Purpose • Since Awards reflect the scope and quality of our Top Ladies and Top Teens programming, we have tried, wherever possible in these guidelines, to reinforce the current TLOD/TTA National Programs and Projects outlined in the TLOD National Program Resource Guide. • Provide consistency and structure of the Awards program across all six geographical areas. • Present Awards that will be evaluated at the National Syn-Lod, as referenced in the TLOD Governance. • Review of Criteria, Guidelines and Eligibility for clarity. • How the Awards Committee prepare to receive your scrapbooks leading up to the day the Awards are presented. • Receive any additional guidance from National Awards Chair.

National TLOD/TTA Awards by Category (4) TTA Awards The Georgia Presswood Nelson Outstanding TTA Program of Work Award (Chapter Scrapbook) 2012-2013 2.The National TTA Director’s Outstanding Top Teen of America Award (Teen Portfolio) 2012-2013 3.The Augusta Cash Latham TTA Essay Award (Essay) 2012-2013 4.The Ruth Payne Smith TTA Speakers Tournament Award (Speech) 2012-2013 (5) TLOD Awards • The Willie Lee Glass Outstanding Program of Work Award (TLOD Chapter Scrapbook 2012-2013 • The Ozell Dean Outstanding Total Program Award (Chapter Total Program) 2011-2013 • The Lucellestine Wilson 2011-2013 Outstanding Public Relations Award (Area Print Media Portfolio) • The National President’s Outstanding Area Award ( Area Total Program) 2011-2013 5. The Laverne Madlock National Top Lady of the Year Award (Scrapbook) for Program Year 2011-2012 and for 2012-2013.

What You Need To Know The Chapter and Individual entries submitted for the Syn-Lod National Awards Program may carry a different name at the Area Level, however they must adhere to the National Awards Guidelines and Evaluation Criteria for eligibility at the National level. The First Place Winners from the Area level must be reported on the Area Director’s Report and submitted by May 10th of the Syn-lod year. NOTE: Any First Place ties at the Area Level must be broken at the Area Level to determine the single entry First Place Winner that advances to National. The National Awards will be evaluated for Syn-Lod 2013 under the direction of the National Awards Committee. Chapter and Individual entries must have been judged as First Place Winners at the AREA level The Teen entries are eligible for National competition for the Syn-Lod year ONLY. The topics for the National Essay Contest and the National Speakers Tournament must be used by the teen who plan to enter the national competition.

  6. Special Notes for Evaluation of Top Teens Entries • Top Teen entries are eligible for National competition for the Syn-Lod year ONLY. • If an Area’s First Place Winner of the TTA Speakers Tournament will not be able to attend Syn-lod, then the Area Director may approve alternate entry of the Second Place Winner or Third Place Winner, in this order, if either will be attending Syn-Lod. The information on the alternate entry for the Syn-Lod National Speakers Tournament must also be identified on the Area Director’s Report to be submitted by May 10th of the Syn-Lod year. • In a non-Syn-Lod year, Area Conferences may still hold Essay Contests and Speakers Tournaments. Since these winners do not advance to Syn-Lod, topics may be selected from the National Essay and Speaker Tournament Topics or be determined by the Area Director or Area Awards Chair. (This is only during a NON- Syn-lod year ONLY. • During a Syn-Lod Year, topics for the TTA Essay and for the TTA Speakers Tournament entries must have been selected from the “National Topics for TTA Essay & Speakers Tournament” for the Program Year 2011-2013 and must have been the winning Essay/Speech from the Area competition for 2012-2013.

  7. The Willie Lee Glass Award – TLOD Chapter POW Scrapbook • Must have been the First Place Winner from the Area Conference for 2012-2013 • Must contain materials for the Two-Year period of July 2011- June 2013 in (1) scrapbook. • The winning scrapbook from the Area level may need to be revised to ensure that material included for entry to the National Awards Program is inclusive for the specified period between Syn-Lods. • The TLOD Chapter Scrapbook must not be larger than 16 X 20 inches. • The TLOD Chapter Scrapbook must not weigh more than 30 pounds. • The TLOD Chapter Scrapbook cover must display the Chapter name and the Two-Year Program Period. • Chapters chartered or reactivated in 2012 thru 2013 are not eligible for the Syn-Lod 2013 TLOD Chapter Program of Work Award.

