  1. Berling Associates Using Supply Data For Better Cargo Management An Illustrative Cargo Management Solution

  2. Introduction To Our Illustrative Cargo Management Solution • Our Cargo Management Solution provides insight to where a company’s cargo is in the supply chain from the time it leaves its origin point or source, until it arrives at the company’s receiving dock. • In addition to visibility of cargo movement, with our Cargo Management Solution, a company also has insight into freight costs. Too many times purchasing personnel are frantically focused on getting the material from the supplier to the dock on time. During this expenditure of effort, the focus is narrowed to moving the material. Not much attention is expended toward the collection of the freight costs associated with the movement. Our Cargo Management Solution enables a company to record its freight costs and to attach it to a particular shipment. The benefit of this functionality is the ability to analyze and evaluate freight costs for a supplier, a freight lane or any other dimension of movement. Freight is no longer a nondescript accumulation of payments sitting in one general ledger account. • The power of our Cargo Management Solution is its ability to provide a company views into its cargo movement data with the point and a click of a mouse. The richness of this functionality is demonstrated in the views. These views allow a company to “see into” the containers, trucks or planes to view its shipments in detail, not just at the bill of lading level, but through the purchase order level, down to the purchase order line item level. This is the level of detail the company’s customer service personnel need to make promises to customers or to apprise customers of changing shipment arrival dates. This is the same level of detail the company needs to make manufacturing aware of critical raw material shipment arrival times and to plan and man its receiving dock schedule. • All of the views within our cargo management solution are “drillable”, with the point and a click of a mouse, down through the product hierarchy to the item or SKU level. This feature provides flexibility and usability for those with big picture needs and for those with more detail level needs.

  3. Illustrative Cargo Management Solution Cargo Management Views and Input Screens • Cargo Management Views • Arrival Date Exceptions • Cargo Tracking • Item Quantity Exceptions • Supplier Performance • Cargo Management Input Screens • New Shipment Information • New Invoice Information

  4. Cargo Management Views - Arrival Date Exceptions View Overview • The Arrival Date Exceptions View is available with the click of a mouse. It instantly provides a view of arrival date exceptions. • Listed in the view is the person responsible for the shipment; in this example this is the buyer. • Also presented is purchase order information down to the line item level of detail. • The user is able to see the important date information: the requested date, the “system” available to promise date, the estimated arrival date at the receiving dock. • The information in this view is drillable at the item column.

  5. Cargo Management Views - Arrival Date Exceptions View • Clicking on the item number immediately presents a view into the quantities on-hand at this movement, in addition to critical date information related to the shipment. See the next slide.

  6. Cargo Management Views - Arrival Date Exceptions View Quantities On-Hand For This Item Item: 6BRHC3 Note: The total quantity on all containers is 1200 • This view supplements the quantity information related to the specific container by alerting the company personnel to the total quantity of this line item being shipped. This total quantity is obtained by accumulating the quantities of this purchase order line item across multiple containers, when necessary. This functionality provides the company with complete shipment information in one view. • Clicking the container number drills us down another level into the view. See the next slide.

  7. Cargo Management Input Screens – New Shipment Information Shipment Information For Container And Its Contents • All the critical information regarding the shipment is revealed. Scan across the data fields and notice all of the information that company personnel need to know to effectively manage this shipment is presented in an easy to absorb and intuitive format. This information is editable for changes in the movement schedule and is “built” as information becomes available in the system. • See the next slide for the bottom part of this view

  8. Cargo Management Views - Arrival Date Exceptions View Shipment Information For Container And Its Contents Container Items – Click on values in “Quantity Shipped” to edit Date Change History – Most recent first, initial value last • Looking at the lower portion of the screen, company personnel see all the data regarding the shipment. The responsible person is identified, in addition to all the pertinent data about the shipment. Importantly, the updatable quantity shipped information is available. The quantity information gives company personnel critical insight as to the ability to promise quantities to customers or to internal users. The available to promise date information is highlighted when it falls outside a preset parameter, either early or late. • Also provided, is a history of changes made to the shipment record and who made the changes. This information provides at a glance if things are moving according to plan and how the shippers are performing.

  9. Cargo Management Views – Cargo Tracking View • The Cargo Tracking View is similar to the Arrival Date Exceptions View. It provides the same type of drillable views into the data, down to the same shipment information screen as seen in the previous slide.

  10. Cargo Management Views – Item Quantity Exceptions View • The Item Quantity Exceptions View focuses on quantities. It displays quantities ordered and quantities shipped. This is critical customer service information for supply chain members. As with the other views, this information is drillable to the detail shipment information. • This series of views is organized so company personnel can quickly see total units across different shipments (in the case of purchase orders shipped on multiple shipments) so as to be able to understand exactly where they are relative to the quantities they ordered.

  11. Cargo Management Views – Supplier Performance View • As all the information is accumulated and provided in the various views, in the background, the application is keeping score. A supplier scorecard is maintained for each supplier. The scorecard reveals at a glance who is shipping on time and accurately, and who is not. • Once again, all of the report line items are drillable revealing the detail within each of the performance measures.

  12. Cargo Management Input Screens – New Shipment Information Shipment Information For Container And Its Contents • The Cargo Management Solution has a custom feature, which will allow the user to import information, eliminating several of the input keystrokes. • Absent the installation of the custom import function, adding shipment information is quick, easy and intuitive. The input template is the same template in the previous slides. The functionality is also present to add a purchase order to an existing shipment. • Many shipping, freight and freight forwarding companies provided shipment pre-alerts and alerts on movement information electronically. This information can also be imported with a custom application interface.

  13. Cargo Management Input Screens – New Invoice Information Invoice Information Shipping Related Costs • The Cargo Management Solution has a custom feature, which will allow the user to import information, eliminating several of the input keystrokes. • Absent the installation of the custom import function, adding invoice information is quick, easy and intuitive. Calendar tools are available to make date entry easier. • The invoice search functionality is the same as that for the shipment information.

  14. Summing Up Our Illustrative Cargo Management Solution • Our Cargo Management Solution enables companies to more effectively manage their supply chain activities. • Inventory managers, product planners, purchasing personnel, transportation managers, and customer service representatives can instantly access information on every dynamic aspect of inventory. • This is accomplished with the ease of a click of a mouse, eliminating the need to rely on others to write long and complex queries and eliminating the learning curve associated with using business intelligence tools. • Our focus is on providing quick access to the data company personnel need to perform their cargo management activities. • With our Cargo Management Solution the data within each deep and detailed view can be exported to Excel for further analysis or manipulation. • Our Cargo Management Solution is a data store application, which interacts with the company’s ERP system. Our views in our application are customized to fit each company’s particular needs.
