This workshop provides an overview of the AAAA chapters and their current status. Topics include scholarship procedures, fiscal operations, membership do's and don'ts, and more. A chapter officer working luncheon will also be held, with presentations and discussions on new ideas and Chapter Program Highlights.

Chapter Membership Tracking and Transfers CURRENT PROCEDURE • BY-LAW REFERENCE -A Chapter is that membership activity governed by a distinct Executive Board and representative of twenty-five (25) or more members domiciled within commuting range (50 miles) of the Chapter seat of activity. • Assignment to a Chapter is dependent upon the local zip codes within the 50 mile radius of the Chapter seat • If there is only one Chapter in a state, members will automatically be assigned to that Chapter • Members may request affiliation with a Chapter outside of their local area by contacting the AAAA National Office TRANSFER BETWEEN CHAPTERS • When a member transfers or changes their address, their chapter affiliation is automatically changed to a local chapter. • If a member prefers to override his/her assignment to another chapter, the member must contact the home office and request their preferred non-local chapter affiliation. • “How to change your chapter affiliation” is currently posted on the quad-a.org website in the FAQ and Membership Cart areas and it is also noted in Army Aviation magazine. EASE FOR MEMBERS • The non-local chapter affiliation information can also be added to the homepage of quad-a.org so members do not miss it. We can also advise and remind members of their options through social media – all it takes is a quick email to Chapters@quad-a.org or a quick call to the home office for the change. ADDITIONAL NOTE • In the case where there is overlap of members with two chapters, the list of zip codes should be provided to Mary’s attention.

Chapter Assessments • Metrics developed to help look at the health of a chapter. • Based on these metrics, chapters are being internally coded. • Blue, Very active chapters, responsive to AAAA National • Green, Active chapters, limited response to AAAA National • Yellow, Mildly active chapters, limited response to AAAA National • Red, Not very active chapters, basically no response to AAAA National • Will are using this information to concentrate on Chapters that need help. • Will are also using this information to conduct a Chapter leadership assessment. • Provides better National Recording and Outreach • Information available for the Awards Board to select Chapters of the Year

Chapter Activities Tracking • Current Requirements for Chapter Quarterly Refund • 21 days in advance of the event, Chapters must notify AAAA National of meeting • AAAA National posts the meeting notice to the AAAA website and emails the flyer to all Chapter members and a hard copy is mailed to those with no email on file or mail preference • At end of each quarter, AAAA National calculates the following: • If chapter shows member gain over baseline set on 31 December of preceding year, they receive $5.00 per member over the set baseline • Chapter receives $.40 per member at time of meeting • Chapter receives $.80 per member if notice is received at least 30 days in advance of meeting • Chapter receives $25.00 if they have a speaker for their event who is not a chapter officer • Chapters must have a Treasurer in order to receive the Chapter Quarterly Refund • One Recommended Course of Action (looking for other ideas) • Create a $250/quarter flat refund per chapter, to potentially total $1,000/year refund for chapters that hold quarterly meetings • 21 day advance notice of event is required • $500 will go to the Scholarship Foundation to be matched by National for chapter scholarships • $500 will go to fund the Chapter Sponsored Soldier Program • Rationale • To simplify the accounting process • Provide incentive to chapters to hold meetings and meet their Networking goal

Chapter Annual Report and Next Year Plans • Roll up from the chapter to highlight activities • List of current chapter officers • Shows the health of a chapter • Used to confirm National chapter metrics • Define Goals and Objectives for coming year • Helps National Budget Chapter Support • Submitted to National by 31 Dec each year, modify as needed • Ensures lead time, assign responsibilities • Allows volunteers to plan • Outline Programs/Activities and funding • AAAA National available for any help needed

AAAA Top Chapter AwardsAir Assault, Mid-Atlantic, Flying Tigers, Bavarian New 2015 Procedure Pre-2015 Procedure • Call for Top Chapter nominations sent out on December 1st, by AAAA National, to Chapter Officers. • January 1st Deadline for Chapters to submit nominations to National. • Nomination included 250 word Summary, 1500 word Support Document and completed Chapter Activity Report Form • Boarding books prepared for each Chapter size category • All nominations were presented to Awards Board in January • AAAA National has created , and maintains, the AAAA Chapter Spreadsheet to track specific statistics for AAAA Chapters. • Chapter Officers were sent the statistics for their Chapter and asked for validation of information. • Based on the Chapter Spreadsheet, the AAAA NEG selected the top 50% in each category for voting by the Awards Board. • Statistics for the selected Chapters were be presented to Awards Board in for final voting.
