New Math COE Specialist We are pleased to announce that Kim Andersen is joining our COE team in December 2013. • Expertise as a high school mathematics teacher • District experience as a Mathematics and Science TOSA developing assessments and providing coaching and professional development to secondary math and science teachers • Member of the State MALT team • An understanding of the Math COE as a Math COE scorer December 2012

  4. 12th grade submission policy addendum for 2012-2013 submissions 12th grade students only • May submit a COE (Math, Reading and/or Writing) after taking and not passing an EOC or HSPE one time. • The student must have a score report that indicates their eligibility to submit. 11th grade or below • Must take and not pass a HSPE or an EOC two times before being eligible to submit a COE. December 2012

  5. Additional 12th grade Submission Requirement Mathematics Year 1 and Year 2 • A 12th grade student may attempt and not pass either a Year 1 or a Year 2 EOC in order to be eligible to submit a COE. • The Math COE submitted may be in either Year 1 or Year 2. December 2012

Math Guidelines must be met before submission • Must contain no fewer than six and no more than eight work samples • Two on-demand work samples • Each reporting strand in Mathematics Year 1 and Mathematics Year 2 must be represented at least two times in the collection • At least two representations of each of the Process and Course Specific PEs are also required for a sufficient Mathematics Year 1 or Mathematics Year 2 collection. What is “Appropriate Teacher Assistance”? • Understand the mathematical concepts behind each task and make sure that your students are ready before giving them a task for the COE • Assist students with concept development using examples other than the inclusion task. (Practice, practice, practice) • Illustrate a specific point by using a context different from the inclusion task context. • Encourage students to check their work. • Remind students to edit and revise their written materials. Extended time responses must continue to be student work rather than group work. All Math COE tasks are secure test materials and must not be shared outside of the classroom. December 2012

What is not appropriate Math COE assistance Inappropriate assistance may include: • Replicating the tasks by simply changing the numbers or the context. • Teaching to the actual task the students has been assigned, including teaching step-by-step strategies specific to that task causing all student work to look the same. • Reviewing the students’ work and marking sections that are incorrect. Extended Time Response An “extended time” response is: • Completed over more than one class period or session. • Supervised by a teacher or education professional. • May not be taken home. • Allows the students multiple opportunities for editing and revisions. While there is some opportunity for appropriate teacher assistance the work on the extended response needs to be that of the student. December 2012

What kind of feedback is allowed on extended time? • Extended-time feedback is different than assistance in that it involves one on one work with a student. • Each student gets feedback from a teacher. • Appropriate feedback is helping students through re-teaching and restructuring instruction. • Teachers should not write on the student work samples.   11. On-demand work samples • Two tasks or work samples must be ‘On-Demand.’ • These tasks are designed to be completed in a single class period under the supervision of an educator. • Any Inclusion Task may be selected by the teacher or student as ‘On-Demand.’ December 2012

  12. What kind of feedback is allowed on an on-demand task? There should be no feedback or answering student questions on an on-demand task, supervision of the student only. December 2012

Group work, copying, scaffolding • All work must be the work of a single student • Work done in a group setting is not acceptable • Student work should not be corrected or changed by teacher or peer review • The inclusion tasks must not be modified for practice purposes • Do not teach the to the specific task either individually or in groups December 2012

Collection of Evidence 2013 Student Submission Checklist for Math Year 1/Year 2 • Student ________________________________________________ • Work Sample Documentation Form • I have chosen the 6 – 8 work samples to include. • At least two on-demand samples are included • The work sample documentation form lists all of the samples I chose. • I have signed the work sample documentation form. • Each of my work samples has a barcode printed on it. (If not, I let my teacher know) • I have checked that no extra work samples or extra pages are included. • Review: • Each work sample has all pages as indicated in the page numbering in the footer. • I have answered all questions. • My teacher has reviewed all of the selected work samples. • Each work sample is stapled with a single staple in the upper left-hand corner. • The entire collection is placed in a large envelope • Keys to a successful submission: • COE inclusion tasks and work samples must be kept in a secure location • Keep the collection pages clean and free from damage (holes, tears, folds, stains) • Place one single staple in the upper left-hand corner of each work sample • Place the work sample documentation form on the top with all work samples in sequential order • Check for student signature on the work sample documentation form • Maintain copies of student work as a backup • Package each student’s collection in a separate envelope (at least 9x12 or larger) • Put all envelopes from a school (or district) in a box for shipping • Generate a list of all collections being submitted with student name and content area • Utilize a tracking system for shipping (such as UPS or FedEx) December 2012

