General Information Email • All email addresses are name.surname@r3group.com. • Although anti-virus software is installed on the PCs and server, always be aware of the harm viruses can cause and be extra vigilant. Telephone • Our Samsung system is a digital system. • You have to dial a ‘9’ first for an outside line. • You should always give out your direct dial number to regular business contacts. • The company policy is that we answer phones within 3 rings, whether it is your phone or a colleague’s. • There is an answer phone situated on Sarah’s desk. The first person to arrive is responsible for taking the answer phone off and listening to any messages, the last person to leave is responsible for putting the answer phone on (instructions are in this pack). • We have a rota in place to cover the telephones from 0800-17.30. • We also have an alarm system, if you know you are likely to be the first to arrive or the last to leave, please ensure you know what to do (i.e. have you remembered the alarm code). Fax • We have 1 fax machine – this is situated beside Julian Clapson and the number that belongs to this machine is 01473 214 817. • We also have a computerised fax the number for this is 0871 277 2994 Health and Safety • Any H&S issues should be raised with Sue Ross in the first instance. • Action to take in event of a fire is included in this pack and can be found on notice boards. • Any accidents should be logged with Sue Ross. Payroll • You will need to provide Siobhan Hearne with any information you feel is relevant to the payment of your salary including P45 details. • You will be paid the last working day of each month, a wage slip will be handed to you prior to this date. Personal Expenses • Any business expenses you incur need to be agreed by your line manager and details provided to Finance, you will need to complete an expenses form (this can be found on the intranet). Timesheet • A timesheet has been created for you (located: My Computer, G drive (Admin) - R3 Timesheets – 2010 – Your Name2010). • It is very important that these are completed, if not daily, most certainly by the end of each week.

  6. Contact Lists We use a contact list called Keeping in Touch – for the most up to date version of this please use the below link. The Keeping in Touch (KiT), this is a list of all of our colleagues throughout the business (divided in to companies by tab). This is a detailed list and gives the following details about employees, Company, Name, Position, office tel no, mobile no, fax no, e-mail address and office address. KIT List

  7. Fire health & Safety policy Please beware this will run along side the fire notice already in place. In the event of a fire: When alarm sounds evacuate building immediately. Leave all personal belongings and assemble at evacuation point situated to the right of the EADT blue gates. The building will be checked by either: Rob Proudman Robin Williams Sue Ross A roll call will be taken once outside to ensure all people are accounted for this will be done by: Sue Ross All Managers will be responsible for informing whoever is holding the roll call of anyone who is on holiday/out of the office or any visitors who are on premises at the time of evacuation. The answer phone will be switched on by one of the following: Sue Ross The fire service will be called either by mobile phone or by using EADT gatehouse phone. This will be done by: Rob Proudman Robin Williams Sue Ross No one is permitted to re-enter the building unless told otherwise by:   A representative of the fire service The Directors Sue Ross Please note this is extra information and will run alongside the existing fire evacuation procedure. Please read and ensure you understand all procedures.

  8. Action In The Event Of A Fire • Tackle the fire using fire extinguishers if possible, but at no point risk your personal safety. These are located - In main office, adjacent to kitchen - Adjacent to lift - In upper lobby area, at top of main stairs - In lower lobby area next to double doors and adjacent to car park • Raise the alarm if possible. • Take the nearest fire exit (not using the lift). • Make your way to the assembly point on Turret Lane (opposite our main entrance door to the left of EDAT’s gates). • Report to Sue Ross. • Do not return to the building for personal belongings. • Do not return to the building until informed it is safe to do so.

  9. Holiday & Sickness Holiday: A holiday form (this found on the intranet) must be completed and submitted to your line manager, they will then sign it (if they are happy for you to take the holiday) and return it to you. This then need to be posted to HR (HR, Forces Financial, Unit 3 Meridian Office Park, Osborn Way, Hook, Hampshire, RG 27 9HY) . Sickness: If you are calling in sick you need to call as early as possible (between 0800-0830 is ideal). This will then be logged by the person that took the call and updated on your records. When you return to work from your period of sickness you will have a ‘return to work’ interview with your line manager. If you are taking a call from a colleague that is phoning in sick firstly you need to complete a ‘sickness form’ (employee name, nature of illness etc – this form can be found on the intranet). Then you will need to let the relevant person know, the sick employee’s Line manager and HR.

  10. Earlies & Lates If you are the first in the office you will be responsible for the following: Earlies: • Turning on the office air con. • Answering calls between 0800-0900 (the postman will always usually have a piece of mail that has to be signed for - it is your responsibility as the early shift worker to answer all calls inc the front door). • Unlocking the garage/office door. • Turning off the answer phone (listen to all of the messages and pass them on to the intended recipients accordingly). • Turning on the printers/shredder. If you are doing a late shift Between 1700-1730 you will be responsible for answering the telephones, if you are the last to leave the office you are responsible for the following : Lates: • Turning the answer machine on. • Turning off printers/shredder. • Turning all lights off (office/kitchen/stationery cupboard/cupboard beside the photocopier/toilets/meeting rooms/lobby/reception/car park). • Making sure the stationery cupboard door is open. • Switching off the air con. • Checking the front door is locked and the double doors between Lobby and Car Park. The late shift person must ensure that the shutter garage door is locked, even if people are in the office. • Setting the intruder alarm (if they are the last person to leave). • When leaving the car park, please ensure the shutter door is closed before leaving. • Check the Heater and fan in the boardroom is turned off. Answer Phone:  To set/turn off the answer phone (which is situated on Sue's desk) press the bottom right hand button on the phone, dial '0000' and press the button below the word day (if you are on the early shift) or night (if you are on lates) on the display. A red light will appear in the bottom right hand corner when it is on and disappear when it is off. A copy of the earlies/lates rota can be found on the office notice board and the kitchen notice board.

  11. Car Park Please find below a list of those who have a space in the R3; Group car park along with those on the waiting list – if you would like to be added to the waiting list please advise Sarah. If you would like to be added to the car parking space waiting list please ask Sarah.

  12. R3: Group - Ipswich Office: Do’s & Don'ts • No Smoking anywhere on or around the premises. • When leaving the office please ensure your computer and monitor is switched off. • If you have a CD player on your desk please ensure that this is switched off at the end of the day. • When making up a new file please use a white file and create a front page and spine for the file (please ask Sarah for relevant templates should you need any). • It is everyone’s responsibility to keep the office tidy. Please ensure that you empty your bin if it’s getting full into one of the already in-use bin bags in the cupboard. Bin bags are not to be tied up and taken downstairs until completely filled. • If you have Tea/Coffee/Drinks or have used plates/cutlery please ensure you wash, dry and put away what you have used at the end of the day. • If you change a printer toner/cartridge or notice low stock please let Sarah know ASAP. • When you are in the stationary cupboard please make sure you tidy up any mess you make so that it is left in a tidy state for everyone. • If you make a mess anywhere in the office clean up after yourself! At the shredder for example. • Air Con – This is to be switched on by the person on earlies and off by the person on lates, not altered at any other time, the temperature and the settings are not to be changed. • Fridge – Only use the top shelf of the fridge please, the bottom self and the shelves in the door are needed for milk and visitors drinks.
