (part 2) • A report covering the wider societal implications of the project, in the form of a questionnaire, including gender equality actions, ethical issues, efforts to involve other actors (part 3) All reporting instructions are described in the following guidance note on CORDIS web site: ftp://ftp.cordis.europa.eu/pub/fp7/docs/project_reporting_en.pdf

  9. Final reporting: final publishable summary (part 1) • Final publishable summary report: this section must be of suitable quality to enable direct publication by the Commission and should preferably not exceed 40 pages. It has to include 5 distinct parts: • An executive summary (not exceeding 1 page) in charge of Coordinator • A summary description of project context and objectives (not exceeding 4 pages)  in charge of Coordinator • A description of the main S&T results/foregrounds (not exceeding 25 pages) in charge of SP leaders  not more than 4 pages for SP • The potential impact (including the socio-economic impact and the wider societal implications of the project so far) and the main dissemination activities and exploitation of results (not exceeding 10 pages) in charge of SP leaders  not more than 2 pages for SP • The address of the project pubic website if applicable as well as relevant contact details Furthermore, project logo, diagrams or photographs illustrating and promoting the work project, as well as the list of beneficiaries with the corresponding contact names, can be submitted without any restriction

Final reporting: use and dissemination of foreground (part 2) • A plan for use and dissemination of foreground shall be established at the end of the project • The plan should consist of: • Section A: describes the dissemination measures including any scientific publications relating to the foreground. Its content will be available in the public domain thus demonstrating the added-value and positive impact of the project on the EU • Section B: specifies the exploitable foreground and provides the plans for exploitation. All these data can be public or confidential. The report must clearly mark non-publishable parts that will be treated as such by the Commission.

  11. Section A • Includes 2 templates • A1: list of all scientific publications relating to the foreground of the project • A2: list of all dissemination activities (publications, conferences, workshop, press releases, videos, films, TV clips…)

  16. Administrative reporting • Financial Statements (Forms C) has to be submitted by each beneficiary for the final reporting period (18 months)  each beneficiary should declare, in the final Form C, all costs incurred from October the 1st 2010 until March the 31st 2012. • Certificates on financial statements – CFS • mandatory when beneficiary’s cumulative EC contribution ≥ 375.000€ • standard models, to be sent in original • submission after the costs are incurred and claimed

Payments • Pre-financing received and transferred to the Consortium at project start : Euro 5.895.971,55 • Payment for reporting period 1: paid end of January 2011 • Payment for reporting period 2: forecastfor the end of January 2012, after approval of reviewers and PO (June 2011) and submission of missing documentations within and of May 2011

  19. Final meeting • When: March 2012 • Two days meeting • Day one: SP meetings to prepare the SP presentation for day 2 • Day two: SP presentations + prototypes demo • Place  will be defined within September 2011