  8. The LaVerne Madlock Award – Top Lady of the Year Award • The Top Lady of the Year Award must have been the First Place Winner from the Area Conferences. • (2) entries may be submitted from the Area level. The First place winner from 2011-2012 and the first place winner from 2012-2013 are both eligible. • Eligible entrants for Top Lady of the Year must have been a member for at least 5 years. • Each Top Lady of the Year Scrapbook must cover the most recent 5-year period in one book. • Each Top Lady of the Year Scrapbook must not be larger than 13 X 15 inches and must not weigh more than 10 pounds. • Each Top Lady of the Year Scrapbook must include a letter of endorsement from the Chapter. • The Scrapbook Cover must display the entrant’s name and the applicable Program Year. • Refer to the National Awards Program Criteria and Eligibility Guidelines for allocation of number of points per area or section

The Lucellestine Wilson Award – The TLOD Area Print Media Award • Must span the Two-Year Program Period of July 2011 – June 2013 in (1) portfolio • Must contain publicly published newsprint and or magazine articles only that feature TLOD/TTA • Publicly published newsprint must include newspaper, magazine or journal identification and date. • Originals, copies of originals or online prints of the publicly published articles are acceptable. • Only photos within the published article are acceptable. • NO chapter-produced/computer-generated documents or solo photos are acceptable. • The portfolio must not be larger than 16 X 20 inches and must not weigh more than 30 pounds. • Chapter newsletters, programs and flyers are not considered for this Award. • The portfolio must display the Area number and the Two-Year Program Period.

REMINDER • The Winning Chapter TLOD Program of Work (Willie Lee • Glass Scrapbook) and Top Lady of the Year (LaVerne • Madlock) Scrapbooks from the Area level that are • submitted for the National Awards Program must meet • the National Eligibility Guidelines to be accepted and • should have used the same Evaluation Criteria at the • Area Level. • Note: Any First Place ties at the Area level must be broken at the Area level to determine the single entry First Place Winner that advances to National.

The Ozell Dean Outstanding Total Program Award – (Total Chapter Program Award) – First Place Entry from the Willie Lee Glass Award • Eligible Chapter Program of Work Scrapbook entry from the Willie Lee Glass Award. • Documentation for the Two-Year Program Period must be clearly reflected in the following: • TLOD Chapter Scrapbook • Chapter Report Workbook • National Financial Secretary’s Report • Area Director’s Report • Area Print Media Portfolio • Documentation in the Outstanding Chapter Scrapbook (Willie Lee Glass) to be evaluated are: • Support of National Program Thrusts • Activities within TLOD • Representation at Area Meetings, Syn-Lod and Founders’ Day Observance to include participation with the Top Teens • Support of National Projects (Financial Contributions and Community Involvement) Remember the $50.00 financial responsibility for projects. • Community Service and Contributions to include Local Scholarships distribution, Chapter’s Membership in Civic and Community Organizations, Volunteer Hours and Public Relations Program

The National President’s Outstanding Area Award • Documentation for the Two-Year Period must be clearly reflected in a variety of sources including: • Chapter Report Book • National Financial Secretary’s Report • Area Director’s Report • Corresponding Secretary’s Report • Percentage of Area Chapters Supporting National Program Thrusts • Percentage of Area Chapters Represented at Area Meetings and Syn-Lod • Percentage of Area Chapters Supporting all National Projects with National financial contributions and number of activities implemented • Percentage of Area Chapters sponsoring a variety of TTA Programs (namely M.O.M.E.N.T.U.M, TLOD/TTA Mentoring Program, MOD Walk America, Healthy Choices Youth Conference, Sickle Cell Projects and Literacy Projects. • Percentage of Area Chapters sponsoring Inductions and number of Area Chapters chartered or reinstated.

