Manager DO’s and DON’Ts Do: • Manage / update player cards and rosters • Help with team communication • Work along side team treasurer • Apply for tournaments / leagues • Delegate other team responsibilities • Stay out of the drama Don’t: • Take responsibility for player movement • Collect past due club dues / team fees • Do everything • Meddle in other families issues with club or coach • Run to the coach with every complaint

  4. Team Rosters: Affinity v. Demosphere • Affinity (Official State Roster) • Where we register our teams and players with the State Association • Where we print rosters and cards • Official roster used for State League and State Cup, Regionals, Nationals, etc. • Demosphere (club registration) • Where TSC members register for any TSC program (team registration, tryouts, drill for skill, club trips, camps, etc.) • Collect player and family information • track and collect payment from members for TSC programs

Demosphere • Link to Log-in on TSC website under the “Information” tab • Access to photos and birth certificates downloaded into Demosphere by families • Household members can update their own household information and payment methods • User Guides on our website for updating payment method, credit card info, email, household info, etc. • No customer service phone number, must go through club admin.

  6. Affinity (official state roster) • Link to log-in to Affinity is on TSC website under “Information” tab • Must complete background check before being added to State roster. • Link to complete background check is on TSSA website (www.tnsoccer.org). Click on “Registration” tab, NOT “log in” tab • Verify and confirm official TN State roster for completeness and accuracty. • Enter Jersey numbers – tab titled “edit team player info” • You can print official state roster from your team’s page • You can create travel rosters and add guest players within the club from Affinity. • Apply to TSL and state cup through Affinity. • Customer Service # 1-800-869-3906

Team Rosters • Rosters in Affinity and Demosphere should be identical (some exceptions) • Roster in Affinity is the OFFICAL state roster so it is the one we use for leagues and tournaments. • Things you need to do in Affinity Roster: • Confirm the roster is accurate • Birth Certificates/Photos – • you can upload if missing • If old one needs updated, let Brandy know and she will delete old and you can upload new. • Cross-reference names on Birth Certificates and Roster (only important for teams who could potentially qualify for post season play) • Enter jersey numbers

Player Cards • Important reminders: • Players must be registered in Demosphere and on official roster in Affinity • Cards must be requested no later than Wednesday prior to match. • Academy teams with large rosters can request extra copies. • Scan and save on computer for digital copies. • Bring extra copies with you in case of emergency. • Hole punch and bind with clip.   10. Team Binder • Create a team binder to carry with you to events: • Copies of official team roster • Laminated player cards and the color copies • Medical releases • Birth certificates • Venue information • Team contact information

Team/Coach Communication • Playmetrics is TSC’s new operating system. • Specifically designed for club soccer • Goal is for all team and club communication to go through Playmetrics • Our staff and coaches will live in Playmetrics (training sessions, player evaluations, track player development) • Primary use of Playmetrics for teams/families • Receive and send communication to teams • Player evaluations for families • Event availability • Team Calendar/information

Team Managers can perform the following tasks for each Team they manage: • Add, modify, and cancel events • Add scores and additional information to Games • Set attendance for each Player on the Team • Manage the Travel Fields associated with the Team • Add Contacts to a Player and change the Player’s Primary Contact • Correct Player profile information for Coach or Parent • Communicate with Players, Parents, and Coaches

Player movement procedure • Non-TSC player wants to join a TSC team:   • Age group DOC must approve the addition of the new player • DOC must submit a request to the club registrar to add the player • Prior to any training or playing with a TSC team all non-TSC players must first register online for TSC tryouts in Demosphere. • Player needs to confirm jersey number with coach or team manager and then order uniform (link on our TSC website)

  16. Player movement procedure(cont.) • TSC Player wants to withdraw: • The player must notify the coach first. • Player must also complete the TSC Request to Drop form and submit it to our office.  (form on the TSC website) • Once we receive the form, we will adjust their TSC account accordingly.  • The player card should be returned to our office. • TSC Player moved from one TSC team to another TSC team: • Coach needs to notify the age group director first of his/her desire to move a player from one team to another.  • Once the Age group director approves the move, he/she will notify the club registrar and she will make the changes in both Affinity and Demosphere.