  18. Other Alternatives • SAT/ACT cut scores Check and or Recheck your students’ scores on the SAT/ACT – access this December 2012

  19. Eligibility • The Math COE electronic process indicates the student’s eligibility status. • Any student may begin work on a COE but must be eligible in order to submit the COE. • Plan ahead and address any eligibility concerns now. • Transfer students must have paperwork processed and approved prior to receiving direct access to the COE.   20. Stipend • The COE stipend for eligible and sufficient collections continues to be $200. • The districts receive the stipend in their apportionment check approximately two months after the submission date. December 2012

Eligibility MUST Be Yes • If student is not eligible, the “Submit for Teacher Approval” link will not be active • Do not wait until the last minute to check eligibility • Check now, then recheck after December 22 • For students who are still ineligible, work with your District Assessment Coordinator to figure out why • If you think student should be eligible, contact Amanda Mount at OSPI, amanda.mount@k12.wa.us December 2012

Principal Account on EDS • Determine who will be acting in the role of “principal” for approving COE in your building • Can be principal or designee • Designated person must have role of “eCOESchoolPrincipal” for your school in EDS • Talk to District Data Security Manager to be sure principal role is assigned • Role must be assigned at school level, not district level December 2012

  31. Final Approval • After teacher approves collection, principal or designee gives final approval • After principal approves, collection is sent to OSPI for scoring and may not be worked on any more December 2012

  32. Sufficiency Requirements • Math collection sufficiency • No fewer than 6 and no more than 8 work samples • 2 on-demand (count in total of 6 – 8) • All strands represented at least twice in different tasks • All tasks from inclusion bank December 2012

Check Sufficiency of Collection • Sufficiency check built into system • Work samples must be complete and marked for inclusion in collection before they are counted on eligibility screen • Once all sufficiency checks say Yes collection can be submitted to principal for approval • No way to submit without meeting sufficiency December 2012

Choose tasks to include and approve • Work with student to choose the 6 – 8 samples to include • On-demand counted in that total • Teacher will check the samples to include then click the “Include in COE and approve” button • The word “included” will appear next to tasks that were selected • When all sufficiency requirements met, the “Submit for Principal Approval” button becomes active December 2012

Teacher Submits • When the teacher clicks the “Submit for Principal Approval” button, a new window opens with the student’s Work Sample Documentation Form (WSDF) • Print this form to include in the collection • Use WSDF to check that all work samples are included • Send the WSDF in with collection December 2012

Special Cases • A few schools were given permission to use tasks last spring before barcode system was in place • Tasks that were printed without barcodes require special handling • For collections with non-barcoded tasks, please check box on WSDF to indicate samples without barcodes and highlight non-barcoded tasks December 2012

  45. Deadlines • Last day to submit mathematics collections is: February 1, 2013 • Allow time for collections to go through full approval process by that date • Database needs to be reset so students who are working on collections for June can continue working December 2012

  46. Use special care in packing! • Estimated 5,000 collections X 8 samples per collection X about 5 pages per sample≈ 200,000 pages to scan and track • Equivalent to 400 reams of paper • Please check each collection carefully to be sure that all pages are included in each work sample and all work samples are included in collection December 2012

Use special care in packing! • Use a separate envelope (9X12 or larger) for each collection • Use WSDF as a cover sheet, and stack work samples in order of WSDF • Be sure that student signs the WSDF • No other signatures are required • Pack all envelopes from a school or district in a box to ship to scoring center December 2012