  13. TTA Awards Criteria for Program Year 2012 – 2013 ONLY • Georgia Presswood Nelson Outstanding TTA Program of Work Award – TTA Chapter (POW) Scrapbook • The National TTA Director’s Outstanding Top Teen of America Award – Top Teen Portfolio and Application Form • The Augusta Cash Latham TTA Essay Award - Teen Essay • The Ruth Payne Smith Speakers Tournament Award – Top Teen Oratorical Speech Award • 2011 – 2013 National Topics for TTA Essay & Speakers Tournament Award is found on page 15 of the National Awards Program Criteria & Eligibility Guidelines • Top Teen entries are eligible for National competition for the Syn-Lod year only. The winning Top Teen entries from the Area level that are submitted for the National Awards Program must meet the National Eligibility Guidelines to be accepted and should have used the same Evaluation Criteria as the National Awards Criteria.

The Georgia Presswood Nelson Outstanding TTA Program of Work – TTA Chapter Program of Work Scrapbook • First Place Winner from the Area Level for Program Year Two of the Two-Year Program Period is Eligible to compete. • Scrapbook material must cover the Program Year of Syn-Lod. • Scrapbook must not be larger than 16 X 20 inches. • Scrapbook must not weigh more than 30 pounds. • Scrapbook cover must display Chapter name and the applicable Program Year. • Scrapbook must contain a Table of Contents • All Pages within the Scrapbook must be numbered. • Scrapbook must be constructed in a fashion that allows pages to lay flat when turned and must be bound so there are no loose pages.

  15. The National TTA Director’s Outstanding Top Teen of America Award – Top Teen Portfolio and Application Form • Application for the National TTA Director’s Outstanding Top Teen of America Award must be completed and obtain all signatures for entry. • Eligible entrant must be an active Top Teen for at least (2) years in a Chapter that is in good standing at the Area and National levels. • Must be First Place Winner from the Area level for Program Year Two of the Two-Year Program Period. • Portfolio must contain an Introduction Sheet which includes the entrant’s Name, Chapter, Area, City & State and an application form completed. • Portfolio material must document entrant’s involvement in TTA and community activities up to a four-year time period. • Portfolio must contain no more than 20 numbered pages size 8 ½ X11 must not be larger than 13 X 15 inches and must not weigh more than 10 pounds. • Portfolio Cover must display entrant’s name and the applicable Program Year. • Portfolio must contain a Table of Contents and all pages within the Portfolio must be numbered. All pages must lay flat when turned with no loose pages.

  16. The Augusta Cash Latham TTA Essay Award – Teen Essay • Top Teen entries are eligible for National competition for the Syn-Lod Year only. • Eligible entrant must be an active Top Teen for at least (1) year in a Chapter that is in good standing at the Area and National levels. • First Place Winner from the Area level for Program Year Two (2012-2013) of the Two-Year Program Period is eligible. • Topic must be selected from the “National Topics for TTA Essay & Speakers Tournament” for the Program Year found on page 15 of the National Guidelines. • The Essay must be 600 to 1000 words on the selected topic. • Essay must be typewritten and on 8 ½ X 11 size paper. • Triple space between the title and the first line of text. • Essay must be double-spaced and use a five-space paragraph indentation. • There should be a one inch margin at the top and bottom of each page. • Provide a bibliography to document research sources.