Tennessee State League Fall Tennessee State League (TSL): Girls: U12* to U14 Boys: U12* to U19 (U12 age group no post season - showcase only) Fall application is open and deadline to apply is July 21st Spring Tennessee State League (TSL): Boys: U13 to U14 Girls: U13 to U19 Spring application opens Oct. 31st and deadline to apply is Dec.15th

Other League Deadlines • and Important Dates • June 27th - Mid South Conference Regional League registration deadline • *asking for extension* • (Alabama, Arkansas, Mississippi, Louisiana, Tennessee) • July 5th – National League registration deadline • July 29th – August 1st – Pre-Season Team Camp • August 30th – Great Lakes Conference Regional League deadline • (Ohio, Indiana, Kentucky, NY-West, PA-West, Wva) • September 13th – 15th – Battleground Invitational (TSC event) • October 11th – 13th – Music City Invitational (TSC event)

  22. Applying to Tournaments and Leagues Discuss with your coach first what tournaments and leagues they would like for your team to participate in throughout the season. Keep in mind that TSC has reciprocal agreements with other clubs that we have to abide by so tournaments should be chosen from this list. The list has been given to the coaches. Research the deadline for each event and apply as soon as possible. Some tournaments will have their own required medical releases and/or concussion forms separate from the one the state requires. D1 and D2 teams can qualify for Regionals/President’s cup – BE PREPARED and PLAN AHEAD. Mark your Calendar. Plan for Cost, roster size, travel, etc.

Reserving Fields and Referees • Scheduler for reserving fields and referees: opens July 11th • TSL referee fees are same as last year • We will be billed monthly for assignor fees, including friendly matches. • For state league games, team reps should collect $$ from opponent for state league assignor fees and then the club will pay assignor.  • Games need to be scheduled at least 1 week in advance. • Last minute changes need to still be put in the system BUT team reps MUST ALSO call Blain/Eddy AND Sandy Pollock to let them know. • Teams that cancel scheduled matches within 48 hours of the match will still be responsible for paying both the referee and assignor fees.   25. Game fields • Franklin • Williamson County Soccer Complex (off of Downs Blvd) – can be used for games on Thursday nights, Saturday afternoons, and all day Sunday • Trinity Park (off of HWY 96/Murfreesboro Rd on east side of town) • Brentwood: Crockett Park (only for Sunday games) • Nashville: Harpeth Soccer Complex (in Bellevue area) • Murfreesboro: Seigel Park Training schedule Training schedule with exact location, days, and times will be given to the coaches later in the summer.

  26. To reserve fields/referees for Murfreesboro contact Billy Lewis (billy.l@tennesseesoccerclub.org). • The assignor for friendlies in Murfreesboro is Marge Williams / 615-517-7817 / margesoccer@gmail.com • Any TSL or higher level game in Murfreesboro goes through the state approved referee assignor: • Stephen Shirley / stephenashirley@gmail.com/ (615) 971-0575   • Currently TSC Williamson/Nashville teams can reserve Siegel Park paying by the hour. ($75???)

  27. Lights and Gates at game and training fieldsREC CENTER: Light box is located on Pole by the south side of field 1. The key is in a lockbox on the fence off to the side, the code is 29701 CHEEK PARK: Light box is located to the south of Cheek fields in fenced in area with electrical boxes, the key is in a lockbox mounted on fence, the code is 29701 DOWNS EAST: Field 1 and 4 lightbox is located at the north side in between fields 1 and 4. Field 5 and 11 lightbox is located on the side of the concession building next to field 2. The key can be found in the lock box on the EAST SIDE main gate with code 29701. There is also lock box mounted on the side of the maintenance shed adjacent to field 27 on the WEST SIDE (same code as above) DOWNS WEST: All lights boxes are located by field 25. There are two separate boxes that turn on fields 21-27. The key to the light boxes can be found on the West side maintenance shed, again this box is mounted on the maintenance shed adjacent to field 27. **NOTE**- PLEASE MAKE SURE TO RETURN KEYS TO LOCK BOXES BY THE END OF THE NIGHT. THE KEYS TO THE MAIN GATES, AS WELL AS THE BATHROOMS ON BOTH DOWNS EAST AND WEST COMPLEXES ARE ON THE SAME KEY RING AS THE LIGHT KEYS

  28. Referee Fees for Friendly Matches • Recommendations from our Director of Soccer regarding referees for friendly matches: • For TSC v. TSC games limit to 1 referee for 11v11 games / no referees needed for small sided games • For friendly matches vs. Non-TSC teams, consult with opposing coach and limit number of referees if possible • Limit number of friendly matches to 1 per day

  29. Winter Indoor Training • TSC schedules all winter indoor training … DO NOT SCHEDULE ON YOUR OWN • First week of December till about mid-February (10 Weeks / 1 session per week) • Jimmy Drain will put the training schedule together and email coach/manager • Club pays for indoor training up front and then takes $$ from team accounts. • After all teams have been given their indoor training schedule if your team wants extra night of indoor training, you need to contact Jimmy Drain. • Any indoor training outside of the dates mentioned above (i.e., last minute weather related) – information coming soon. • Whether individual or team use D1 for strength and conditioning

  30. Miscellaneous • Strength and Conditioning training (individual or team): • D1 is one of our primary partners so they are our preferred provider for training. • They know our players and staff and have open communication regarding team needs and player workload • Email communication with TSC office: • Always put your team name subject line all email communication with the office. • Include the birth year, gender, and team name (i.e., 2004 Girls Elite)
