  8. Pre-Professional Volunteer Roles • Volunteers may be based at a clinic site or in the administrative office on campus, depending on the role • Clinic-Based Volunteers • While the pre-professional volunteer roles are administrative in nature with little patient contact, you will be in the “command center” for clinic activity • Language interpreters are the exception in that their primary purpose is to assist the medical team and patient in communicating • That said, every volunteer has a critical and integral role to the smooth functioning of the clinic • You might experience some “down time” during clinic due to the variable and unpredictable nature of demands as patients are seen; just when you think things are going to slow, the next minute you might be swamped; in the meantime, ask around to see if there is anything you can help out with

  9. Pre-Professional Volunteer Requirements • Commitment of 12 continuous months (including many school and other holidays/breaks) unless otherwise arranged • Proof of immunization: • Tetanus within the last 10 years • TB test within the last 12 months • If positive, copy of chest x-ray results or doctor’s treatment note required • Hepatitis B series recommended if clinic-based • Live Scan background check at the UCSD Live Scan office • Complete Staff Volunteer Documents • Complete HIPAA training and follow guidelines • Complete orientation/training • Comply with UCSD Student-Run Free Clinic Policies and Procedures

  10. Attendance The clinic relies on teamwork to accomplish its mission and every member of the team (that’s YOU) is important to its function. • 1 year commitment (unless otherwise discussed upon on-boarding) • One absence per quarter for good reason is allowed provided there is advance notice (as much as possible but at least 24 hours) and approval of the supervising/lead volunteer • Please be on time (or even early) so we can be prepared and serve the patients as efficiently as possible • Sign-in at every clinic you attend • While we understand that unforeseen events occur, our priority is to serve our patients; more than one absence per quarter may generate a discussion about your ability to fulfill your commitment • Please plan accordingly • TOO MANY ABSENCES COULD TERMINATE YOUR APPOINTMENT

  11. Appearance • Dress code is business casual to reflect the professional nature of the clinic • This means NO jeans, shorts, mini-skirts/mini-dresses, t-shirts, spaghetti straps/tank tops, flip flops or open-toed shoes • Identification badges provided are to be worn every time • If you need a new one at any time, please let your lead or the Volunteer Coordinator know

  12. Conduct • Addressing patients with respect (Mr./Mrs./Ms./Sir/Ma’am) and establish boundaries • Always have professional interactions with fellow volunteers’, medical students, staff, attending physicians and other professionals • We ask that personal conversations amongst volunteers/ students are kept to a minimum and work at hand is to be the first priority

  13. Policies & Procedures • Provide structure and consistency to clinic activities and a common understanding of all aspects of the clinic • Available electronically or in a binder at each clinic site and at the administrative office on campus • Volunteers are responsible for reviewing and understanding policies and procedures related to their volunteer role • Please refer to pertinent policies and procedures whenever you feel you need direction or clarification or a Lead Volunteer or Attending if it is urgent • Clinic Directors or a Lead Volunteer are available to interpret policy or determine how a specific issue should be handled