  17. The Ruth Payne Smith TTA Speakers Tournament Award – TEEN SPEECH • Eligible entrant must be an active Top Teen for at least (1) year in a Chapter that is in good standing at the Area and National levels. • First Place Winner from the Area level for Program Year Two of the Two-Year Period. If the First Place Winner is not able to attend Syn-Lod, the Area Director may authorize the Second or Third Place Winner to be an alternate nominee for the National Tournament. • Upon arrival at the site of the competition, each speaker must sign in by providing his/her name, chapter and title of speech. • Each speaker is required to bring two copies of his/her speech to Syn-Lod. • The manuscript must be titled with the entrant’s name, Chapter, Area, and City/State. • SPEAKERS MUST DELIVER FROM MEMORY, the oration to a panel of judges. SPEECHES MAY NOT BE READ. • Each Speaker will be allowed three (3) to (5) minutes. Longer or shorter speeches will be penalized. • Speakers will be judged on the basis of content/composition and presentation/delivery.

  18. Materials Needed for Awards Committee to be able to perform task accurately and successfully. • Scale (bathroom scale is not conducive to what is needed) • Measuring Tape (minimum of 3) • Minimum of 6 Calculators • 6 Stop Watches (Used for Performing Arts and Speakers’ • Tournament) • Paperclips/File Folders/tally sheets • Copies of Criteria for each scrapbook to be evaluated to include Performing Arts, Speakers’ Tournament • 6ft. Tables (number will vary and will be determined by number of scrapbooks received on site.) • Sign in Sheet to include name of person submitting Scrapbook, Chapter name, Area, date and name of category of entry.

  19. REMINDERAll Scrapbooks and Portfolios must Adhere to the Following: • Have placed as the First Place Winner in their Area. • Must contain a Table of Contents • Have all Pages within the scrapbook numbered. • The Scrapbook or Portfolio must be constructed in a fashion that allows pages to lay flat when turned. • For Chapter Scrapbooks, the Cover must display Chapter name and the Two-Year Program Period. • For Individuals, the Cover must display the entrant’s name and the applicable program year.

  20. Suggested Timeline for Awards Process for Areas 2, 5, & 6 in preparation of Fall 2012 Leadership Conferences August 15, 2012 Area Awards Chair to send local chapter a sample request letter to solicit individuals to serve as judges. August 21, 2012 Area Awards Chair mail out and or email Awards packet with all pertinent information to include dates for forms to be returned. September 12, 2012 Local Chapter to provide contact names, addresses and phone numbers of individuals to serve as judges. September 24, 2012 Secure recommendations for local judges. September 27, 2012 Finalize judges schedules and related materials, ie. tally sheets, copies, measuring tape, etc. Compile intent forms. October 11, 2012 Finalize assignments for Awards Committee Members and contact members via letter and email with specifics.

  21. Suggested Timeline for Awards Process for Areas 2, 5, & 6 continued October 11, 2012 Send letter and or email Chapter Presidents to inform them of the check in process and times Individual and Chapter Scrapbooks are needed on site. October 15, 2012 External Judging to be completed for TTA Essays October 17, 2012 Select vendor for trophies, plaques, etc; place orders. October 22, 2012 Finalize assignments for judges and inform judges of what, when and where via letter and email. November ___, 2012 Check in Day for Area entries & Orientation for Judges November ___, 2012 Judging Begins – Internal Committee Pre-work November ___, 2012 Judging Finalized, Awards Committee Tallies Results, fills in names on certificates and Area Director and Award Chair to sign.

The list is not limited to the following: • Educators , Librarians, Retired Educators, Journalists, Writers, Authors, Publishers • Teachers, Dance Teachers, Voice Teachers, Reading Teachers, ESL Teachers • Administrators, Band Leaders, Individuals with Performing Arts expertise • Counselors, Music Teachers, Ballet Teachers, Drama Teachers, Band Leaders • Fraternities, City Council Members, Principals, Former Principals, TV Personalities • Sororities • Business Women & Men Groups • Phi Delta Kappa Sorority , Iota Phi Lambda and other Educational Sororities • Community Leaders & Leaders of Community Agencies & Organizations • Church Members • Youth Advisors • College Professors • Church Choir Director, Sunday School Teacher with Educational background • Community Service Minded Individuals
