  20. CNH | KEY CLUB Publications • Consists of photos, articles, and newsletters sent to the district. • Each publication has its own set of standards and procedures. • Publications are due every 20th of the month. MAY BOARD MEETING 2011

CNH | KEY CLUB Publications: Photos • Must be submitted to cnhvisuals@gmail.com • Maximum of five per event • Pictures must be named D##_[Event Title Initials]_[Photo #] • Example:D90_MOD_02 = Division 90, March of Dimes, Picture #2 • Only the Lt. Governor can submit pictures • Only pictures of service are appropriate for submission • Submit photos of Faculty/Kiwanis Advisors for possible recognition slideshow at the District Convention MAY BOARD MEETING 2011

CNH | KEY CLUB Publications: Articles • Must be submitted to cnharticle@gmail.com • There is no limit to the amount of articles. • Articles must be named D##_[Event Title Initials]_[Article #] • For email subject put D## [School] – [Topic] • Any Key Clubber can write an article about anything related to service or Key Club. • Articles must be submitted in a template which can be found on the CyberKey under News>CNH District Newsletter MAY BOARD MEETING 2011

CNH | KEY CLUB Publications: Newsletters • Must be submitted to cnh.newsarchive@gmail.com • Submitted once every month. • Newsletters must be named D##_DNEWS_[Month #] • Example: D86N_DNEWS_06 = Division 86N, Division Newsletter, June • Newsletters are proactive and should follow the Graphic Standards. • Must be submitted in a PDF file. • Only the Division News Editor can submit newsletters.   27. CNH | KEY CLUB Gmail • Maximize your Gmail performance! • Gmail allows more customization than most email providers • These include labels, filters, tasks, labs, etc. • Be sure to check your email everyday! MAY BOARD MEETING 2011

  28. CNH | KEY CLUB Gmail: Labels • Create labels to organize different types of emails • Choose colors to distinguish from each category • To create labels, select a few emails and click “Labels” or “Move to” and a Create new option will appear MAY BOARD MEETING 2011

  39. Your Budget! • How much do I get? • Your division budget is based on the amount of PAID clubs you have in your division. Each paid club amounts to $50. Example: Division 72 North has 7 clubs . One of those clubs is suspended. How much money is in Division 72N’s budget? • Answer: $300 (6 paid clubs x $50) • How do I utilize this money for divisional expenditures? • VOUCH May Board 2011 | California Nevada Hawaii District

  41. Revenue Revenue 1. How many dues paid clubs are in your division? 2. Do you have a Distance Bonus? 3. Have you talked to your Kiwanis Lt. Governor to see if they have any money to help you? 4. Have you talked to your Sponsoring Kiwanis Club about financial help? 5. Have you talked to your Kiwanis Lt. Governor to see if the division provides financial support? 6. Have you asked a local business if they would be willing to donate? 7. You should not need to include personal funds. There is enough on the budget for you to use, but remember to use it wisely!   42. Expenses Printing • Newsletters – How many are you going to produce? How many pages is each one going to be? How many are you going to print each month? (Clubs, Kiwanis, Advisors, Binder) How much is it going to cost you per page to copy or print? • DCM Agendas & Minutes – same considerations as above. • Training & Literature – How many pages is each one going to be?   43. District office printing, you say?! Simply send an email to the lovely people at the CNH District Office! To: office@cnhkiwanis.org Subject: Key Club D# Print Order (i.e. “Key Club D72N Print Order) Attachments: Only PDF files Body: • Clearly specify what PDF(s) you have attached • Number of copies per file • Special needs • Your full mailing address • Deadline date needed *The district office does not accommodate color ink printing *This is a simple task that could be assigned to an executive assistant *District office printing is not limited to DCM agendas May Board 2011 | California Nevada Hawaii District

Telephone & Mileage Long Distance Telephone • No budget money should be placed in this section due to the invention of EMAIL Auto Mileage • How many times are you going to visit each club? • Google MAP directions from your school to each of your clubs and add up the miles TO andFROM the location. Do the same for DCMs. • You may have to estimate where you would hold any divisional projects and remember the Kiwanis DCMs. May Board 2011 | California Nevada Hawaii District

Miscellaneous Miscellaneous • Are you going to give out awards at the end of the year? • How much are they? • Are you going to use decorations at any of your events? *KEEP IN MIND THIS DOES NOT MEAN SPIRIT ITEMS • Are you going to provide any sort of snacks at your events? Extra Revenue? • Spend it on more office supplies (name tags, markers, etc.) REMINDER: The budget is only a guide. It CAN change throughout the year.
