Tools and Databases for the Management of Space at CERN

This presentation covers the tools and databases used for the management of space at CERN, including the General Data Flow GIS Portal, Planothèque, AIS Applications GesLoc, HRT, and Loc. It also discusses the responsibilities of SMB-SE and FAP-AIS in maintaining and distributing location information across CERN.

  1. Tools and Databases for the Management of Space at CERN CERN, Geneva, May 4th 2017 Youri Robert (SMB-SE), Jan Janke (FAP-AIS)

  2. General Data Flow Gis Portal Planothèque Web Level AIS Applications GesLoc, HRT, Loc. 3. Responsibilitiesof SMB-SE • Create, update drawings of floor maps (surface/underground) • Update some key attributes • Room name • Destination (the purpose of the local/room at the time it is mapped) • Habitable (can be used as an office Yes/No) • Surface area • Share location data • Planothèque • maps.cern.ch and gis.cern.ch • Glue stickers with room name on doors

  4. Patrimony Tools and Drawing Create Snow ticket to request an update of floor maps

  5. Display room information Information tool

  6. Display managingdepartmentthematic Managingthematics

  7. View data and Export to excel Multiple select tool Data view and filter Excel export

  8. Add new thematics and data Add new data

  9. Othertools Measuringtool Export tool

  10. Responsibilitiesof FAP-AIS • Maintain central location data repository • Distribute location information across CERN • Provide means to enrich location data w. domain specifics • Examples: cleaning, radiation, electrical attributes • Provide tools to manage certain aspects related to locations • GesClé: Management of keys and cylinders • GesLoc: Management of space • Safety roles: Responsibilities for various aspects of safety by location

  11. Systems within AIS • Databases • AIS Locations DB • Sourced from the GIS • Enriched with domain specific attributes • Oracle HR • Internal addresses (i.e. office occupations) • Applications (to visualise information) • GesLoc • Locations • HRT All applications show datafrom the same source databases

  12. Who is responsible for space at CERN? • Buildings • Responsibility primarily defined for safety reasons • Responsible department defined via Foundation/SOS/TSOs

  13. Who is responsible for space at CERN? • Buildings • Responsible department defined via Foundation/SOS/TSOs

  14. Who is responsible for space at CERN? • Buildings • Responsibility primarily defined for safety reasons • Responsible department defined via Foundation/SOS/TSOs • Rooms • Managing unit defined via GesLoc • Field “Gestionnaire” in Foundation/Gesloc/Locaux • Responsible person (e.g. the space manager)

  15. Who is responsible for space at CERN? • Buildings • Responsibility primarily defined for safety reasons • Responsible department defined via Foundation/SOS/TSOs • Rooms • Managing unit defined via GesLoc • Field “Gestionnaire” in Foundation/Gesloc/Locaux

  16. Who sits in which office? • Internal address information is stored in the HR database • Maintained via PIE/PAD accessible from Foundation Office occupants displayed in Gesloc

  17. Fields in GesLoc 3. To specify meeting room booking options (for Indico) 2. Actual usage (utilisation) of the room. 1. Purpose (destination) at timeof last measurement. • 4. Principal risk present in the room.Several issues: • Not consistently maintained. • Other risk databases exists and are better references (e.g. RAISIN) • Only 1 option selectable

  18. Meeting room settings for Indico 1. Should be ‘Yes’ if you want to see the room in Indico 2. Should bookings be confirmed? 3. E-group of room administrators 4. Who is allowed to book this room (now obsolete) More info: https://cern.service-now.com/service-portal/article.do?n=KB0002902

  19. Responsibilities, Approvals, Auditing • Departmental duties • (D)DSOs: Assign TSOs and define department responsible for building • DSM: Manage responsibilities for rooms in GesLoc • No explicit approval mechanisms • Current auditing of user actions in GesLoc: • Creator + create date • Last modifier + modification date

  20. Locations Application • Search and visualise locations and their attributes • Maintain domain specific attributes • E.g. electricity, cleaning, noise risks, radiation classification • Location attributes: export to / import from Excel • Define logical location groupings • Currently facilities for intervention mgmt. in IMPACT • Accessible by any CERN account owner (read-only)
