  4. Metadata must be provided • Meta information must be provided in each document (“File” - “Properties” – “Summary”) • enables fast / accurate search for documents spsappprotrain.ppt Ver 02

  5. Metadata To print the information contained in a property sheet, from the File menu choose Print, and in the Print What drop-down list box select the Document Properties option, and click OK. spsappprotrain.ppt Ver 02

  6. Metadata content Title The name of the document and version number Subject For a procedure - copy and paste the “Purpose” For an appendix or form - name of related procedure/s spsappprotrain.ppt Ver 02

  7. Metadata content Author The name of the person responsible for the content of the document Key Words (not required if document is published in HTML format) Identifying words used by search engine Comments The name of the Policy officer spsappprotrain.ppt Ver 02

  8. Consultation Development stage • all areas of the Agency affected • three weeks for consultation of procedures (perhaps one week for simple amendments not requiring detailed review) spsappprotrain.ppt Ver 02

  9. Compliance check Send to Policy Branch: • Memorandum • detailing identified need, background, specific issues, rationale, those consulted (details that would go into a D-G Brief) and Summary of changes • Procedure spsappprotrain.ppt Ver 02

  10. Approval • procedure – Policy Officer prepares Briefing Note to DG for approval; or • administrative form or amended appendix – submitted for approval to Executive Director, Strategic Policy and Services spsappprotrain.ppt Ver 02

  11. Publication and Notification • Policy Branch request publication • Information Management Branch • publishes to web • displays “Summary of Changes” • archives if required spsappprotrain.ppt Ver 02

  12. Publication checklist for authors • Document appears in all appropriate areas (Internet, Intranet) • Document published in correct directory • If applicable, file name is the same as earlier versions. • Correct version of document is published on correct template • Implementation date appears • All links have been checked • go directly to correct form/appendix/Act etc • appear in forms/appendices as required • Summary of changes has been published spsappprotrain.ppt Ver 02

  13. After Publication When approved— • executive directors notified by email • EDs notify relevant staff • original signed procedure retained by Policy Branch spsappprotrain.ppt Ver 02
