  1. Using the SRM MoreDirect Punch-out Catalog

  2. Introduction These materials show specifically how to use the punch-out catalog to purchase MoreDirect products within the Supplier Relationship Management (SRM) system.   3. What is MoreDirect? Along with Dell and CDW-G, MoreDirect is a University contract holder for computing accessories and peripherals. If you have a need for a computer from MoreDirect, contact Purchasing at SRMHelp@uky.edu.

  4. Who Uses the MoreDirect Punch-Out Catalog The MoreDirect punch-out catalog is used solely with the Supplier Relationship Management (SRM) system. Currently, all areas of campus use SRM as their procurement system with the exception of Hospital, College of Medicine, and Facilities areas. Departments within these areas will continue to use the e-Buy site for MoreDirect purchases. All other areas of campus should utilize the punch-out catalog through SRM for purchases of MoreDirect products regardless of price. This includes items previously purchased through the e-Buy site utilizing procurement card.

  5. Create Punch-out Catalog Order – Set Delivery Room/Floor The room address for delivery of goods must be confirmed/refined at the Shopping Cart level. This must be done for every Shopping Cart. 1. Click Set Values within Default Settings 2. If needed click the right arrow to expose all tabs

  6. Create Punch-out Catalog Order – Set Delivery Room/Floor Delivery address information flows in from Personal Settings and reflects your building addressonly. The Shopper must add the specific floor and room number, contact person, etc. This must be completed on each cart and will populate to all line items in the cart. Important: Omitting entry of the contact person, floor, and room number within Set Values will require the user to enter the information for each line item in the bottom Details section. 3. Complete contact person, floor, room, etc. 4. Click OK

  7. Select MoreDirect Catalog from Add Item Menu Punch-out catalog items are ordered through the Add Item dropdown button. As new catalogs are added to the system, they will appear in the Add Item menu. 5. Click Add Item and select MoreDirect Catalog. Shopper will leave SRM and enter MoreDirect punch-out website.

  8. Arrive at Punch-out Landing Page ….or using the Search feature along with relevant keyword(s). 6. Shoppers can locate items by either browsingthe Shop category menu…

  9. Product Search Results Other Shopping tools include: Quick Look for detailed product information, Compare Items, Sorting, See More Like This, Sort, etc. If desired Shopper can select filter criteria from the left menu to narrow search results.

  10. Add Desired Item to Cart 7. Click Add to Cart for item(s) you would like to purchase

  11. Confirm Quantity to Add 8. From the pop-up window, enter the quantity needed and click Add. Only click Add once.

  12. Close Add Item Pop-up Window 9. Important: After clicking the Add button, click the X to close the pop-up window. The pop-up window will not close automatically. Note: Continuing to click the Add button will increase the quantities in your cart. Only click the Add button once after entering the quantity.

  13. Refresh to Finish Add to Cart 10. After closing the pop-up window, click any option from the menu to refresh the MoreDirect cart. The MoreDirect cart will populate with the added items.

  14. Continue Shopping or Begin Checkout After refresh takes place, the Shopper can continue to place more items into cart if desired. Repeat above steps for each item added. 11. When shopping is complete, click View Cart to begin checkout.

  16. Final Review of Cart If you adjust quantities with new entries, be sure to click Update Quantities when finished. 13. Review items in cart. Ensure Quantity entries are correct. 14. Click Submit after completing cart review.

  17. Process Cart to Return Items to SRM 15. Click Process to finish checkout and return to SRM.

  18. Punch-out Items Return to SRM Shopping Cart The punch-out item(s) populate back to the SRM Shopping Cart. 16. Click to open Details (bottom) section of SRM Shopping Cart.

  19. Punch-out Catalog Order – Details Section Delivery Address information was already set at header level under Default Settings/Set Values. Thus, nothing needs entered or modified for this in Details section. 18. Notes and file attachments can be added if needed. (Note: There is no quote attachment involved for a MoreDirect punch-out order.) 17. Verify/complete Account Assignment information as needed.

  20. Check and Complete Order 19. Click Check to confirm whether errors exist Remember: Only click the SAVE button if the order is to be placed on HOLD. A Saved Shopping Cart resides in the Shopper’s POWL and does not move forward. 20. Click Order to finish

  22. Special Notes on MoreDirect Punch-out Shopping Carts • Special features are added to SRM for MoreDirect punch-out catalog orders: • Orders totaling $2000 or less from the MoreDirect punch-out catalog do not require approval. SRM automatically transmits a purchase order once a cart is created and ordered. • For orders over $2000, SRM automatically transmits the purchase order after the appropriate approvals have taken place. • Goods Confirmations are required for all MoreDirect punch-out catalog orders. • MoreDirect generates an electronic invoice and submits to Accounts Payable for payment. • The Shopper receives an email message confirming when the invoice posts. To maintain a system of checks and balances, the Shopper’s supervisor is copied on the email notification.
