  6. Audit and Archiving • Data Protection Act 1998 • Audit trail for DocMan documents cannot be transferred. • Archiving of transferred records in DocMan is not mandatory.

  7. Solution • Develop DocMan to make archiving mandatory/automatic. • Audited facility to unarchive DocMan records in certain circumstances.

  8. File types – printing and transferring • Certain file types transferred cause issues when received or printed. • Problem will increase with emerging technologies

  9. Solution • Develop DocMan so file check is carried out before the package leaves the GP Practice. • Liaise with Connecting for Health to develop UK wide list

  10. Cross Border and non-DocMan Transfer practices • PSD print electronic documents for patients transferring to • the rest of the UK (2,600 per month) • non-DocMan Transfer enabled practices in Scotland (2,500 per month)

  11. Solution • Investigate using nhs.net email addresses at source and destination to transfer these data electronically.

  13. Newborns • Paper Medical Record folders for all newborns • No requirement from a legislative perspective

  14. Reactivation of records • Practice retains GP clinical system records and DocMan images once patient leaves • DPA suggests these records should only be accessed for agreed reasons • Records should not be reactivated if patient returns • Clinical risk due to gaps • Duplication of information • Merging duplicated DocMan images

  15. DocMan Documents for Temporary Residents • These are printed out by GP Practices and sent to PSD. • They are not transferred electronically and therefore they are not archived. • Process to continue but PSD to review transfer of paper records for TRs

  16. Back Scanning GP Medical records • Some GP practices are pursuing their own solutions. • Guidance for GP Practices to follow. • Available on SCIMP website.
